Responsible for the day-to-day coordination and completion of enterprise level projects within Western & Southern Financial Group (WSFG) using a combination of disciplines (process, change, and business, technical). Responsibilities

What you will do:

  • Submits Project Change Control Requests when revisions to scope, schedule and/or budget are required. Makes recommendations to Program Managers on program-related change requests.
  • Prepares Project Status Reports and provides regular status updates to Program Managers, clients, and stakeholders. Acts as a liaison between the business customer and project team(s) by building cooperative, constructive, effective relationships.
  • Conducts project meetings and is responsible for project tracking and analysis. Performs administrative duties commensurate with the requirements of the organization including data gathering, metrics, and reports, and is accountable for the management of the supporting project budget. Accountable for the successful delivery of assigned projects following established PMO and quality standards/guidelines and provides a single point of contact for those projects. Reviews and ensures that all assigned projects are delivered within the defined scope, quality, time and cost requirements.
  • Facilitates quality systems, continuous process improvement, and project-related change management in accordance with the needs of the organization.
  • Assists as appropriate in the development of all program/project requirements (functional and non-functional) for customers and ensures the implementation of strategies and initiatives to effectively meet or exceed business requirements and customer expectations.
  • Coordinates resource feedback discussions with and provides resource feedback to Program Leads and Program Managers.

Manages Project Plan to ensure that deliverables are on track by providing guidance to team members around assignments, tasks, priorities, and timeframes. Drives plan refresh activities based on direction from Program Manager and input from Program and Project Leads, and updates Project Plan in alignment with the overall Program Plan.

**The Role**
We are looking for a proactive and driven Project Associate to join our Benefits Delivery and Administration (BDA) Project Management Office (PMO). **Compensation and Benefits**

**Compensation**

Position Summary

As a member of the Site Project Management Office (PMO), the Project Manager will be responsible for leading client facing projects. The role will also create and maintain project metrics, dashboards, and reports.

Duties & Responsibilities

  • Lead the planning and execution of client facing projects as project manager.
  • Lead all project activities and meetings (including client facing, internal coordination and third party vendor meetings). Lead client kickoff meetings, process and analytical technical transfers, frequent routine project team meetings with the client, and sub-team meetings as required.
  • Participate in client visits and audits as needed, and coordinate activities for client Person-in-Plant (PIP) visits to Syracuse site.
  • Develop, maintain and communicate project timelines, project documentation repositories, risk logs and Key Performance Indicator (KPI) dashboards.
  • Develop and drive detailed plans, identifying critical path activities and timing while meeting strategic intent and achieving key milestones.
  • Partner with the business development team for finance and invoicing activities, and new opportunities for existing clients. Understand the needs of the client for additional work that was not included in the defined scope of work, and create and execute project change orders with the appropriate pricing and timeline.
  • Define project team and communicate project resource requirements.
  • Manage resources to attain project deliverables and coordinate project communication for all stakeholders.
  • Proactively identify, facilitate resolution, and escalate issues related to all aspects of client facing projects.
  • Ensure problem solving and decision-making processes are in place to address major project risks and issues. Identify, document, resolve, communicate, and/or escalate risks and issues to senior leadership when appropriate.
  • Collaborate with key stakeholders to manage expectations.
  • Drive consistency and continuous improvement with project management tools and templates in line with PMO best practices and project management fundamentals while focusing on safety, quality, schedule, and budget.
  • Develop project communications strategy, approach, and plan. Provide routine project updates at designated forums.
  • As required and agreed to, aid other site functions for non-client related project activities.
  • Foster diverse/inclusive high-performance teams and maintain strong relationships with internal operational and functional leadership and all client representatives on project teams.

Education & Experience

  • B.S. in engineering, science, or technical discipline.
  • Minimum of 5 years experience in a pharmaceutical GXP environment.
  • Prior experience in Project Management / Project Management Professional (PMP) certification is desirable.
  • Prior experience in a business environment/ knowledge of business principles (sales, pricing, proposals, contracts) and Customer Relationship management is desirable
  • Proficiency with project management, Microsoft applications, and data IT tools, e.g. Microsoft Project, Excel, PowerPoint, SharePoint, Smartsheet, and Data Visualization tools such as Tableau or Power B

Project Management Office (PMO) Office Roles and Responsibilities

We are seeking a motivated and detail-oriented Project Management Office to join our team. The PMO Manager is responsible for leading the successful execution, oversight, and delivery of mechanical, electrical, and plumbing (MEP) engineering projects. The PMO Manager will maintain technical quality and coordination across disciplines and act as the bridge between executive leadership, engineering teams, and clients, overseeing the entire lifecycle of MEP projects from initiation to closeout. This role requires a well-organized and strategic leader with strong communication skills and a commitment to consistency and excellence in project execution. The ideal candidate will drive the development and enforcement of standardized project management practices across the organization while fostering a collaborative, accountable, and results-driven work environment.


Key Responsibilities:



1. PMO Leadership and Strategy:

  • Develop and implement PMO processes, standards, policies, and best practices specifically tailored for MEP engineering projects.
  • Lead and guide project managers and cross-functional teams in applying consistent project management methodologies that drive quality, predictability, and efficiency across all phases of project delivery.
  • Evaluate and enhance existing project management tools, templates, and workflows, identifying opportunities to improve speed, scalability, and resource alignment.


2. Project Oversight and Coordination:

  • Supervise end-to-end project lifecycle activitiesincluding planning, execution, quality control, on-time delivery, and close-outacross multiple concurrent MEP projects.
  • Monitor key performance indicators (KPIs), including project timelines, budget adherence, quality standards, and resource utilization.
  • Proactively identify and assess project risks and issues; lead development of mitigation strategies and ensure timely resolution through structured.


3. Resource Management:

  • Allocate appropriate resources, including personnel and equipment, to ensure optimal use across multiple projects.
  • Coordinate closely with lead Engineering Associates, Finance, and HR to manage resource forecasting and capacity planning.


4. Reporting and Documentation:

  • Establish reporting systems and dashboards to track and communicate project progress, status, risks, and issues to senior management and stakeholders.
  • Maintain comprehensive project documentation and ensure compliance with internal standards, external regulations, and client specifications.


5. Stakeholder Management:

  • Serve as a key point of contact for clients, stakeholders, and internal teams, providing regular updates and promptly addressing concerns or changes.
  • Foster positive relationships with clients, ensuring satisfaction and facilitating future business opportunities.


6. Team Development:

  • Mentor, train, and develop project management staff, fostering a culture of continuous learning and professional growth.
  • Lead internal PM roundtables, workshops, and onboarding for new PM hires.
  • Serve as a key point of contact for clients, stakeholders, and internal teams, providing regular updates and promptly addressing concerns or changes.
  • Foster positive relationships with clients, ensuring satisfaction and facilitating future business opportunities.


Conduct performance reviews of PMs and provide constructive feedback to drive team improvement and effectiveness.


Job Qualifications and skills


Education:

  • Bachelor's degree in engineering, Project Management, Construction Management, or related discipline.
  • PMP (Project Management Professional) Certification is required.

Experience:

  • 8+ years of proven experience in project management roles, with at least 3 years managing a PMO or similar leadership position within an MEP or engineering-focused organization.
  • Demonstrated experience managing complex MEP projects from inception through completion.

Skills & Competencies:

  • Expert knowledge of project management methodologies, frameworks, and tools that have been proven to manage and track budgets, schedules, and KPIs.
  • Strong technical understanding of MEP engineering concepts and practices.
