Position Overview/Job Summary: The Talent Acquisition Specialist plays a key role in the recruitment process, supporting the team from job requisition creation to candidate offer management. This role involves full-cycle recruiting, sourcing candidates through various channels, screening resumes, pre-screening candidates, coordinating interviews, and communicating effectively with candidates throughout the hiring process. The specialist will collaborate closely with hiring managers to gather feedback, help refine recruiting strategies, and ensure a smooth candidate experience. This position also includes maintaining the ATS system, handling reference checks in partnership with HR, and ensuring compliance with relevant employment laws.
Core Expectations : Required to come into the office 5 days a week for the first 60 days after that period, twice a week with a hybrid work schedule, presenting an active presence. Days can change depending on the company's needs.
Essential Job Functions
- Job Requisition & Posting Management: Assist in managing job requisitions, collaborating with hiring managers to ensure job postings are clear and aligned with position requirements.
- Candidate Sourcing & Pipeline Creation: Source candidates through multiple channels, including job boards, staffing agencies, and networking, and build a pipeline for current and future hiring needs.
- Screening & Interview Coordination: I reviewed resumes, conducted initial candidate screenings, and coordinated interviews with hiring managers. I also assisted with reference checks and managed personnel forms and documentation.
- Candidate Communication & Feedback: Ensure timely and clear communication with candidates throughout the hiring process, collecting feedback from candidates and hiring managers to refine the process.
- Offer Negotiation & Documentation: Assist in preparing and sending offer letters and other related documentation.
- ATS Management & Tracking: Keep the ATS updated with candidate details, track hiring progress, and support the creation of recruitment reports for management.
- Exclusivity Forms & LAWA Submissions: Work with HR and the marketing team to ensure proper documentation for exclusivity agreements and LAWA submissions are completed.
- Innovative Recruiting Strategies: Help identify new job boards, platforms, and networking methods to attract top talent.
- Ongoing Communication & Reporting: Participate in team huddles, kick off meetings and maintain tracking sheets, and provide necessary recruitment updates.
- Additional Administrative Tasks: Perform other administrative duties as assigned, at the company's discretion.
- Bachelor's Degree required.
- 3+ years as a recruiter/HR professional in the AEC industry.

ResponsibilitiesThe Talent Acquisition Specialist will be responsible for full-cycle recruitment for assigned positions within the healthcare system. The base salary range is 22.31- 29.75 per hour, plus annual & monthly KPI bonus potential.

Summary:
The Talent Acquisition Coordinator partners with hiring managers to: identify, attract, and hire qualified candidates; manage the Company's full life-cycle staffing process for recruiting, interviewing, assisting the Director of Talent Acquisition in the selection, and onboarding of positions at all organizational levels throughout the Company.
Job Responsibilities:
- Assist in the company's full life cycle staffing process for recruiting, interviewing, selection, and onboarding; perform full life cycle recruiting (source, pre-qualify, interview, extend/negotiate job offers) for positions at all organization levels.
- Utilize the full spectrum of tried-and-true as well as innovative and advanced sourcing and recruiting strategies and methods to identify candidates including, but not limited to, direct sourcing, Internet job boards, social media sites, career/job fairs, Internet-based groups, cold calling, association web sites, on-campus recruiting, internships, employee referrals, and general networking.
- Screen resumes and perform telephone interviews to determine if applicants meet minimum threshold qualifications; schedule and conduct face-to-face interviews and testing, if needed; refer finalist candidates to departmental hiring managers for interview.
- Complete onboarding for new hires including but not limited to, create accurate offer letters/hiring documents, set up drug tests, driving record checks and background checks (as required), order supplies, keep recruiting and hiring managers informed of results, conduct new hire orientations in person and virtually.
- Other duties may be assigned as business needs require.

Summary
The Talent Acquisition Coordinator will be responsible for high volume interview scheduling, ensuring exceptional candidate care before and during the interview process. In this role, you will work closely with candidates, hiring managers, interview team members, vendors, and others on the Talent Acquisition team while always maintaining a high level of confidentiality. You will identify opportunities for efficiency and ways to enhance our employer brand and candidate experience.
The goal is to achieve an efficient, enjoyable, and high-touch candidate experience.
This role will be hybrid, with a minimum of two days (Tuesday/2nd day TBD) on-site at our San Rafael headquarters.
Responsibilities
? Manage candidate interviews, including creating interview schedules and confirming logistics with candidates and interview teams
? Coordination of onsite visits and interviews, including creating interview schedules, securing conference rooms, and making detailed travel arrangements
? Provide a stellar candidate experience through your exceptional follow up and communication on all interview coordination
? Work with recruiters and hiring managers to ensure a seamless interview experience for all candidates
? Follow-up with candidates, Talent Advisors and other internal stakeholders as necessary to ensure progress and problem resolution
? Post open positions to appropriate internal and external websites
? Assist with Talent Acquisition Team projects as needed
Experience
? 3-5 years of high-volume administrative experience preferably within a recruiting or HR function
? Highly proficient in use of Microsoft Teams, Office 365, MS Outlook & MS Office Suite, particularly calendaring and spreadsheets
? Expert at managing multiple calendars to organize complicated schedules
? Ability to understand and adapt to rapidly changing priorities and environments, and must demonstrate maturity, flexibility, and patience in all circumstances
? Must be incredibly detail-oriented with effective time management, organizational and problem-solving skills
? Ability to compose and deliver succinct and effective written and oral communications
? Ability to interact effectively with HR team members, internal staff, candidates, and vendors with professionalism, tact, and diplomacy
? Strong interpersonal and relationship-building skills, with a customer-service orientation in all dealings
? Must demonstrate integrity in handling confidential and sensitive information
