Summary and Requirements:

The Logistics and Scheduling Specialist will work closely with internal departments and external vendors using ticketing systems (such as Remedy, ServiceNow, etc.) and Microsoft 365 (Outlook, Excel, Word, PPT) to ensure the proper flow of activities and tracking of items within the office of Move Services for our government customer.
• Must be able to assist with the movement or lifting of small furniture/ materials up to 40 lbs.
• Business professional attire consistent with the position. A company shirt must be provided if required for the position.
• Must be able to follow directions, and function effectively as part of a team or independently.
• Conduct all duties in accordance with codes and safety regulations from OSHA and other government agencies. If safety shoes are required for a position, it will be the responsibility of the contractor.

POSITION DESCRIPTION:
Axia by Qcells is seeking an experienced Scheduling Specialist to manage project scheduling activities across the organization. In this role, you will review pipeline reports to identify projects ready for scheduling and work with stakeholders to resolve issues that may delay progress. Key responsibilities include identifying qualified installers in specific regions, sharing project details, coordinating schedules, confirming dates with homeowners, and ordering construction materials. You will collaborate with senior management and cross-functional teams to develop project plans that align resources, timelines, and budgets while ensuring five-star customer experience. The ideal candidate will have strong project management expertise, the ability to navigate challenges effectively, exceptional attention to detail, and excellent communication skills. Success in this role means ensuring projects are delivered on time, within budget, and to the highest quality standards.
This position will be based out of one of our offices in Irvine, CA; San Francisco, CA; or Santa Clara, CA with a potential in-office schedule set at the direct manager's discretion in accordance with the company policies and procedures. Remote work may be considered for exceptional cases.
RESPONSIBILITIES
  • Analyze data and report on key scheduling metrics
  • Review pipeline reports to identify projects that are ready for a scheduling event
  • Root cause analysis to identify bottlenecks or challenges that are preventing the scheduling team from achieving scheduling quotas
  • Make recommendations for solving problems and work cross functionally and with leadership team to remove bottlenecks and improve throughput
  • Schedule projects with homeowners and Installation Partners
  • Send purchase request to procurement team to order bill of materials
  • Oversee a pipeline of projects at the Site Survey, Install, and Inspection Stages to drive projects through scheduling and completion
  • Break complex projects into manageable actions, establish timeframes, and prioritize tasks effectively.
  • Proactively identify potential risks and develop contingency plans. Elevate risk management strategies to safeguard project outcomes.
REQUIRED QUALIFICATIONS
  • Associates degree with 8+ years (or a bachelor's degree 5+ years) of work experience including a proven track record as a Scheduling Specialist, Project Manager, or in a similar role, including managing complex projects from inception to completion, ideally in the retrofit residential PV + ESS renewable energy sector
  • 3+ years of demonstrated expertise in developing detailed project plans using various methodologies. Ability to interpret complex flowcharts, schedules, and action plans.
  • 3+ years of experience demonstrating excellent customer experience enhancing skills, capable of guiding peers and influencing senior-level management and stakeholders to drive positive business outcomes and unparalleled customer experience.
  • Exceptional prioritization and time-management abilities, focusing on delivering high-quality positive impact.
  • Strong capabilities in client-facing situations and teamwork; adept at negotiating, navigating ambiguity, resolving conflicts, and solving ambiguous challenges.

+ Provides general administrative assistance, including answering calls, managing patient referrals, and coordinating patient files.
+ Receives orders from the Order Facilitator and reviews to make sure the orders are valid.
+ Contacts patients to complete scheduling procedure(s) and or test(s) in Cerner Scheduling.
+ Asks the necessary questions for specific tests and provide the required procedure preparation or instructions.
+ Schedules appointments via phone with doctor's office if requested, once valid order is received.
+ Processes STAT order immediately.
+ Notifies ordering offices if unable to contract their patient to schedule procedures.
+ Addresses patient inquiries regarding scheduling, appointment changes, and concerns, ensuring a high level of patient satisfaction.
+ Offers alternative scheduling options when needed to accommodate patient preferences and medical needs.
+ Communicates with physicians, nurses, and other medical professionals to ensure appointments are properly scheduled based on clinical priorities and patient needs.
+ Performs other duties as assigned.

**Qualifications**
+ H.S. Diploma or GED required
+ Associate Degree or certification in Healthcare Administration, Medical Office Administration, or a related field preferred
+ 0-2 years of experience in scheduling, patient coordination, or administrative support within a healthcare setting required
+ Experience with Electronic Health Records (EHR) or scheduling software preferred
**Knowledge, Skills and Abilities**
+ Strong organizational and time-management skills with the ability to handle multiple tasks and deadlines.
+ Excellent verbal and written communication skills to effectively interact with patients, medical staff, and administrative teams.
+ High attention to detail and accuracy, particularly in data entry and record-keeping.
+ Ability to work in a fast-paced environment while maintaining a calm, professional demeanor.
+ Proficient in Microsoft Office Suite (Word, Excel, Outlook) and hospital scheduling or EHR software.

**Job Summary**
The Admin Assistant helps team members, large teams, or department directors. Collects, reviews, and examines data. Prepares reports, charts, budgets, and other presentation materials. Responds to or routes routine inquiries from external or internal sources. Uses own correspondence or other messaging. Schedules and coordinates meetings, travel, and other group activities. May create and distribute reports on a regular schedule.
**Essential Functions of the Role**
+ Accurately and quickly prepares routine communications, reports, forms, and correspondence. Coordinates production and distribution of materials like presentations, handouts, proposals, reports, brochures, and displays.
+ Manages vendor invoices to ensure that the client and vendor billing is accurate and handled in a timely manner.
+ Schedules, organizes, and operates conferences, seminars, and events. Recommends vendors for services and oversees material production and distribution. Coordinates logistics and serves as a liaison with vendors. Takes meeting minutes and disseminates them to appropriate parties.
+ Answers and screens phone calls for the office or department. Routes calls as appropriate within customer service guidelines. Accurately records messages and delivers them to the appropriate party promptly. Establishes and takes appropriate action as required.
+ Greets visitors, guests, and employees promptly and courteously. Determines their needs and provides help according to policies and procedures. If unable to assist, refers them to the appropriate party or department.
+ Plans and schedules calendar(s) based on consultation, resolve calendaring conflicts, and arranges travel in compliance with Organization policies.
+ Monitors supply levels and orders accordingly. Receives, stores, and distributes supplies. Performs service and maintenance on minor equipment, like changing ribbons and toners or calling repairmen.
+ Creates and diligently maintains a variety of confidential files in accordance with established policies and procedures.

What you'll do…

  • Create detailed project schedules during planning and design phases, incorporating critical elements such as design milestones, permitting timelines, and long-lead procurement.
  • Baseline & Strategic Scheduling: Establish and maintain baseline schedules that align with the delivery strategy, including phased commissioning and fast-track execution models.
  • Risk & Impact Analysis: Perform schedule risk assessments to identify delays along the critical path and propose mitigation strategies. Conduct what-if scenarios to forecast impacts of design changes, procurement delays, or field issues.
  • Cross-Functional Coordination: Collaborate closely with design, cost, and procurement teams to ensure realistic integration of timelines and resource dependencies.
  • Ongoing Schedule Management: Maintain live project schedules throughout execution. Reflect real-time progress, manage updates, and track changes to provide accurate and actionable schedule insights.
  • Critical Path Monitoring: Track and analyze critical and near-critical activities, proactively identifying delays and recommending recovery plans.
  • Commissioning Schedule Management: Develop and manage commissioning plans in alignment with mechanical, electrical, and IT system turnovers, including parallel commissioning strategies.
  • Tool & Process Optimization: Leverage existing tools such as Procore and MS Project to drive schedule efficiency. Identify gaps and recommend new systems or tools to enhance performance and alignment with client needs.
  • Client Engagement & Business Reviews: Lead Quarterly Business Reviews (QBRs) with client's sponsor team and Avicado executives to review scheduling performance, realign goals, address emerging challenges, and define next-phase priorities.

You should have.

  • Advanced proficiency in scheduling software. Expert level of MS Project is required along with general working knowledge and ability with P6.
  • Mastery of schedule development, including work breakdown structures (WBS), logic sequencing, resource loading, and schedule baselining.
  • 5+ years of data center construction scheduling and/or project management expertise.
  • Familiarity with phased delivery models and early equipment procurement specific to data center environments.
  • Knowledge of how scheduling interfaces with cost, procurement, risk, and change management systems.
  • Ability to develop integrated schedules and maintain alignment across multiple trades and stakeholders.
  • Strategic thinking to identify risk scenarios, assess mitigation options, and proactively advise on recovery strategies.
  • Ability to interface effectively with design teams, contractors, commissioning agents, and other project stakeholders.
  • Facilitation skills to lead schedule review meetings, coordination sessions, and recovery planning workshops.
  • Hands-on understanding of field construction activities and constraints to ensure realistic and executable schedules.
  • Flexibility to dynamically update and re-sequence schedules in response to design evolution, procurement delays, or field conditions.
  • High attention to detail, especially in meeting client-specific requirements for large-scale or hyperscale programs.
  • A proactive, self-starting mindset with a high degree of ownership and accountability.
