The **Scheduling Coordinator I** will collect patient and treatment information, estimate deposit requirements, provide cost estimates, determine patient liability, establish payment arrangements, and coordinate payment arrangement information for outpatient and day programs with non-par payer sources.
**Responsibilities**
1. Schedules new and follow-up patient appointments.
2. Answers phones, directs calls as needed, takes messages, returns calls to answer inquires/questions, and provides accurate and timely follow-up.
3. Ensures that new and follow-up appointments are confirmed prior to the date of service.
4. Ensures clinic(s) waitlist letters are sent to parents/families in a timely fashion.
5. Continually monitors scheduling. Moves patient appointments if necessary to maintain the highest level of efficiency and patient satisfaction.
6. Maintains and updates scheduling templates for all providers, to include personal leave requests.
7. Tracks all new and follow-up patients using the scheduling system and works with providers and other Care Centers to ensure proper scheduling related to patient needs.
8. Maintains regular contact with patients, clinics, and departments regarding pending insurance clearances, coverage, issues, and/or follow-up activity. Responds to patients, families, and clinic issues in a timely and professional manner.
9. Provides routine financial counseling and seeks assistance from the supervisor when obtaining answers to resolve patient issues.
10. Maintains a general and updated understanding of insurance requirements as they relate to the Care Center.
11. Retrieves and assesses system information related to insurance authorization for patient services from the Care Management Operations department.
12. Collects, tracks, and processes quality improvement and patient tracking data as needed.

+ Organize and manage Oracle Primavera Cloud database structure.
+ Assist estimating and project staff with the development of Pre-Bid and Baseline Schedules.

Education and Experience

+ Ideal candidates will possess 5+ years of experience in construction Project Scheduling, preferably in heavy highway, heavy civil, or mass concrete construction projects.
+ Proficiency in Oracle Primavera Scheduling Software, preferably in Oracle Primavera Cloud.
+ Excellent written and verbal communication skills.

5. Maintain regular contact with patients, clinics, and departments regarding pending insurance clearances, coverage, issues, and/or follow-up activity.
6. Respond to patient families, providers, and other staff in a timely manner based on the established department policies and procedures.
7. Reassign/reschedule patient appointments based on clinician leave requests (planned and unexpected). Collaboratively work with supervisor to resolve concern(s).
8. Work with the Patient Access department to retrieve and assess insurance authorizations.
9. Collect, track, and process quality improvement and patient tracking data as needed.
10. Serve as a code green team member and respond to clients in behavioral crises as part of the program's crisis management procedures.
11. Assists with the training of Patient Service Specialists.
**Qualifications**

Job Description
The **Scheduling Coordinator II** will ensure timely, accurate, and complete scheduling services for patients. This position follows the established protocols considering availability, priority, and appropriateness when scheduling appointments for patients and providers.
**Responsibilities**
1.Tracks all new and follow-up patient appointments using the scheduling system. Works with providers and Care Centers to ensure proper scheduling related to the patient's needs.
2. Monitors all clinician leave requests (planned and unexpected) and reassigns to ensure appropriate patient coverage. Communicates any coverage concerns immediately to supervisor.
3. Tracks all cancellations and no shows for evaluation/treatment appointments using the scheduling system. Works with providers and administrative personnel to ensure rescheduling related to the patient's needs and according to department policies and procedures.
4. Oversees the maintenance of and updates to various databases (i.e., Epic waitlists, Tickler File, and Internal Consult).
5. Tracks and monitors ongoing Plans of Care to maintain accuracy of the schedule, track open times on the schedule, and help maintain the patient waiting list.
6. Maintains and stays abreast of all insurance requirements as they relate to the collection of accurate information for each Care Center.
7. Monitors insurance benefit thresholds and facilitates the acquisition of additional authorization(s) as needed by working closely with the Care Management Office and Financial Counseling teams.
8. Maintains regular contact with patients, clinics, and departments regarding pending insurance clearances, coverage, issues, and/or follow-up activity. Responds to patients, families, and clinic issues in a timely and professional manner.
9. Provides routine financial counseling and seeks assistance from the supervisor when obtaining answers to resolve patient issues.
10. Maintains a general understanding of scheduling as it refers to all outpatient medical programs.
11. Assists the supervisor with training new Scheduling Coordinators.
**Qualifications**
**EDUCATION:**
+ High School diploma or equivalent required.
+ Associates or higher degree in human services, healthcare administration, or related field preferred.
**EXPERIENCE:**
+ 3-5 years' experience registering, scheduling, coordinating, and operating patient services required.
