Overview

Are you a detail-oriented and organized individual with a passion for providing exceptional customer service? Egan Company is seeking candidates for a Service Dispatch Coordinator position located in Champlin, MN to join our team! The position is responsible for taking phone calls and emails from customers, setting appointments, and coordinating the daily assignments for Service Field Technicians. Your ability to multitask, prioritize, and build strong relationships will play a key role as part of our Service team!

Responsibilities

The basic responsibilities of the Service Coordinator include but are not limited to the following:

  • Answer phones and make outbound calls with enthusiasm; promote Egan’s services and book / confirm appointments

  • Ability to work with urgency in a fast-paced ever-changing environment, attention to detail, and a vigilant eye on how to grow the business.

  • Will work closely with Account Managers, Inside Sales and Labor Managers on day-to-day bases.

  • Manage service calls for a team of technicians to ensure that work is completed in a timely manner.

  • Make outbound phone calls and send emails to schedule Preventive Maintenance.

  • Maintain relationships with subcontractors and internal business groups.

  • Route calls to the appropriate business groups.

  • Maintain team's individual schedules using current scheduling software.

  • Use Google sheets to track and record the progress of service calls for the team.

  • Back up other team members when they are out of the office.

  • Verify customer information within our ERP system for accuracy.

  • Enter customer information and opportunities into Egan’s CRM software.

  • Review call summary reports and distribute based on follow up needed

  • Manage service calls and maintenance for a team of technicians.

  • Ability to take the On-Call Phone on a rotating schedule.

  • Assist in the completion of special projects and other duties as requested.

  • Maintain professionalism, positive working relations, and open communications with Egan employees and customers.

  • This position requires a start time of 7:00 am and occasional after-hours support.

  • Other duties as assigned.

Requirements

High school diploma or equivalent required.

Minimum Qualifications
  • Desire to learn and continually improve.

  • Some construction industry experience is preferred, but not required, such as low voltage, electrical, HVAC or plumbing.

  • Excellent interpersonal communication skills. Ability to communicate with all levels of employees and customers.

  • Strong organizational skills.

  • Ability to work independently with minimal supervision.

  • Proficient typing and computer skills.

  • Team player mindset - willing to assist others as needed.

  • This position also plumbing service technician dispatch responsibilities, such as scheduling jobs, confirming availability, and ensuring technicians have all necessary information to complete the work.
  • While handling and accommodating customers, this position also requires interaction and client liaison abilities to work with our national business partners to best service and maintain top notch service to these accounts.
  • Company-provided online product and service training must be completed within the first week.

  • Ability to read, understand, and follow safety procedures
  • Possess strong communication skills to effectively interact with customers and provide exceptional service

**Job Summary**
As a Dispatch Service Coordinator for Patterson Dental, you will be responsible for providing a professional approach to dispatching and performing all duties related to the scheduling of requests for service. The service coordinator role requires a high level of professional autonomy due to the nature of resource planning in assignment of service technicians to service requests.
This is in in-office/in-person position from 8AM-5PM, Monday through Friday, in Victor, NY.
**Essential Functions**
+ Triages calls and inquiries from customers.
+ Assigns and schedules service requests from clients or company personnel.
+ Manages resources efficiently and effectively for all scheduled service.
+ Monitors service orders assigned to technicians.
+ Responsible for the life cycle of service order (creates, edits, completes and invoice service orders).
+ Reconciles various CRM reports on a monthly basis.
+ Works closely with the Branch Procurement Specialist(s) with resource and project planning.
+ Demonstrates a commitment to Patterson values & professionalism through appropriate conduct at all times.
+ Performs other service coordinator duties as assigned.
**Job Qualifications**
Minimum Qualifications:
+ Associates degree or higher preferred or 2-5 years equivalent industry experience.
+ Expresses strong customer service orientation or related dispatching experience through excellent written and verbal/phone communication skills.
+ Has strong organizational and multi-tasking skills, demonstrates sound judgment and excellent decision-making abilities, and shows a great attention to detail.
+ Ability to positively contribute to the Branch team environment by taking initiative to learn and improve upon skillsets.
+ Possesses strong planning and organizational skills, both written and verbal.
+ Uses technology with efficiency, including Microsoft 365 and SAP CRM platforms.
Preferred Qualifications:
+ 1-3 years dispatching and customer service experience, with previous experience in the Dental industry preferred.
+ Previous working experience with project or resource coordination.
+ Bookkeeping/accounting experience preferred.

Summary:

Today is awesome! You showed up for work, loaded up the truck, and the Dispatcher hands you a work order. You’ve got the education to understand what’s wrong… now it’s time to roll up your sleeves and put it in action. You drive to the customer’s house and introduce yourself to the homeowner. You perform your work and you wrap up the first project of the day and get ready to move on to the next house. You’re already looking forward to tomorrow!

Job Duties:

  • Work with the team: You stay in contact with your supervisor and your team to receive work orders and assign them to the right experts quickly and fairly. You proactively and independently solve as many scheduling challenges as you can but you’re not afraid to seek out help from others when needed – because ultimately you’re a team player who understands that when everyone wins, you win. You award service calls to experts, understanding that those experts are rewarded for their work but are dependent on you to assign it fairly.
  • Develop your expertise: As a dispatcher, you love challenges and you know that your ultimate goal is ensuring that every customer is served in a timely manner. You understand that quick thinking, problem solving, and rapport-building are key components of your job and you actively seek to fine-tune those skills.
  • Talk to customers : You’ll handle calls from customers and help serve them on the phone by educating them and helping them make decisions about the products and services that are right for them. Serving customers is a priority for you and you love talking to them.

Job Requirements:

  • You love to learn: You have a high school diploma or equivalent. You don’t need experience to apply here but experience is preferred, especially experience with a large fleet. Most importantly, you have a drive to learn more because you know that it serves everyone – from the customer to the team to yourself.
  • You have strong communication skills: You’ll be talking and writing a lot – to a lot of different people (customers, team members, and experts) so you understand how to communicate efficiently, professionally, and appropriately with each one via phone, email, or face-to-face.
  • You’re ready to work: You have a ready-to-work attitude, and no problem handling the constant multi-tasking requirements of the job.
