Key Results and Deliverables:

Executive Support

Provide high-level administrative support to the Executive Director, including calendar management, scheduling, travel arrangements, and correspondence.

Maintain daily contact with the Executive Director for the purpose of coordinating and setting current priorities.

Assess inquiries directed to the Executive Director to determine the proper course of action and ensure they are handled appropriately and in a timely manner.

Monitor, screen, route, and respond to incoming communications for the Executive Director.

Prepare the Executive Director for meetings, presentations, speeches, and special projects, coordinating with other staff members to collect pertinent research and data as needed.

Prepare and distribute meeting materials, including agendas and board packets.

Document and track board activities, including taking meeting minutes and monitoring the completion of follow-up tasks.

Maintain and update board contact lists.

Prepare meeting notices, agendas, materials, and minutes for the JBAY executives, Board, and other stakeholders as needed.

Schedule and prepare for annual tasks related to the Board, nominations, and change of membership.

General Administrative Support

Monitor JBAY’s general office phone line and email inbox, responding to inquiries or directing them to the appropriate team member for timely follow-up and resolution. 

Support the organization’s fundraising efforts.

Assist in planning and executing virtual and in-person events

Foster a culture of collaboration, integrity, and strategic communication within and outside the organization.  

Participate in organizational leadership activities, including strategic planning, cross-functional collaboration, and team development.

Participate in regular staff meetings and other JBAY team meetings as assigned.

Requirements

Qualifications:

Minimum of 5  years of experience providing high-level executive or administrative support

High school diploma

Experience working in a nonprofit organization

Experience coordinating events and/or meeting logistics

Experience managing complex executive or board calendars with precision

Experience coordinating board communications, meetings, and materials

Excellent verbal and written communication skills

Demonstrated ability to handle confidential information with discretion

+ Develop and implement IP strategies for protecting innovations across several therapeutic modalities with a strong understanding and background in large molecule pharmaceutical IP law.

+ Juris Doctorate from an accredited law school.
+ Admission to at least one State Bar and registered to practice in front of the United States Patent and Trademark Office (USPTO).
+ Minimum 10 years of relevant legal experience, with at least 5 years of relevant experience in patent and intellectual property law in the pharmaceutical industry, with experience building patent portfolios for large molecule pharmaceuticals.

**Duties and Responsibilities**
**Essential Functions:**
+ Provides advanced and confidential administrative support to assigned Senior Vice Presidents with a high level of professionalism, discretion, and attention to detail.
+ Pro-actively manages and optimizes multiple Senior Vice Presidents' daily appointment calendars including coordination of internal and external meetings, conferences, and events while using critical independent judgement to proactively anticipate scheduling conflicts, resolves issues to maintain efficiency, ensures Executives are appropriately prepared, and ensures Executives smoothly move throughout the day and stay on schedule.
+ Accurately coordinates travel and lodging arrangements as required.
+ Collects and prepares information for the Senior Vice President's use in discussions and meetings.
+ Takes a proactive role in drafting agendas, timelines, PowerPoint presentations and other materials for Executives.
+ Performs special assignments and projects as requested by the Senior Vice Presidents.
+ Supports confidential discussions, emails, and meetings with effectively organized and well-maintained documents/records.
+ Conducts research and compiles information as needed for the Senior Vice Presidents decision-making and strategic planning.
+ Exercises sound judgment in decision-making and provides solutions to problems as they arise.
+ Serves as mentor and role model to the Executive Assistants and new Senior Executive Assistants.
+ Actively participates as a member of the WellSpan Executive Services Network to develop best practices, standard work, and goals to ensure the team can Work As One across the organization to deliver highly effective, efficient, and seamless executive support across WellSpan.
+ Proactively learns technologies and becomes expert (e.g. MicroSoft suite, Oracle, PowerBI, social media tools, INET, etc.) and fosters effective adoption of leading-edge tools across the entire Executive Team and WellSpan Executive Services Network.
