Brief Job Overview

This is a hands-on, non-supervisory position in Reference Standards Production (RSP). This position works collaboratively across departments in Global Labs and Technical Operations (GLTO) to lead the successful implementation of new operational strategies required develop physical materials. The incumbent is responsible for coordinating cross-functional teams, managing resources, mitigating risks, and ensuring projects are completed on time and within budget. The Operations Project Manager monitors activities across established producers of USP physical materials to ensure program deliverables and quality requirements are met.

The Production Project Manager has the following responsibilities:

Lead cross-functional teams to establish new manufacturing and production models required for development (e.g. outsourced production) of USP physical materials. Monitor project progress against established timelines and adjust as needed to ensure timely completion.

Coordinate internal and external resources to ensure that projects adhere to scope, schedule, and budget.

Work closely with Material Operations Director in analyzing existing operational workflows and identifying areas for improvement.

Support implementation of production improvement efforts to ensure that processes used to develop physical materials result in the timely production of high-quality products.

Monitor production activities across established manufacturers of USP physical materials to ensure production deliverables, timelines, and quality requirements are met.

Develop tools and processes for managing day-to-day project activities, assessing risks, tracking progress and reporting outcomes.

Effectively communicate project updates, risks, and key decisions to stakeholders at all levels.

Support process development and documentation in Standard Operating Procedures (SOP).

Collect and analyze data to measure process performance, identify trends, and inform decision making. Track key performance indicators (KPI) to measure the effectiveness of implemented processes and deployed resources.

Perform other duties as required.

JOB SUMMARY:

The Production Project Manager holds accountability and responsibility to ensure that production jobs are delivered fully conforming and on-time to our customers. Core activities include project scheduling, inventory management and project risk management. The Production Project Manager will collaborate across departments to ensure jobs are moving forward per schedule and that challenges are resolved timely. The Production Project Manager will play pivotal role in customer interactions related to assigned programs.

Requirements

ESSENTIAL JOB FUNCTIONS:

* Creates project schedules for each production job assigned and is responsible for the communication between departments to facilitate that plan
* Pulls cross-functional teams together to aggressively resolve job related issues when they arise
* Maintains an accurate revenue and delivery forecast in company systems
* Identifies project risk and works to resolve issues proactively before they impact critical path
* Reviews job/contract requirements to identify all assembly and hardware requirements
* Creates Manufacturing Orders (MO) for the corresponding quantities along with other items identified in the order to create demand in the MRP system
* Ensures part coding and planning parameters and part assignments are optimized to support customer and business goals
* Executes all hardware pulls to support MO's and reviews job travelers provided by Configuration Management for assembly work; plans production capacity to coincide with hardware availability.
* Support project schedule by facilitating internal and external project meetings; responsible for subsequent action item management
* Provide internal and/or external project status updates at the required cadence
* Maintain and update required information in ERP system (BOM's, Routes, Production Start Dates, Shipment Dates, etc.)
* Facilitate job review meetings with Operations, Contracts, Engineering, Quality, and Materials to assure that all aspects and details of jobs are accounted for in the scheduling and outside process coordination activity.

OTHER JOB FUNCTIONS:

EDUCATION:

* Bachelor degree in engineering or business preferred

EXPERIENCE:

* 5+ years' experience in Project Management, with a minimum of 2 years in production planning within a manufacturing environment (Aerospace/Defense preferred)
* Proficient in the application of project management principles (PMP certification preferred)
* High level of proficiency with Microsoft Project (MCP Certification a plus)
* Proficient with MS Office Suite (e.g., Word, Excel, Project, etc.)

Responsibilities:
  • Manage the production of print and digital marketing projects, including ads, emails, collateral, and web content.
  • Utilize project management tools to track workflows and ensure timely delivery.
  • Schedule and facilitate project kick-off meetings and provide regular updates to stakeholders.
  • Allocate resources and prioritize tasks to meet project deadlines.
  • Monitor project timelines, budgets, and scope to ensure efficiency.
  • Build and maintain strong relationships with internal teams and stakeholders.
  • Address challenges and provide solutions to keep projects on track.

Qualifications:
  • Bachelors degree in marketing, communications, or a related field.
  • Minimum of 4 years of experience in traffic/project management within a creative or marketing environment.
  • Proficiency in project management tools (e.g., Workfront) and Microsoft Office.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple projects in a fast-paced environment.

POSITION SUMMARY

This Freelance Project Manager plans and coordinates the execution of various projects, ensuring adherence to all project performance targets such as timing, cost, quality, and achievement of proposed benefits/return. This role gathers project requirements, establishes project plans, confirms cost structures and oversees the overall execution of the project. The Project Manager interacts with internal teams, departments and clients to ensure the project maintains its critical path.

We seek a candidate with experience managing large-scale rollouts, particularly in event production, merchandising implementations, and campaign execution specifically in branded retail spaces. The ability to manage multiple stakeholders, adhere to tight deadlines, and maintain a high level of quality across all deliverables is essential for this role. This role is ongoing support for our Brand Experience team. The salary range for this role is $40-45 per hour. We may ultimately pay more or less than the posted range, and the range may change in the future.

* Lead - Display Leadership level confidence to own projects/teams and in interpersonal work

QUALIFICATIONS / REQUIREMENTS

* Bachelor's Degree in Project Management or related field
* 4+ years of previous project management experience in special events and onsite brand experiences
* Occasional travel either locally, nationally, and/or internationally may be required.
* High degree of proficiency MS Office Suite, Outlook & Internet applications
* Strong analytical, prioritizing, interpersonal, problem-solving, presentation, budgeting, project management (from conception to completion), & planning skills
* Strong verbal and written communication skills (including analysis, interpretation, & reasoning)
* Solid understanding and application of mathematical concepts
* Ability to develop and maintain collaborative relationships with peers and colleagues across the organization, as well as, internal and external clients
* Ability to work well autonomously and within a team in a fast-paced and deadline-oriented environment.
* Ability to work with and influence peers and senior management
* Self-motivated with critical attention to detail, deadlines and reporting

* Regularly/Occasionally lift and/or move up to 10 pounds.
