As a Talent Acquisition Senior Associate, you will support PMG across the Campus/Early Career candidate pipeline-including candidate and requisition data validation, application review, interview scheduling, and background check coordination. This role plays a key part in delivering a thoughtful and efficient hiring experience by ensuring accuracy, responsiveness, and a welcoming approach throughout the recruitment process.
You'll also have the opportunity to contribute to learning programs for Campus/Early Career hires, with the benefit of supporting them from the interview process all the way through to joining PMG.
What You'll Be Doing
- Coordinate interview scheduling through our Applicant Tracking System (ATS) and scheduling tools, making the process smooth and seamless for candidates and teams alike.
- Arrange and manage candidate travel-including booking and reimbursement-to ensure a stress-free, welcoming experience.
- Maintain the Talent Acquisition team's calendar, managing meeting invites, logistics, and room reservations with care and precision.
- Greet and host candidates onsite at our Dallas office, offering thoughtful tours and helping create a comfortable, positive interview experience.
- Keep candidates informed throughout the process by managing timely communications through our ATS.
- Process background checks, track results, and ensure steps are completed in a timely and organized way.
- Partner closely with recruiters to ensure a unified, thoughtful candidate experience from start to finish.
- Prepare interviewers by sharing schedules, logistics, and background materials to help them show up informed and ready.
- Review and update candidate data in our ATS to support clean records, smooth handoffs, and strong reporting accuracy.
- Create and share basic reports using the ATS and other tools to help the team stay informed and make data-backed decisions.
- Support our Graduate Leadership Program (GLP) by coordinating interviews, managing communications, setting up events, and helping deliver an engaging, organized experience for every candidate.
- Pitch in across Talent Acquisition Operations-helping with job description updates, occasional recruiting and sourcing support, system administration in Greenhouse, and process documentation.
- Lend a hand with broader People & Culture initiatives when needed, contributing to a collaborative and connected team environment.
- 1+ years of experience in talent acquisition, with a bachelor's degree or equivalent work experience.

We are currently seeking a Recruiting Coordinator to join our Human Resources team. This position is located in our Menlo Park, CA office and requires regular time in the office. In this position, you will play a critical role in our efforts to identify and recruit talented Ph.D. level engineers and scientists for consulting positions within Exponent, as well as non-consulting roles supporting our various teams. Position SummaryAs a Recruiting Coordinator, you'll partner closely with our People Partner to keep the hiring process organized, responsive, and people-centered. In this role, you'll ensure candidates feel respected and hiring managers feel supported by coordinating interview logistics, managing candidate communications, and maintaining accurate systems. Your attention to detail and commitment to service will help create a smooth, positive experience for both candidates and hiring teams. Position Responsibilities- Schedule and coordinate all recruiting activities including intake meetings, phone screens, interviews, and debriefs ensuring a smooth and timely experience for candidates and hiring teams
- Work collaboratively with internal stakeholders including hiring managers and the People Team, to support hiring timelines and logistics
- Review incoming resumes to flag promising candidates and support initial screenings ensuring timely prioritization and follow-up
- Maintain accurate candidate records in ATS including interview feedback, status changes, and scheduling updates
- Post job openings on the Heath Careers site and external job boards using approved job descriptions
- Draft and manage clear, timely, and professional communication with candidates and hiring partners
- Prepare interview guides, manage interview logistics, and assist with candidate communications and confirmations
- Track the status of recruiting workflows and proactively follow up on next steps to keep processes moving forward
- Support offer letter coordination and onboarding tasks
- High school diploma or equivalent required; associate or bachelor's degree preferred
- 1-2 years of experience in recruiting coordination, HR support, or administrative coordination preferred
- Strong organizational skills and ability to manage multiple tasks and timelines with attention to detail
- Excellent written and verbal communication skills
- Discretion and professionalism in handling confidential candidate and employee information
- Proven ability to work independently while collaborating effectively across teams
- Customer service mindset with a focus on candidate experience
- Experience with applicant tracking systems (JazzHR preferred), G Suite (Docs, Sheets, Calendar), and video conferencing tools (Google Meet)
- English required, Spanish a plus
This is a part-time, hourly position averaging 20 hours per week, ideally structured as 4 hours per day. While we embrace a hybrid work model, in-person collaboration is an important part of our culture. This role offers flexibility to work remotely with occasional onsite days at our San Francisco office. Tuesday is our current in-office anchor day. The hourly rate for this position is $34$36, depending on experience.

About the Role
As a Recruiting Coordinator, you will play a critical role in delivering a high-quality hiring process and seamless candidate experience. You will manage interview logistics, onsite interviews, and general support of recruiting and hiring teams. You will also have the opportunity to support university recruiting initiatives, sourcing efforts, and more. This is a highly dynamic role requiring the ability to adapt quickly, balance multiple competing priorities, and collaborating closely with teams. The ideal candidate is someone who is keenly detailed-oriented, proactive in getting information needed, and is passionate about delivering a world-class candidate experience.
Key Responsibilities:
- Schedule and coordinate a high volume of phone, virtual and onsite interviews, including travel coordination, with efficiency and accuracy.
- Deliver an excellent and consistent candidate experience throughout the candidate life cycle.
- Coordinate candidate travel and process candidate reimbursements for travel and related expenses.
- Manage onsite candidate visits to ensure seamless operations and an exceptional experience.
- Assist recruiting team in various tasks, including applicant tracking system maintenance, process improvement projects, university recruiting coordination, and sourcing.
- Support People and Talent Acquisition projects as needed.
- Bachelor's degree and 1+ years of recruiting coordination experience; or associate degree and 2+ years of experience; or 3+ years of professional experience as a recruiting coordination in lieu of a degree.
- Proficiency with applicant tracking systems (ATS) tools.
- Proven ability to manage high-volume scheduling with exceptional attention to detail and accuracy.
- Extremely organized and comfortable with frequent prioritization in dynamic environments.
- Excellent verbal and written communication abilities; comfortable and professional in representing the company to candidates across all levels and functions.
- Comfortable interfacing directly with hiring managers.
- Ability to build strong relationships with both hiring managers and candidates.
- Ability to multi-task and operate with little direction while still being an active team member.
- Ability to work extended hours and weekends as needed.
- This position is based in Los Angeles, and requires being onsite full-time - hybrid and remote work will not be considered.

Compensation and Benefits
The base salary range for this role is $28.00-$40.00 hourly.
Compensation bands are determined by role, level, location, and alignment with market data. Individual level and base pay is determined on a case-by-case basis and may vary based on job-related skills, education, experience, technical capabilities and internal equity. Please note that the stated salary range is an estimate and may be adjusted based on market conditions, business needs, or other factors. In addition to base salary, for full-time hires, you may also be eligible for long-term incentives, in the form of stock options, and access to medical, vision & dental coverage as well as access to a 401(k) retirement plan.

As a core member of the Recruiting team, you'll partner closely with recruiters, hiring teams, and candidates to ensure a smooth, meaningful experience for everyone involved. You'll play a key role in supporting and empowering both candidates and hiring teams as we continue to grow.

What success looks like
Within your first 3 months, you will:
- Confidently and independently schedule interviews, update candidate records, and generate reports in Ashby and other recruiting tools.
- Develop strong working relationships with recruiters, hiring managers, and candidates.
- Identify opportunities for improvement within our coordination process and propose solutions, contributing to team efficiency and candidate experience.
- Consistently meet recruiting coordination SLA's (e.g., interview scheduling, communication turnaround) with a high degree of accuracy and attention to detail.
- Manage last-minute scheduling changes and requests calmly and professionally.
- Deliver a seamless, positive candidate experience, reflected in candidate feedback.
- Be viewed as a reliable and proactive member of the Recruiting team, anticipating needs and supporting beyond scheduling.
Your day will consist of scheduling a high volume of interviews and debriefs across multiple teams and time zones, booking travel arrangements, and hosting candidates when they come onsite. You'll serve as the main point of contact for both candidates and hiring teams, ensuring that everyone has clarity and context throughout the hiring process.
In addition to recruitment coordination, you'll have opportunities to take on projects across the Recruiting and People team, gaining exposure across the business.

Compensation
- The estimated pay range for this role is $35 - $40 an hour.
- Additionally, this role is eligible to participate in Meter's equity plan.
