Description
This position will offer you the ability to directly apply your skills to meet project team needs associated with contracting, work management, materials tracking, financial forecasting/tracking and project execution. These tasks are critical to the successful management and execution of energy transmission and distribution projects. This work will include interfacing directly with project management, contractors, vendors, and site personnel to control/forecast costs and deliver reporting. Using a variety of industry and proprietary software tools and under the direction of project leadership, you will perform the following tasks:
+ Monitor and report on deliverable status
+ Work with project controls to update schedule status
+ Create Requests for Proposals, solicit bids from contractors, and process Contract Requisitions
+ Create and process Contract Change Requisitions for vendors supporting projects
+ Create and process Contractor Payment Authorizations
+ Perform financial forecasting and tracking, reviews and reporting of overall project accruals for large projects and programs.
+ Capture new Work Orders and tasks in support of work management tracking
+ Create Service Requests, provide change management controls for multiple contractors, equipment, and other project resources
+ Support driving of projects to meet key schedule, cost and quality metrics for project success.
+ Generate materials status reports and update materials request dates
Qualifications

Essential skills and experience:
+ Ability to manage various data types, navigate software systems and interfaces with key stakeholders
+ Communication: Excellent written and verbal communication skills, with a proven ability to interact and multitask with project team members, clients, and vendors of varying position levels.
+ Motivation: Eager to learn new skills and develop knowledge to make a valuable impact to project team operation. Willing to engage with others to understand project team needs. Committed to deliver high quality, accurate deliverables with attention to detail.
+ Computer Skills: Working knowledge in MS Office tools, with emphasis on the use of MS Excel and/or MS Access to support data collection, management and reporting requirements.
+ A proven ability with creating reports by relating and extracting and working with data from a variety of software platforms
+ Familiarity with the practical application of project controls
Valued but not required skills and experience:
+ Bachelor of science degree from an ABET Accreditation Commission-approved program with a strong academic background, or equivalent experience
+ Related internship, co-op, or work experience, preferably within the power industry
+ Experience using various conditional aggregation and lookup functions in MS Excel
+ Experience with project information software solutions, such as IBM Asset Suite, Oracle People Soft, Oracle Hyperion Financial Management, and RedWave.

We have partnered with a client within the construction industry on their search for a Project Administrator who can provide administrative support to project teams, ensuring smooth coordination of project activities, documentation, and communication. In this role, the Project Administrator will review and confirm site plans, coordinate with subcontractors, edit architectural plans, assist with monthly budgeting, coordinate meetings & agendas, ensure compliance with company policies, assist in procurement and vendor correspondence, monitor financial reports, and act as a point of contact for project members and clients. The ideal candidate must have excellent organizational skills, solid time management skills, and the ability to work in a fast paced environment.
Primary Responsibilities
· General administrative support
· Manage internal record keeping system
· Project procurement management
· Prepare financial reports
· Assist with vendor/subcontractor correspondence
· Plan and organize project scheduling
· Develop process improvement opportunities
· Review and analyze site/architect plans
· Assist billing department as needed
Requirements
The ideal Project Administrator will have a Bachelors degree in Business Administration.

Job Description
We are seeking a dedicated Project Administrator to join our team. In this role, you will collect and manage environmental compliance documentation, create Material Declarations in Agile, and support project coordination, including planning, budgeting, and vendor communication. You will track project progress, resolve obstacles, review documents for acceptance criteria, contribute to process improvement and standardization, assist with product development and sustaining projects, and prepare reports while maintaining traceability records.
Responsibilities
+ Collect and manage environmental compliance documentation.
+ Create Material Declarations in Agile and attach documentation to part numbers.
+ Support project coordination, including plans, budgets, and vendor communication.
+ Track project progress and resolve obstacles.
+ Review documents for acceptance criteria.
+ Contribute to process improvement and standardization.
+ Assist with product development and sustaining projects.
+ Prepare reports and maintain traceability records.
+ Liaise with vendors, engineers, and internal teams to avoid redundancy and ensure smooth execution.
Essential Skills
+ Proficiency in Microsoft Office Suite, including Word and Excel.
+ Experience in documentation management, including requesting, tracking, and validating environmental compliance documents from suppliers.
+ Ability to support project plans, budgets, resource allocation, and buffer tracking.
+ Familiarity with Agile System for creating Material Declarations.
+ Understanding of process improvement and creating Standard Work documentation.
+ Cross-team coordination skills.
+ Basic understanding of product lifecycle: design, manufacturing, market use.
Additional Skills & Qualifications
+ BS/BA in Engineering, Physical Sciences, or equivalent experience.
+ 4+ years supporting product development or compliance projects.
+ Familiarity with Agile PLM systems.
+ Experience with BOMs, ECOs, and regulatory documentation.
Work Environment
The position is based in an indoor office setting, offering the flexibility of an onsite or hybrid model with remote Fridays possible. The environment is low noise, well-lit, and ventilated, with physical demands mostly involving seated work and occasional lifting (up to 20 lbs).
