Order Processing Administrator

Position Overview:
We are seeking a detail-oriented and proactive individual to join our operations team as an Order Processing & Vendor Coordinator . This role is responsible for accurately processing customer orders, coordinating with vendors and suppliers, ensuring timely delivery, and maintaining strong communication across departments.

Key Responsibilities:
Order Processing

  • Review customer purchase orders in the companys ERP/CRM system ensuring all quoted items are entered with accuracy.
  • Verify product availability, pricing, terms, and shipping details.
  • Monitor order status from entry through fulfillment to ensure on-time delivery.
Vendor & Warehouse Coordination
  • Communicate directly with vendors and warehouse to confirm order details, lead times, and shipping schedules.
  • Follow up on purchase orders and proactively resolve any discrepancies in pricing, quantities, or timelines.
Internal Support
  • Serve as the liaison between vendors, customer implementation team and sales to ensure smooth order fulfillment.
  • Respond to internal inquiries regarding order status, delivery updates, and product availability.
  • Collaborate with the finance team to address billing, credit, or payment discrepancies.
Data & Reporting
  • Maintain records and reports within the CRM, Excel or other order management systems.
  • Prepare regular order status reports for management.

Qualifications:
  • High school diploma required; associates or bachelors degree preferred.
  • 2+ years of experience in order processing, purchasing, logistics, or supply chain support.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and ERP/CRM systems (e.g., Salesforce, Oracle or SAP, or similar).
  • Excellent attention to detail and time management.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team in a deadline-driven environment.
