Examinetics is hiring a full-time Clinical Services Assistant to join our team! This role is based on site at our Griffith, IN location and plays a key role in supporting the clinical services team by assisting with monitoring, documentation, and reporting activities. This role involves providing administrative support, coordinating tasks and helping to ensure that the organization adheres to regulatory requirements and internal policies.

Primary Responsibilities:
  • Assist the clinical services team with administrative tasks and maintaining documentation.
  • Organize and maintain compliance records, files, and databases to ensure they are up-to-date and readily accessible.
  • Assist in preparing reports for management, regulatory agencies, and other stakeholders.
  • Maintain accurate records of activities, training, incidents, and resolutions.
  • Ensure that clinical services documentation is complete, accurate, and filed according to regulatory requirements.
  • Prepare and process correspondence and documentation for our clients, client employees/candidates, clinics, and labs that we work with
  • Prepare materials and required forms to generate kits that will be sent to clinics in preparation for scheduled appointments
  • Ensure the confidential and accurate handling of Protected Health Information (PHI).
  • Track and follow up with clients, employees/candidates, clinics, and labs on compliance-related issues, findings, and corrective actions.
  • Provide support in responding to regulatory inquiries and investigations.
  • Assist in researching and staying informed about changes in laws and regulations that may impact the organization.
  • Input data into internal databases accurately and efficiently
  • Support the implementation of best practices and initiatives.
Qualifications

Education and/or Experience
  • High School Diploma or equivalent
  • 1+ year(s) of work experience, preferably in a related role
  • Experience handling client or customer service calls in a professional, courteous, and efficient manner
  • Experience sorting and filtering data in Excel or similar tool
  • Experience working with Microsoft Outlook or similar tool
  • Experience entering data accurately
  • Experience working independently and as part of a team
  • Experience prioritizing and multitasking effectively
Skills & Abilities
  • Strong organizational skills with excellent attention to detail.
  • Excellent written and verbal communication skills.
  • Effective time management skills
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to pass background check and drug screen
