We are looking for a Student Services Counselor who is committed to ensuring access and affordability for students and families through expert financial guidance and student support. This role reports to the Assistant Director for Customer Service and rotates through a high-traffic student services center, managing inquiries via phone, email, and in-person interactions. The ideal candidate brings deep knowledge of student accounts, financial aid, and academic policies to help resolve a wide range of issues and contribute to the organization's goals around service and student retention. The position offers a pay rate of $27 per hour.
Key Responsibilities:
Student Financial Services Expertise
- Apply expert knowledge of student accounts, financial aid, loans, and academic records to resolve issues
- Interpret and implement policies and regulations, maintaining up-to-date documentation and compliance
- Provide responsive, personalized support to students, families, alumni, and external contacts
- Guide clients through financial aid options, loan services, and payment plans across multiple communication channels
- Identify and correct student account discrepancies; authorize refunds and manage charge reversals
- Coordinate with internal departments to resolve account holds and respond to loan-related inquiries
- 3+ years of experience in student financial services or related areas within higher education
- Demonstrated ability to interpret and apply complex policies and regulations
- Experience handling confidential information with discretion and professionalism
- Background in delivering presentations or workshops in student services
- Exposure to working with multiple administrative and student information systems
- Familiarity with education loan servicing, repayment guidance, and regulatory compliance
- Strong problem-solving skills with the ability to analyze and resolve complex financial issues
- Excellent communication skills across in-person, written, and digital channels
- High attention to detail and ability to manage responsibilities in a fast-paced environment

Under the supervision of the Associate Dean for Student Affairs and the Learning Environment, the Learning Environment Specialist assists in implementing learning environment programming for the School of Medicine (SOM) and School of Health Professions (SHP) for the Macon & Joan Brock Virginia Health Sciences at Old Dominion University. This role will provide programmatic staff support in the following areas: student mistreatment, student conduct and professionalism, and educational outreach
Responsibilities- Program Development for SOM and SHP students
- Assist in the development of educational outreach programs for the FOCUS (Finding Opportunity in Collegiality, Understanding and Sensitivity) initiative to encourage a positive learning environment.
- Create resources to assist in the community’s education on the SOM and SHP Compact between Teachers and Learners and the mistreatment of students.
- Identify published literature to support the development of new materials. Assist in the design of digital resources to assist in the education on mistreatment, including the development of educational videos to be used in trainings.
- Process and Address Incoming Reports for SOM and SHP students
- Assist with processing incoming reports on student misbehavior and the learning environment, including but not limited to, professionalism, student mistreatment, and alleged violations of the SOM and SHP Expectations for Student Conduct Policy.
- Assist with processing Medical and Medical Masters Students’ Leave requests
- Meet with students for lower level concerns and to reinforce expectations.
- Maintain and complete documentation related to student reports. Maintain confidentiality of student information in accordance with the Family Education Rights and Privacy Act and Commonwealth of Virginia statutes
- Other duties as assigned
Some college coursework is required; bachelors degree is preferred.
Prior related experience in a work or university setting
Proficiency in using Microsoft Word, Excel and PowerPoint.

Under general/limited supervision this position is responsible for providing customer service to internal and external customers. This includes providing information to students and families, electronic and manual data collection, data entry, and filing.
This is a Support Staff Union position as stated in the Support Staff as stated in the Support Staff collective bargaining agreement- Grade Level 9
Specific Duties and Responsibilities
SPECIFIC DUTIES AND RESPONSIBILITIES:

Work at the College's information counter, phone center and or data entry center.

Assist new and returning students in all processes related to Admissions and Registration office functions.

Respond to inquiries from all Student Services Center Departments.

Assist the Registrar in the coordination and training of part-time personnel and Student Workers.

Actively participates in the recruitment process through the College's sponsored programs and through informal interactions with the community.

Process credit and Community Enrichment registrations, drop/add forms, and withdrawal forms. Maintain relevant files.

Assist in processing all chargeback acceptance/refusal forms for students attending other colleges.

The selected individual will coordinate projects, programs, and activities and provide services and/or advisement for potential and/or current students.
**Essential Functions**
+ Advises students in matters related to goals, policies, choice of curriculum, course load, study habits, course scheduling, academic action and problem resolution
