IKM Architecture is seeking a detail-oriented and proactive Proposal Coordinator to support the firm’s pursuit efforts. This role is focused on developing high-quality proposals, qualifications packages, and presentations. The ideal candidate will bring strong writing, editing, and organizational skills, with the ability to manage multiple deadlines and collaborate with technical staff, consultants, and leadership teams.
Responsibilities:
- Proposal Development: Coordinate and produce RFQs, RFPs, and related submission materials from kickoff through delivery, ensuring compliance with client requirements and IKM brand standards.
- Document Analysis & Planning: Review RFQ/RFP documents, create pursuit matrices and schedules, and facilitate kickoff and review meetings to align stakeholders.
- Content Development: Draft, edit, and format resumes, project sheets, and proposal narratives tailored to pursuit strategy and client priorities.
- Presentation Support: Develop and format interview and presentation materials; assist with coaching teams to ensure clear, consistent messaging.
- Research & Strategy: Research clients, projects, and competitors to help shape win themes and pursuit strategies.
- CRM Management: Maintain and update project data, resumes, and opportunities in the firm’s CRM (Deltek).
- Quality & Brand Consistency: Ensure accuracy, clarity, and consistency across all pursuit deliverables.
- Marketing Materials: Support creation of collateral such as award submissions, brochures, and event materials (secondary to proposals).
Qualifications:
- Bachelor’s degree in Marketing, Communications, English, Business, or related field.
- APMP Foundation Certification preferred.
- 3–5+ years of proposal coordination or marketing experience, ideally in the A/E/C industry.
- Strong writing, editing, and proofreading skills, with the ability to tailor messaging for different audiences.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
- Experience with CRM systems (Deltek Vision/CRM or similar) required.
- Experience with Adobe Creative Suite (InDesign, Photoshop, Illustrator).
- Strong organizational skills, with the ability to manage multiple deadlines and projects.
- Knowledge of the SF330 process is highly valued.

- Review RFPs and RFIs, help determine proposal requirements, and support the proposal process by gathering information from staff, preparing draft sections, and coordinating milestone meetings and reviews.
- Conduct preliminary and final quality assurance checks on materials, ensuring accurate grammar, adherence to compliance standards, and alignment with proposal strategies.
- Design impactful graphics, charts, and diagrams for pursuit efforts, business development, and marketing materials.

About the Role
MWHis currently seeking a qualified Proposal Coordinator to support our Marketing and Business Development team in developing compelling proposals which describe the expertise and capabilities of our company and further demonstrate why we are best suited to lead critical and complex water/wastewater infrastructure projects.
The Proposal Coordinator will work closely with the proposal development team (writers, managers, and graphic designers), operations staff, and other departments to develop and prepare proposals that respond to the requirements of client's Requests for Proposal (RFPs). This position will provide proposal guidance, coordination, management, writing support, research, proof development, text and graphics editing, maintenance of select marketing databases, and perform other varied marketing tasks as needed. The Proposal Coordinator must be willing to wear many hats in support of our overall Marketing and Business Development initiatives. This position is located in Corona, CA
Essential Functions
- Coordinates a variety of proposals, Statement of Qualifications (SOQs), and other marketing materials under the direction of the Proposal Manager and/or Campaign Manager.
- Researches and compiles information from a variety of databases and data sources, including interviewing subject matter experts.
- Writes, proofreads, and edits proposal sections, including, but not limited to, resumes and project descriptions.
- Helps with organizing proposal documents in compliance with RFP requirements, which includes working closely with the Legal and Finance departments.
- Reviews and quality checks own work and/or the work of others to ensure compliance with RFP requirements, proper grammar, and final product quality.
- Assist with proposal printing and production.
- Maintains proposal and marketing databases.
- Works in a manner to ensure your personal safety and that of fellow employees by following company health and safety guidelines and policies.
- Other relevant duties as assigned.
- Minimum of 1 year of experience performing similar project management duties, preferably involving writing/presentations/proposals, including progressively increasing levels of responsibility.
- Bachelor's degree required, preferably in Business, Marketing, Journalism, English, Communications or a technical/scientific field.
- Excellent written and verbal communication skills, including proofreading skills.
- Excellent attention to detail and organization skills.
- Ability to understand and translate technical writing and data into sales-focused writing that is easily understood by others.
- Ability to multi-task and prioritize concurrent tasks with minimal supervision.
- Ability to work in a team setting and adhere to prescribed process standards.
- Intermediate skills with MS Office Suite.
- Understanding of or experience with the AEC and/or construction industry (environmental remediation, civil engineering and consulting, and construction related to these fields).
- Experience with RFP responses and/or business writing.
