Responsibilities for the Registrar
- Greeting all patients and guests as they enter the facility in a warm and welcoming manner.
- Cultivating and implementing a personal patient care initiative that goes above and beyond for all patients.
- Answering all incoming calls in a polite and professional manner; exercising problem-solving and conflict resolution skills when handling patient concerns; referring patient concerns to appropriate designated personnel as needed.
- Distributing all incoming and outgoing daily mail as instructed.
- Utilizing technology and hardware to perform day-to-day administrative functions and general office duties, including but not limited to word processing, copying, filing, faxing, answering phones and data entry.
- Following the workflow as assigned and implementing changes and procedures with little to no notice; flexibility to meet change management requirements.
- Adhering to and ensuring compliance with HHER policies, procedures, and customer service standards.
- Participating in maintaining a safe, clean, and organized environment.
- Preparing diligent notes with complete details within information system to communicate with other staff, supervisors, and auditors.
Requirements and Qualifications for the Registrar
- Flexibility to meet scheduling demands of department; position will require a minimum of two weekend shifts to be worked. A weekend is defined as Friday, Saturday, and Sunday.
- Able to work unsupervised; willingness to take an initiative and ability to work as a team member/independently to perform job responsibilities and meet deadlines with accuracy and attention to detail.
- Proficient in computer applications, such an email and MS office, and office equipment.
- Demonstrated competency of position responsibilities and requirements within 90 days, as evaluated by supervisor.
- Excellent communication skills, both verbal and non-verbal, that offer the highest level of compassion to all patients, visitors, and staff; ability to communicate in a non-aggressive manner under pressure.
- Integrity and responsibility; may have access to company credit card and the company vehicle.
- Customer service experience: demonstrated ability in customer service practice related to direct patient care in a high volume, high stress environment.
- Ability to read, write, and speak the English language.
- High school diploma or GED.
- Previous work experience as a receptionist or related position preferred.

Job Summary and Qualifications
We are seeking a professional Registrar for our ambulatory surgery center. You will be responsible for ensuring that patients are admitted efficiently, courteously, and in a timely manner. You will be an asset to our team by providing accurate demographic and insurance information to ensure accurate coding, billing and claims submission.
What you will do:
* You will be responsible for facilitating patient admissions to include: reviewing all information with your patient, completing appropriate forms, and copying insurance cards and photo identification
* Collect and document all collection actions for your patient's co-payment and deductibles at the time of service and issue appropriate payment receipts
* You will perform routine clerical and administrative functions
* Prepare, collect and deliver your patient charts and pull previous medical records
* You will perform insurance verification
* Manage the reception area and greet your patients and family members in a professional manner
Qualifications you will need:
* Minimum (1) year of experience in a medical office setting (i.e. ambulatory surgery center, hospital, doctors office)
* BLS may be required as per facility standard

Job Description
The Registrar supports patient care by accurately capturing and verifying demographic and insurance information through both in-person and telephone interactions. This role ensures a seamless registration process by scheduling procedures, securing necessary authorizations, and maintaining complete and organized patient records, all while providing exceptional customer service.
**Essential Functions**
+ Interacts with patients and their families to address questions and provide courteous, timely assistance.
+ Regulates schedules based on procedure requirements, physician availability, and staffing needs.
+ Schedules patient procedures as required and pre-registers scheduled patients by obtaining accurate demographic information.
+ Verifies insurance eligibility using designated applications, captures correct health insurance details, and secures necessary authorizations and verifications for services.
+ Collects and records patient financial responsibility estimates as applicable.
+ Communicates operative reports daily to appropriate physician offices.
+ Compiles and organizes documentation to ensure completion of patient medical records.
+ Prepares charts for upcoming procedures, including nursing documentation and registration forms.
+ Maintains the medical records system by filing reviewed charts and coordinating storage according to established policies and procedures.
