**Responsibilities:**
GENERAL SUMMARY
Using independent judgment and initiative, the Physician Support Specialist performs routine and non-routine duties of a highly confidential nature. Duties will include coordination of patient care, managing and monitoring of the in-basket and work queues, acts as a liaison between patients and their care team, and assists with coverage of clinics and projects when necessitated by Office Manager or another Administrator. The position reports directly to the Office Manager and will also work in collaboration with the Administrator II, Nurse Manager, Medical Director, Director of Operations and health providers. The incumbent will apply University policies, procedures and privacy standards in the performance of all duties.
**ESSENTIAL FUNCTIONS**
+ Schedule procedures, appointments and ancillary tests with input from physicians and other health care personnel.
+ Provide patients with procedure descriptions and special instructions as necessary.
+ This requires the ability to evaluate medical information
+ provided, to provide answers to questions asked by patients and to clarify information as needed for other areas.
+ Responsible for ensuring test results are received, reviewed and appropriately filed.
+ Work closely with the patient and care team in coordinating provider schedules with non-clinical commitments.
+ Coordinate patient information; entry of data into eRecord and Cadence databases as necessary.
+ Support for Nurse Practitioners and other health care professionals responsible for delivery of patient care.
+ In a professional manner, respond and document appropriately to patient calls as they are forwarded into the in-basket.
+ When necessary, gather information, evaluate callers concerns and refer to physicians or other health care personnel to address.
+ Must possess the ability to determine which questions should appropriately be addressed by physicians or other health care providers.
+ Respond to callers independently and follow-up to be sure customers are satisfied that requests were handled in a timely fashion.
+ Manage/monitor in-baskets/work queue on a daily basis to ensure referrals, appointments, telephone encounters and all related activities are completed and accurate; communicate any discrepancies back to clinical support and/or provider for clarification.
+ Review of AVS (After Visit Summary) when necessary.
+ Manage templates /office schedules for multiple providers.
+ Acts as liaison for contact with area providers to facilitate communications with physicians.
+ Ensures messages are received and transferred in an expedited manner to ensure timely patient care that best represents the ICARE values.
+ Cross-coverage in shared clerical office; special projects and other responsibilities as assigned.
+ Possesses the knowledge, skills, and abilities to support the Medical Records department as needed.

Summary of Position

The Physician Support Specialist Supervisor plays a key role in overseeing and coordinating the operational and quality initiatives within the medical practice, ensuring that all pre-analytical, analytical, and post-analytical processes align with the company's values and mission. This position is responsible for providing specialized support across various functions, ensuring quality control standards are met and maintained. The Physician Support Specialist Supervisor will collaborate with the medical team to streamline workflows and improve operational efficiency.

Key Job Elements
  • Provide administrative support to the Director of Dermatopathology, Pathologists, Director of Medical Practice Operations, Director of Laboratory Operations, Laboratory Manager, Quality Assurance Coordinator, other management personnel, and laboratory/pathology department staff
  • Manage team assignments based on client and pathologist preferences
  • Manage communication through phone, email, and interactions with departments, operations, leadership, medical staff, and external vendors
  • Track and update pathologist PTO, CTE, client visits, and licenses daily; manage PTO entries in Paycom for payroll on a weekly and monthly basis
  • Arrange training for new hire pathologists, establish profiles in the LIS, and prepare office workspace
  • Responsible for Creating and Maintaining Path QPF Folders
  • Report daily infectious disease cases diagnosed by pathologists to the appropriate state authorities
  • Schedule and follow up on ongoing safety and compliance training, ensuring adherence to operating policies, procedures, and regulations
  • Responsible for pathology and Quality Standard Operating Procedure (SOP)
  • Schedule and manage scope maintenance for all sites, including coordinating kiosk visits
  • Generate and present complex reports and data analysis for the Medical Practice, while managing and monitoring Pathologist case queues and unscanned cases
  • Coordinate collaborative case conferences across all sites, including determining the session path, scheduling the session and rehearsals, and selecting the cases to be presented
  • Review, investigate and work with VPMDs for clients at risk due to pathology issues

  • Detailed tracking of productivity metrics

  • Assist with medical practice QC data, process, peer review, and reporting, including providing quarterly data to the business line director and daily updates to the QC calendar
  • Create and update the monthly Secondary QA calendar and support quarterly Quality Assurance (QA) meetings, while monitoring specific QA quality indicators
  • Assist in the prompt and complete reporting of Reportable Quality Issues: Occurrence Management related to Medical Practice in compliance with the Standard Operating Procedure
  • Coordinate the preparation and shipment of QC materials, and order supplies for pathologists
  • Facilitates and coordinates monthly Random Retrospective Review of pathologist cases and tracks disagreements found

Qualifications

Knowledge/Experience
  • High School Diploma or equivalent required
  • Bachelor of Science degree, strongly preferred (chemical, physical, biological or clinical laboratory science or medical technology)
  • Four (4) to seven (7) years of health care administration experience required. HT, HTL, or MT (ASCP) certification preferred
  • Experience in supervising teams or managing staff, with a proven ability to lead, guide, and mentor employees to achieve organizational objectives required
  • Knowledge of medical practice compliance
  • Experience with Quality Assurance and laboratory regulations/accreditation requirements preferred
  • Experience in all aspects of the AP laboratory operations desired

**Responsibilities:**
GENERAL SUMMARY
Performs complex secretarial and administrative duties in a fast-paced environment supporting clinical, educational, and academic programs. Responsible for all clinic preparations, including but not limited to providers' time and calendar management while optimizing provider-patient schedule, coordination of patient care, and information/data support.
SCHEDULE
FT, 40 hours (Monday-Friday 9:00am-5:30pm)
**ESSENTIAL FUNCTIONS**
+ Serves as primary contact for provider(s).
+ Manages provider(s) calendar and prioritizes appointments and meetings based on provider preferences.
+ Chooses and recommends among competing demands.
+ Examines the clinical schedule(s) on a continuous basis to identify opportunities for optimizing the time and effort of providers.
+ Finds missing orders and sends them for review and approval.
+ Anticipates needs of insurance companies by gathering all necessary information for referrals and prior authorizations.
+ Applies provider preferences and protocols in selecting multiple possibilities to execute and/or delegate follow-up actions based on the provider's patient notes.
+ Composes, edits, and obtains signatures for non-routine letters of correspondence related to appeals on denied claims, including compiling all necessary information and drafts for provider signature.
+ Manages provider(s) documentation and information.
+ Composes and types of non-routine correspondence providing factual information.
+ Arranges travel, conference registration, and hotel accommodations.
+ Interfaces with organizations, hospitals, and others to facilitate invited lectures and speaking engagements for the provider.
+ Research hospital medical records for the information requested by physicians, insurance companies, and attorneys.
+ Determines the order of daily surgeries and ambulatory procedures based on the patient's medical conditions and severity.
+ Negotiates surgical/procedure schedule by communicating complex details directly to the Operating Room scheduling office and Ambulatory Surgical Center Staff.
+ Authorizes overbooking and rearranging of surgeon's Operating Room schedules based on case complexity and medical urgency.
+ Authorizes rescheduling when cancellations occur by applying protocols for surgical scheduling.
+ Orders all necessary surgical/procedure equipment, devices, and medication based on the application of protocols needed to conduct the surgery/procedure.
+ Follows-up to confirm the order is fulfilled and ready for surgery/procedure.
+ Employs multiple contingency strategies to ensure all details, materials, and locations are ready for surgery/procedures as scheduled.
+ Ensures patient education and follow-up details vary according to pre-operative readiness and post-operative rehabilitation expectations and activities.
+ Accountable for completeness of all relevant information from pre-op testing and evaluations for review by the anesthesiologist and the Operating Room.
+ Assembles the necessary details from multiple tabs within the electronic medical record for review and inclusion when completing disability paperwork.
+ Assesses calls to understand patient needs, prioritizes medical concerns, and obtains responses from providers and follows up with patients.
+ Serves as main point of contact for patients pre- and post-operative.

**MINIMUM EDUCATION & EXPERIENCE**
+ High School diploma and 2 years of relevant experience required
+ Or equivalent combination of education and experience
+ Medical Terminology, experiences with surgical/appointment scheduling software (such as Flowcast), and electronic medical records preferred
**KNOWLEDGE, SKILLS AND ABILITIES**
+ Demonstrated customer relations skills required
