Job DescriptionThe TRIO/Student Support Services (SSS) Academic Advisor provides comprehensive advising, financial literacy, and academic support services to Augsburg University students who participate in the TRIO/SSS program. This position assists TRIO/SSS participants in their persistence, academic performance, and timely graduation from the University, enhances existing and develop new programming designed to improve the academic counseling experience for participants in TRIO/SSS, and collaborates with on-and off-campus departments to provide complementary student services.
Primary Responsibilities
- Academic advising and course selection: Advise and monitor students regarding course selection and planning, major and graduation requirements, 4-year planning, graduation advising.
- Financial aid counseling and financial literacy advising: Advise students regarding financial aid award and renewal, and advise about federal, state, institutional, and other sources of financial aid. Instruct on personal budget planning, student account management and other financial literacy topics, monitor and advise on scholarship applications and completion of requirements.
- Academic counseling: Coach students in academic skills and time management techniques through weekly meetings during students’ first term in SSS; monitor academic progress, respond to academic feedback reports and alerts from instructors; provide specialized probation advising and specialized advising for program participants admitted to the University conditionally; assist students in setting and achieving academic goals.
- Personal and career counseling: Instruct students in life and career skills, assist with major decision-making strategies, intervene in minor crises and screen for appropriate referrals, counsel on a variety of issues including family issues, college transition adjustment, college completion, personal development. Guide students to appropriate self-advocacy personally and academically.
- Advocacy: Advocate on behalf of students with faculty and staff, coach students to self-advocate.
- Summer Bridge: Design and lead supplemental instruction sessions for the Summer Bridge course June-August. Assist in planning and day-to-day operations of the 5-week academic residential program. Design and lead several program activities. Direct service to and implementation of advising programming for students participating in voluntary academic support program in order to meet eligibility and administrative requirements of the federal grant.
Additional Responsibilities
- Specialized workshops and academic enrichment activities: Design, present, and evaluate 6-8 student academic support workshops per year, often in collaboration with on- and off-campus community partners; plan and accompany student participants on academic enrichment and leadership activity events 2-4 times per year.
- Project planning and maintenance: Maintain program website, social networking sites and/or program newsletter to support necessary advertisement and communication of program activities. Plan, prepare, and implement retention initiatives to meet TRIO/SSS mission and objectives. Maintain partnerships with workshop co-sponsors, create new programming as needed.
- Collaborative and ongoing training activities: Participate in at least one college committee, cross-departmental training, or discussion group per academic year; consult, collaborate and advise on programming and student issues with campus departments (faculty, Student Financial Services, Admissions, Disability Services, Counseling, Career Services, Student Initiatives, etc.)
- Professional development activities, program assessment, case notes on database and in student files, other documentation for federal grant support.
- All other duties as apparent or assigned by supervisor(s).
Work Environment and Physical Demands

Minimum Qualifications
- Bachelor’s degree
- Minimum of three (3) years full-time related professional experience.
Preferred Qualifications
- Master’s degree in education, student affairs or counseling related field.
- Bilingual: Hmong, Somali, or Spanish.
- Experience with counseling, advising, teaching, and/or student development theories.
- Familiarity with web-based programs and systems, web site design programs.
- Prior experience with TRIO or other educational opportunity programs.
- Knowledge of FERPA and related confidentiality guidelines.

The student support team provides coverage throughout the building and building grounds (including the grounds outside of the building) to provide a safe, supportive and nurturing environment for both students and staff. Student Support supports the day to day positive school culture environment by building strong relationships/mentorships with affective and tangible supports for students, overseeing disciplinary issues in the school, communicating, problem solving and working closely with staff and families to ensure student success through their understanding and adherence with school policies. Student support team will coordinate with student engagement department, school social workers, education, SPED and other departments, case-managers, advisors to assist and support dis-engaged students with a goal of re engagement. This includes assisting with ensuring students have an active personal learning plan/IEP, schedule, technology and also food, and proper clothing through one on one conversations and deliveries as needed to students who are highly mobile or unable to come to the school to receive these resources. Also provide student transportation with at least one other staff member when needed and approved by the executive director.
Daily Activities/Responsibilities
Responsible for performing duties including assisting in creating a positive learning environment for all students. Establishing strong relationships/mentorships with students and families; acquaint student support staff with students with knowledge on how to access student PLP's/IEP'S; establish strong and collaborative interdepartmental communications; resolve conflicts that interfere with student learning and supports using cultural competencies and conflict resolution/mediation best practices; incorporate Check and Connect practices; initiate and manage affinity student group meetings and activities focused on overcoming barriers to learning; report and respond to matters related to student conflict or infractions; manage students being sent out of the school building and suspensions with final decisions made by executive director; transport students when necessary and approved by executive director in accordance with student transportation policies.
• The goal of the student support team is to provide for a supportive and safe learning environment.
• Student support helps secure the lobby, works with the front desk to check bags, provides coverage throughout the building and outside.
• Student support attends all care team meetings, visit and/or sit in advisories, classes, studios, gym and all spaces visited by students and may carry a small caseload of students.
• The student support team oversees day-to-day disciplinary issues in the school and works closely with student engagement, special education team, operations director, and executive director to ensure compliance of our school policies. Student Support will recommend students being sent home and suspensions to the executive director for final decisions. Student Support will provide and keep necessary documentation and records on all necessary student disciplinary matters and forward such documentation to the executive director for final approvals.
Student support team will always communicate with the student's advisor/SPED team if a student disciplinary matter may lead to the student being sent home or suspended. This communication with the advisor or SPED must happen immediately after a situation is safe to communicate.Students less than 18 will also have their families called if they are being considered to be sent home.
Student support will always convene a reentry meeting for students sent home or suspended before being let into the general population. Advisors/SPED and families will always be invited into these meetings. The purpose of these meetings are to restore the student back into the general population through responsibility and restoration through team problem solving, including with the student.
• Student support team also assists with school events, field trips, necessary student transportation needs approved by executive director, home visits,delivery of homework, technology,food,and critical supplies when necessary for students who are highly mobile or unable to come into our school building and receive school assistance or resources.
• Student support makes regular rounds and observe learning spaces and the student environment.
• Student support takes attendance and identifies students with attendance issues and holds regular retention meetings to help keep students off the drop list by reaching out to disengage students and students who are hard to reach.
• The student support team coordinates with the student engagement department, the school social work team, teachers, case managers, advisers and other support staff to assist and support them in the implementation of our school culture.
Student support team does end of the day rounds to make sure that the building is clear of all students at the end of the school day.

The goal is for every high school student at Gateway to graduate from high school with the skills, habits, and knowledge necessary for academic and personal success in college and beyond. The Student Support Coordinator will support two primary student programs: Enrichment Programs and Leadership Programs. Together, the two programs will ensure that students have strong academic instruction, wrap-around services and extracurricular activities. The Student Support Coordinator may also work closely with the BGCSF Site Director, Gateway Student Activities Director and other Gateway staff to support other student leadership and youth voice programs. This position follows the school year calendar. This role offers 25-32 hours weekly during the school year, with the option of 6-8 weeks of work at another BGCSF Summer program. Position Summary
Under general supervision of assigned manager/supervisor, serve as a staff assistant in providing student services and information on college programs.

Typical Duties
Familiarize students to available resources, services and programs, individually or in groups; answer questions regarding assigned program requirements; present workshops on topics related to area of assignment; assist students with completing related forms and reviewing for completion; interpret program regulations or benefit requirements for assigned area, and assist students in obtaining needed supportive services; serve as a resource person to students and staff on area of assignment; work in cooperation with campus faculty, staff, other campus student resources, and related community agencies to serve student needs and represent the college; assist with advertising the resources and programs provided by area of assignment, such as bulletin announcements, newsletters, flyers, handouts, web pages, and other visual displays; assist with outreach efforts including visits to secondary schools or community organizations; assist with coordination and support of campaigns for recruitment, retention and completion efforts; record and coordinate student documentation and maintain related records; assist with follow-up studies and activities relating to the evaluation of services provided by the program; maintain confidential information and materials; perform general office duties such as filing, data entry, maintaining records, answering the phone, and making appointments; assist with the development of the master calendar of events, and other related scheduling; order, review, catalog, inventory, maintain materials, and prepare and update lists of information and available resources; create, modify, and maintain reports, records and forms used; attend appropriate conferences, workshops and staff meetings as assigned; recruit, interview, hire, and train temporary employees, and assist with processing related timesheets; assist with monitoring budget information, such as processing requisitions and other related budget processes; perform related duties as assigned.
In addition to the Typical Duties noted above, duties for the below noted areas of assignment include (the below list does not represent all areas of assignment):
Athletics: Review academic performance of student athletes and make appropriate referrals; assist in follow-up of unsatisfactory reports, and complete eligibility unit checks.
Call Center: Intake inquiries and refer students and public to appropriate resources; assist with coordination and support of call campaigns for recruitment, retention and completion efforts; guide students to complete application process, academic program selection, additional enrollment processes, financial aid application, and college visits.
Career Center/Internships: Research current labor market for career and transfer opportunities, with emphasis on college program areas; refer qualified students to employers or employment services for placement, and conduct follow-up interviews with students; provide assistance with mock interviews, resume critiques, and job searches; administer career planning assessments; provide vocational and educational guidance training for students.
Student Life: Assist with the development and supervision of student organizations in collaboration with student leaders; plan and coordinate social and cultural activities for students; attend and assist with coordination of college activities sponsored by the student association and other student groups; coordinate the student election process.
Minimum Qualifications
EXPERIENCE: Two years of experience related to the duties of the position.
EDUCATION: Completion of an Associate's Degree or 60 semester units (90 quarter units). NOTE: An additional year of qualifying experience may be substituted for up to one year of college education.
