Job Summary:

The Proposal Coordinator plays an integral role in driving our Government and Public market initiatives, while contributing to key business development efforts. The Proposal Coordinator will be responsible for all phases of the proposal development lifecycle including capture planning, strategizing, organizing, and executing proposals. In this role, you will work collaboratively with the Director of Business Development, internal subject matter experts, and external teaming partners, to ensure timely and compliant proposal submissions.

Key Responsibilities:

  1. Proactively identify, track, and manage Government, State, and Municipal contract opportunities using sources such as SAM.gov, WI.gov, VendorNet, etc.
  2. Thoroughly assess the suitability and potential value of contract opportunities based on specific criteria
  3. Lead the development of compelling, clear, and concise proposal content, ensuring adherence to established guidelines, compliance, and consistent messaging
  4. Coordinate, write, review, and edit original content for non-technical proposal sections to deliver clarity, compliance, and key messages and win themes
  5. Establish and manage proposal schedules and deadlines, build out proposal workbooks, monitor progress, and coordinate with internal staff
  6. Schedule and facilitate Project Kick-Off Meetings with teaming partners
  7. Independently coordinate with and collect information from teaming partners and subconsultants
  8. Review proposal drafts and final documents to ensure responsiveness, compliance, and quality
  9. Support follow-up activities including confirming submission receivals, responding to supplemental requests for information, and submitting requests for debriefs
  10. Work with Project Architects and Designers to develop and/or update project descriptions and team resumes in accordance with RFP/Q responses
  11. Conduct Government and Public market research to gather intelligence on potential future opportunities and emerging trends to inform business development initiatives
  12. Populate, update, and manage business development-related tools, such as Pipeline reporting and project databases
  13. Draft creative covers, update org charts, edit project marketing materials, create tables and diagrams, etc.
  14. Support business development strategies that align with business objectives, market trends, and client requirements, effectively positioning NAE to win competitive bids
  15. Develop strategies to enhance proposal development efficiencies and contract win rates


Minimum Qualifications:
  • Bachelor's degree in Business, Communications, Marketing, or a related field
  • 3+ years of experience in proposal development, business development, or marketing
  • 1-3 years of experience in Architectural Engineering and Construction (AEC Industry), government contracting, or a related field
  • Proven track record of leading successful proposal efforts
  • Excellent technical writing and verbal communication skills
  • Exceptional organization and project management skills, with the ability to manage multiple proposals and competing deadlines while maintaining attention to detail
  • Demonstrated ability to work independently, managing cross-functional collaboration and coordination
  • Proficiency in Microsoft Office Suite
  • Proficiency in Adobe Creative Suite (InDesign)
Additional Preferred Skills:

Overview

Colliers Engineering & Design is looking for a motivated Proposal Coordinator to join our growing team in Houston, TX.

In this role, you’ll lead the development of proposals and qualifications packages for key project pursuits. You'll work with Project Managers and teams to gather content, ensure RFP requirements are met, and manage the proposal process from start to finish. This includes coordinating with marketing staff, contacting sub-consultants or partners, and assembling polished, accurate final documents. This is a great opportunity for someone who enjoys collaboration, organization, and driving results.

Responsibilities

  • Collaborate with remote project managers and proposal managers to craft and submit custom proposals in response to Requests for Proposals/Requests for Qualifications (RFPs/RFQs) from the initial planning stage through final production and delivery.

  • Coordinate and manage the marketing process, all pursuits from start to finish.

  • Assist with maintaining and updating corporate firm information for use in Firm Qualifications.

  • Assist with searching for RFQ/RFPs through various procurement websites.

  • Track, update, and report on pursuits of interest.

  • Coordinate with subconsultants as needed.

  • Maintain and update Unanet/Cosential (CRM) which includes, opportunities and qualifications.

  • Keep an inventory of all marketing supplies for proposals and qualifications.

  • Special Project Assignments as directed by Proposal Manager.

Qualifications

  • 3+ years of new business proposal writing experience (strong preference for experience in the A/E/C or professional services industry).

  • Knowledge of Microsoft and Adobe programs.

  • Relationship Management.

  • Business Acumen.

  • Communication skills.

  • Program/Project Execution.

  • InDesign experience preferred.

  • Must be detail-oriented and organized.

  • Experience using Microsoft programs including Word, Excel, Outlook, Teams & PowerPoint.

  • Strong writing and editing skills.

  • Knowledge of Unanet/Cosential (CRM) a plus but not required.

  • Ability to read, write and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.

Job Description

SUMMARY
The Proposal Coordinator will act as a generalist for all things marketing within the firm. The coordinator will drive marketing tasks for our market segments and emerging market segments preparing RFPs, RFQs, SOQs, submittals, proposals, presentations, and any other business development or marketing related material that will further the growth goals of the company.

RESPONSIBILITIES
  • Primary Essential Functions
    1. Participate in project kickoff meetings and provide input on the production schedule
    2. Lead proposal efforts by compiling and organizing information such as project descriptions, narratives, and resumes
    3. Coordinate, format, write, edit, and proofread proposals, statements of qualifications, and related marketing materials
    4. Manage customized proposals by gathering input from various departments to meet deadlines
    5. Occasionally deliver proposals and coordinate with vendors, subconsultants, and clients
  • Secondary Essential Functions
    1. Oversee the presentation process after a proposal shortlist is achieved
    2. Assist with design of covers, organizational charts, advertisements, marketing materials, web updates, and presentations
    3. Update and maintain a polished project information database
    4. Perform miscellaneous tasks promptly, as needed
    5. Ensure brand guidelines are adhered to across all materials
    6. Participate in ongoing training efforts
    7. Assist in proposal peer reviews
    8. Deliver exceptional client service throughout the proposal process
    9. Performs other functions, as requested
QUALIFICATIONS
  • 3+ years of marketing/writing-related experience in a high-volume environment.
  • Bachelor's degree in marketing, journalism, communications, or similar fields.
  • Proficiency in Adobe Creative Cloud applications (InDesign, Illustrator) required.
SKILLS
  • Must be flexible, self-motivated, able to prioritize multiple tasks, coordinate shifting priorities, respond to short-term deadlines, and carry a heavy and diverse workload.
  • Strong oral and written communication skills
  • Excellent time management and ability to meet deadlines
  • Strong organizational and process management skills
  • Collaborative team player with a professional demeanor
