Purpose
To provide front office support in clinical areas.
Essential Duties/Responsibilities
As applicable for your department:
- Defines relationship issues and acts as advocate for referring providers and office staffs to cross-functionally resolve outstanding issues with WH and ensures that resolutions are satisfactory and referral process is satisfactory.
- Works collaboratively with occupational health and corporate wellness to establish integrated strategic marketing and business plans to achieve corporate objectives for products and services.
- Greets, acknowledges, and provides closure to all customer needs in a professional and efficient manner
- Maintains effective communication and interacts appropriately and professionally with all members of health care team
- Checks patients in and out following standard operating processes to include management of samples, notes, forms, scripts, directing patients, and triage sheets
- Schedules, coordinates and reschedules all patient appointments (includes office, outpatient procedures, hospitals, and other medical facilities)
- Answers incoming calls and takes necessary action
- Maintains provider schedules as directed by manager
- Maintains physician on-call schedule for department
- Keeps logs as required by Manager
- Attends department and other meetings as required by Manager (including training and re-education)
- Maintains inventory of office supplies and orders as needed
- Opens and sorts mail
- Directs patients to contact Central Business Office for additional billing inquiries
- Assists Manager with other duties deemed necessary to achieve efficiency and a cohesive working environment

Required :
- High School Diploma or GED Equivalent
- Full COVID 19 vaccination is required as a condition of employment for all positions with Wilmington Health. Documentation is required prior to orientation.
- Experience in Medical Office Administration
- Knowledge of the OSHA and DOT regulations
- Experience with urine drug screen collection and breath alcohol tests
- BLS/CPR Certified

Key Responsibilities

Staff Scheduling : Schedules staff to meet fluctuating facility needs, including coverage for sick leave, vacations, and additional staffing requirements, and inputs schedules into the master scheduling program.

Master Schedule Management : Maintains and updates pertinent information on the master schedule to facilitate the downloading and use of related reports.

Reporting and Tracking : Completes required reports and tracks data related to scheduling functions, such as overtime, appointments, and 1:1 observations.

Interdepartmental Coordination : Coordinates with human resources, medical, programs, and operations departments to communicate callouts and attendance-related concerns.

Overview:
The Scheduling Specialist (SS) is responsible for overseeing scheduling operations to maximize efficiency, reduce missed opportunities, and enhance patient experience. The Scheduling Specialist will work closely with the Community Partnerships Liaison, Clinic Operations Manager (COM), and Health Center Director to ensure seamless scheduling, registration, and front-end workflows within the clinic.
Responsibilities:
- Collaborate with the Community Partnerships Liaison to identify scheduling opportunities for unused appointment slots in provider schedules.
- Confirm ZocDoc bookings and verify receipt of appropriate registration documents, ensuring eCW Chart completion, including eICare enrollment.
- Monitor daily schedule flow, optimizing efficiency and reducing missed opportunities by enforcing "Jockeying the Schedule" principles.
- Proactively confirm same-day appointments for unconfirmed or unregistered clients.
- Oversee front-end workflows, identifying and escalating issues to the Clinic Operations Manager (COM) when necessary.
- Ensure registration documents sent via "Luma" are returned and completed before scheduled appointments.
- Verify that all scheduled appointments are appropriately set.
- Manage schedule templating to include essential blocks such as:
- Huddle
- Same Day Appointment Blocks
- Lunch Breaks
- Approved Meetings
- Grand Rounds
- Holidays
- Approved PTO
- Coordinate with the Health Center Director to ensure timely broadcast messaging for scheduled or early closings.

RAYUS Radiology is looking for a Scheduling Specialist to join our team. We are challenging the status quo by shining light on radiology and making it a critical first step in diagnosis and proper treatment. Come join us and shine brighter together! As a Scheduling Specialist, you will be responsible for providing services to patients and referring professionals by answering phones, managing faxes and scheduling appointments. This position is full-time, working Monday thru Friday; 9:00am - 5:30pm.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
(85%) Scheduling
- Answers phones and handles calls in a professional and timely manner
- Maintains positive interactions at all times with patients, referring offices and staff
- Schedules patient examinations according to existing company policy
- Ensures all appropriate personal, financial and insurance information is obtained and recorded accurately
- Ensures all patient data is entered into information systems completely and accurately
- Ensures patients are advised of financial responsibilities, appropriate clothing, preparation kits, transportation and/or eating prior to appointment
- Communicates to technologists any scheduling changes in order to ensure highest patient satisfaction
- Maintains an up-to-date and accurate database on all current and potential referring physicians
- Handles overflow calls for other centers within market to ensure uninterrupted exam scheduling for referring offices
- Provides back up coverage for front office staff as requested by supervisor (i.e., rest breaks, vacations and sick leave)
- Fields 1-800 number calls and routes to appropriate department or associate (St. Louis Park only)
- Pre-certifies all exams with patient's insurance company as required
- Verifies insurance for same day add-ons
- Uses knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain authorization if needed prior to appointment
Required:
- High school diploma or equivalent
- Microsoft Office Suite experience
- Proficient with using computer systems and typing
- Able to handle multi-level phone system with a high volume of calls at one time
- 1-2 year customer service experience
- Medical terminology and previous clinical business office experience
- Bilingual

Job Description
The Scheduling Specialist serves as the face of their clinic for clients and their families and supports the clinical team by flexibly serving multiple functions at the clinic. They are responsible for timely and accurate scheduling changes for their staff and clients, coordinating start of service for clients while serving as general facilities support.
Essential Functions :
- Scheduling: Permanent schedules and scheduling variances. Family guidance. BCBA/Senior meetings. Senior Training meetings. PTO, QTPs, support services, etc.
- Accurately records client and staff cancelations, reschedules, and other scheduled time off to ensure clients receive their prescribed treatment hours.
- Timely execution of scheduling communication/task needs that takes place at the center.
- Implementing best practices for scheduling, including timely delivery.
- Meeting or exceeding treatment delivery goals (KPIs) as it relates to provider & client utilization, including make up time.
- Coordinating appropriate use of admin time.
- Scheduling trainings, i.e. safetycare, Relias, compliance, etc.
- Onboarding new clients in partnership with Intake, from meet and greet to first day of ABA.
- Support additional in-market centers with scheduling operations as needed.
- Greet all clients and families as they arrive to our clinics
- Answer phones and respond to or forward requests and/or information.
- Facilitates timely and accurate flow of communication between the clinic and Caravel corporate support functions.
- New hire day one welcome & center orientation as needed.
- Facilitating daily operations, cleanliness, team building, logistics, supply management and organization of center.
Physical Demands :
This is largely a sedentary role, with frequent sitting and computer keyboarding required. Employee will be required to sit, talk, hear, type and write. Occasional bending, squatting, stooping, and lifting (up to 35 pounds) is required. Specific vision abilities required by this job include near, far, and field of vision. Speech must be spoken in a manner easily understood by others. This position requires regular and punctual employee presence.
Qualifications :
Education:
- Must be a high school graduate/GED equivalent.
- At least one-year comparable experience working with clients and/or families in a medical or therapeutic setting including providing administrative or customer service-related experience preferred.
- Strong organizational skills, with the ability to multi-task and meet deadlines.
- Strong attention to detail.
- Experience working with multi-line phone systems and office machines (copiers, postage machines, fax machine, etc.).
- Displays professionalism and represents organization in a professional manner.
- Excellent verbal and written communication skills, with a pleasant, professional, and helpful demeanor and voice.
- Demonstrates initiative, with the ability to manage self and workload.
- Knowledge of HIPAA privacy and security rules and regulations.
- Ability to abide by ethical guidelines and policies, including strict adherence to confidentiality and HIPAA guidelines.
