Maximus compensation is based on various factors including but not limited to job location, a candidate's education, training, experience, expected quality and quantity of work, required travel (if any), external market and internal value analysis including seniority and merit systems, as well as internal pay alignment. The Project Coordinator will provide routine administrative support to internal and external project management team members. - Collects, processes, inputs, organizes and files data and documentation from various sources and stakeholders as requested by project management team in accordance with established business processes.
- Processes information within specific timeframes in order to maintain efficiency and timeliness.
- Provides timely and effective communication to internal and external stakeholders.
- Supports project management during the bidding process, with deliverables such as creating bid invitations, preparing specifications documents, addressing regulatory and compliance requirements and creating, tracking and following up on bid communications.
- Supports project management during the award process by:
o Issuing and/or preparing bond memos
o Setting up, issuing, and fully executing subcontracts
o System access to dashboards
- Organizes information into standard formats and reports in various systems and locations such as the project dashboard, CMiC, electronic signature tools, etc. Maintains documents per established file structure.
- Coordinates submission of project documentation per project requirements. Prepares routine correspondence (such as letters, emails, meeting notes and proposals) and reviews outgoing materials for conformance with best practice standards and formats.
- Creates and distributes potential change items (PCIs) and requests for information (RFIs). Follows up as needed to include pricing efforts and distribution of change orders.
- Supports project management with project deliverables, such as managing information on the project dashboard and electronically processing various documents (such as submittals, pay applications, bills of sale, compliance documentation, requests for information and change documents).
- Tracks, monitors and/or collaborates with internal stakeholders to ensure necessary documentation (such as badging, certified payroll, diversity reporting, insurance certificates, bonds, lien waivers, affidavits, etc.) meets compliance requirements before releasing payments to subcontractors.
- May receive and direct incoming telephone calls and visitors or provide additional administrative support to other functions to help meet business and staffing needs.

The Center for Dissemination and Implementation (CDI), within the Department of Psychiatry and Behavioral Sciences, consists of three national centers and numerous addiction and mental health services implementation projects at national, health system, state, county and community levels. CDI's mission is to advance the science of implementation and improve access to the best treatments available. This position is an excellent opportunity to advance skills in research and scholarship, join a friendly and productive team, and contribute to the greater good of public health. We are looking for a motivated, reliable, detail-oriented, and responsible individual who will perform well in a collaborative setting by demonstrating initiative, being responsive to requests made by investigators, and showing competence in multi-project management. The candidate will have an array of opportunities to enrich his/her research experience and publications through collaborations with investigators in the department who have expertise in areas such as implementation science, substance use, and mental health.

**DESCRIPTION:**
The Project Coordinator- QA/QC provides administrative support to the jobsite project team. Responsible to ensure smooth day to day activities on the project site, including site office equipment and supply management and to assist with document administration and tracking of all associated construction compliances. This position may be located at a regional office OR at a construction project site and candidate must have the flexibility to change construction projects as needed.
**Essential Duties and Responsibilities:**
+ Read all the subcontractors Daily Reports and inform Superintendent of any concerning entries.
+ Advance inspection requests in project inspection software (Inertia) and verify submittals, times, etc.
+ Enter inspection requests into logistics tracking software (TeamUp).
+ Scan and file fire watch safety logs & construction barrier assessment logs, upload to Owner software (PMWeb).
+ Update the weekly work plans for the field TV displays.
+ Download monthly labor report from R&S tracking software (Procore), review and issue to Superintendent and Project Manager.
+ Update and upload MMRP (City of Palo Alto reporting requirement) monthly with project changes.
+ Get signatures for R&S field timecards, scan and return to Main Office Admin and Field Superintendent.
+ Download, read and file special inspector reports.
+ Download and file jobsite Inspector of Record reports.
+ Track subcontractor upcoming inspections (based on previous week's Inspection Reports).
+ Help populate the finish protection matrix by reviewing project specifications.

**REQUIREMENTS:**
+ Education: High school diploma required, Associate's degree preferred

**Position Summary**
ePluribus Stanford is seeking a Project Coordinator to provide vital support to the initiative's leadership team. This role will work closely with the Executive Director and Faculty Directors to manage and implement various programming and activities essential to the initiative's goals.
Ideal candidates will possess strong research and presentation skills, demonstrating the ability to conduct independent research projects with minimal supervision while maintaining meticulous attention to detail. **CORE DUTIES**
+ Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.

Base Pay Scale: Generally starting at $44.60 - $57.99 per hour
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
