JOB SUMMARY


The Program Assistant (PA) role is an administrative support role for Oregon Nurses Association (ONA).  This position may support the labor department staff, as well as the professional practice department and government relations staff. The position may also support the organization’s governance entities, assist with the needs of the communications department, and provide other administrative support needs as assigned.

Project management is also part of this position, with each member of the pool functioning as a project facilitator. PAs are individually assigned projects by the EAS and the respective PA will act as the coordinator for that work. All projects will be overseen by the EAS and will involve working across departments within ONA.  

PAs must be able to independently organize, prioritize, and coordinate the daily assignments received from staff in a timely and efficient manner in order to meet deadlines and department objectives, while being able to facilitate long-range project facilitation.

QUALIFICATIONS:


This position requires a minimum of three years administrative experience that is relevant to the responsibilities of the position. Labor organization experience strongly preferred.  The successful candidate must possess excellent business writing, editing and proofreading skills with a strong ability to communicate both orally and in writing, and be proficient in MS Office: Word, Excel, PowerPoint, Publisher, Outlook, Survey Software; Internet.

COMPENSATION AND BENEFITS:
 

This is a full time, non-exempt position typically scheduled for 40 hours per week. The compensation is based on applicable years of experience applied to the wage scale outlined in the union staff ’s collective bargaining agreement.

ONA offers an hourly starting pay range of $24.69 to $36.54 depending on experience.

ONA also offers an exceptional benefits package including employer contributions (90%) to medical, dental and vision premiums, as well as employer paid long and short-term disability and life insurance. Opportunity to enroll in 401K plan after 6 months of employment which includes a 3% employer contribution, with additional longevity contributions after 5 years. Union members are also enrolled in a union pension plan.  Annual PTO is 25 vacation days, 8 personal days and 12 sick leave days.

Harbor Health also operates two Programs for All-Inclusive Care for the Elderly in Mattapan and Brockton and a Woman, Infants and Children (WIC) Nutrition Program.
To help further the mission of Harbor Health, we are currently seeking a WIC Program Assistant to join our team at the Harbor WIC Program.

Role:

The WIC Program Assistant coordinates the reception, file management, certification and check processing for WIC related activities. This position is Full Time, 37 hours per week. The position is primarily based at our partnering WIC office at DotHouse Health but must be flexible to work at our other WIC locations in Dorchester as well.

Responsibilities:
  • Performs reception duties including:
    1. Answers and directs phone calls
    2. Screens applicant inquiries for eligibility
    3. Manages appointment scheduling/rescheduling including reminder phone calls
    4. Greets and triages participants to appropriate staff
    5. Oversees flow of applicants/participants in waiting area
    6. Clerical duties as required
  • Follows all protocols and/or regulations for processing applicants/participants for (re)certification including:
    1. Verification of identity, income, residency, and participant category nad completes data entry for (re)certification.
    2. Educates and/ or explains participant's rights and responsibilities, WIC foods, and using benefits at authorized vendors.
    3. Referrals to MassHealth, Supplemental Nutrition Assistance Program (SNAP), and Transitional Aid to Families of Dependent Children (TAFDC) programs as well as other health and human service programs
    4. Provides notification for end of certification, missed benefits, and/or ineligibility to receive WIC benefits
  • Oversees benefit issuance for prescribed food prescription including:
    1. (Re)issuing of food/formula prescription benefits
    2. Security of WIC Card stock
  • Performs quality assurance activities
Requirements:
  • High School Diploma or G.E.D.
  • One year of general office experience with proficient computer skills including Microsoft Word, Excel and Outlook
  • Experience in health care or community facility preferred
  • Good communication and interpersonal skills
  • Must be available to work at multiple WIC sites and during program clinic hours, as needed
  • Bilingual Spanish/English highly desired

**Program Assistant - Adult Day**
**Location:** Brockton Adult Day, 764 N. Main St, Brockton, MA
**Pay:** $16/17 an hour based on experience
**Schedule:** 20 hours/week, Day Shift Part Time
**Language Requirement:** Must speak Cape Verdean Creole

+ Support the care, safety, and social/recreational engagement of individuals.
+ Aid with daily living needs, including personal hygiene, bathing, grooming, bathroom assistance, meal preparation, and medication administration.
+ Foster social skills, self-advocacy, and independence strategies.
+ Provide transportation for medical appointments, errands, shopping, or community activities.
**Qualifications:**
+ High school diploma or equivalent; must be 18 years of age or older.
+ At least one year of experience working with individuals with intellectual or developmental disabilities (experience with older adults preferred).
+ Physical exam within the past 12 months and current annual TB test.
+ Valid driver's license, reliable transportation, current registration, and insurance.
+ Proficiency in taking vital signs, monitoring weights, and supporting Activities of Daily Living (ADLs).
+ Current CPR and First Aid certification.
+ Strong attention to detail, effective communication skills, and a compassionate, reliable work ethic.
