**Return Material Authorization Specialist-Remote Indianapolis, IN-Colorado Springs, CO**

**Job Summary:**
**RMA Specialist**
The RMA Specialist improves the experience for Allegion customers by providing support for business-related requests in a professional and courteous manner. Strive to deliver a stellar experience and continually improve the level of customer satisfaction by resolving issues associated with customer orders and accounts quickly and accurately. Process requests for returns, replacements, account credit adjustments, and document related resolution in multiple business systems and the corporate CRM system.
**What You Will Do:**
+ Exceed customer and internal expectations by managing the transactional service by delivering on those expectations through timely processing of required duties, resulting in customer loyalty.
+ Process freight claims when required and perform administrative duties associated with shipping call tags for return material and other related functions.
+ Process returns authorizations, replacement orders, quick ship, pro-express, and credit/debit requests required to resolve issues associated with product quality, delivery and order processing errors using multiple ERPs, Microsoft Dynamics CRM, and the Five9 phone and email system.
+ Act as a customer advocate to other internal departments of Allegion.
+ Gather and document return and replacement request information from the Allegion commercial customers through the effective use of CRM tools.
+ Work with internal departments throughout the sector and with factory liaisons to ensure timely and accurate processing of return/repair authorizations and replacement orders.
+ Strive to meet all service level agreements/expectations as set by Allegion.
+ Follow all Allegion policies and processes as required.
**What You Need To Succeed:**
+ Bachelor's degree preferred, HS Diploma or equivalent required
+ 2-5 years combined experience in order entry/customer service and preferred system experience with AS400, Oracle 11i or Dynamics AX
+ Exceptional customer focus with ability to understand customer needs
+ Ability to interact and communicate effectively at all levels of the organization
+ Experience with process improvement initiatives
+ Excellent oral and written communication skills
+ Problem solving ability in a complex environment
+ Customer centric with the ability to balance customer benefits and business goals effectively
+ Strong organizational skills with the ability to execute/implement on strategic design
+ Capability to manage multiple priorities, manage virtual teams and gain cooperation while driving accountability
+ Experience with multiple ERP (Oracle, SAP, Microsoft Dynamics, etc.) and CRM (Dynamics CRM)

Position Summary:

The RMA Manager oversees the Returns Department that processes product returns from customers and distributors nationwide. The individual in this role administers and processes RMAs as directed by the leadership team. They ensure appropriate routing and processing of Warranty returns while identifying process and performance opportunities and coordinating with Operations, Customer Service, Logistics, and other teams as needed to implement improvements and reduce Warranty costs. Responsibilities and Objectives:

Develop and implement key performance indicators (KPIs) and quality metrics to assess and measure RMA cycle times, root cause identification rates, product quality trends, and customer experience throughout the return process. Conduct regular and systematic monitoring of customer service interactions, including phone calls, emails, chat sessions, and other communication channels. Analyze customer feedback and complaints to identify recurring issues and areas for improvement and share insights with the customer service team for proactive resolution. Collaborate with training teams to develop and implement training programs based on identified quality improvement areas. Leverage quality monitoring tools and technologies to streamline the evaluation process. Collaborate with engineering and product development teams during New Product Introduction (NPI) to establish RMA procedures, failure modes, repair procedures, and troubleshooting protocols before product launch.

Job Summary

Etched is seeking an RMA and Service Manager to build and scale Etched’s service, returns, and field support programs. You’ll create the systems and processes that ensure fast, high-quality resolution of product issues as we ramp from early prototypes to large-scale deployments. This role is hands-on and cross-functional—you’ll partner with engineering, manufacturing, and supply chain teams to identify root causes, improve product reliability, and deliver a seamless customer experience.

Key responsibilities

  • Build and own Etched’s RMA, service, and support infrastructure for AI hardware at rack, server, and module levels.

  • Create a field service program, including spare parts strategy, repair procedures, and escalation paths.

  • Partner with engineering and manufacturing teams to drive root cause analysis, corrective actions, and continuous improvement.

  • Establish repair facilities, depots, or partner networks to support global deployments.

  • Design and implement metrics and dashboards (turnaround time, failure rates, cost of service) to monitor and improve operations.

  • Build a knowledge base and training programs for internal teams and external partners.

You may be a good fit if you have

  • 8+ years of experience in RMA, field service, or hardware support operations.

  • Proven expertise in hardware troubleshooting, repair, and reverse logistics.
