Position Overview:
The Project Coordinator manages all administrative and coordination tasks related to roofing projects from sales handoff through job closeout. This role ensures jobs are audited, staged, scheduled, documented, and closed out accurately and on time. The Project Coordinator acts as the communication hub between Sales, Field Superintendent, Production Manager, Warehouse, and Finance to ensure smooth project flow, customer satisfaction, and company revenue goals are met.

Roles & Responsibilities:
1. Sales-to-Production Handoff & Audits
- Verify contracts and required documents (signed contract, selections, scopes, deposits, warranties, photos, notes).
- Complete Sales Audit: verify pricing, GP%, warranties, deposits, scope.
- Complete Preproduction Audit: confirm materials, validate permits/deposits, update CRM.
- Maintain complete project folders (digital & physical).
2. Scheduling & Coordination
- Schedule roofing projects promptly to fill pipeline and meet revenue goals.
- Coordinate crews, site supervisors, subcontractors, dumpsters, and equipment.
- Schedule and track service leads, prepare service folders, enter service jobs in Exactime, and close out.
- Update CRM with accurate dates, notes, and status changes.
3. Material & Logistics Management
- Order and track special-order materials for accuracy and timeliness.
- Coordinate staging and replenishment with Warehouse Supervisor.
- Arrange dumpster logistics and vendor communication.
- Verify material returns/adjustments post-project.
4. Customer & Internal Communication
- Main administrative contact for customers during preproduction and scheduling.
- Conduct welcome calls, reminders, updates, and satisfaction follow-ups.
- Log 100% of all communications in CRM.
5. Project Closeout
- Complete Postproduction Audit (photos, permits, receipts, change orders, payments).
- Verify completion documentation, upload to CRM, and submit to Finance.
- Mark project statuses as “Complete.”
6. Reporting & KPIs
- Track/report on scheduling timeliness, material accuracy, closeout timeliness, and customer satisfaction.
- Provide daily/weekly updates on pipeline, chargebacks, and delays.
- Assist Production Manager with dashboards, reports, and meeting scorecards.
7. Team Support
- Assist Production Manager with scheduling, reporting, and special projects.
- Support warehouse and site supervisors with staging/logistics.
- Act as scribe for weekly L10 meetings when required.
