Location: 590 W Forevergreen Rd, North Liberty, IA 52317
Seasonal Schedule: September-May; Part-time; Monday through Friday (25-35 hrs./week). Hours will vary and increase during busiest tax season months. May require some Saturdays.
ScopeTrust and Wealth Management Tax Support is responsible for assisting the Trust and Wealth Management Department Tax Team with tasks and projects related to tax reporting and processing. The person filling this role will return each September-May.
AccountabilitiesTax Reporting and Processing:
- Monthly review of transactions and information for various account types, and correction as needed
- Assist with monthly review and correction of IRA transactions, including review of accounts for filing requirements and collection of beneficiary information
- Assist with year-end reporting for IRA accounts (1099-R and 5498)
- Monthly review of MLP transactions and activity, and coordination of year-end reporting
- Assist with monthly tax withholding reconciliations
- Maintenance of tax files
- Generate reports from the trust accounting system (SWP) for accounts recently opened or closed. Review reports for key information related to tax reporting, as directed
- Manage tracking and documentation of IRS and State tax authority correspondence. Coordinate with Tax Team on collection of information and response as appropriate
- Year-end review of Municipal Bond information
- Assist with preparation of information and delivery to tax preparers
- Prepare year-end Capital Gain/Loss Excel spreadsheets
- Prepare year-end Holdings reports for charitable trusts
- Prepare Rental and Farm activity workpapers
- Maintain fiduciary tax tracking log to ensure completeness of filings and payments. Update tax-related comment fields on trust accounting system (SWP) with notes from tracking log
- Monitor and review 65-day distribution transactions. Maintain listing and update preparers as transactions are completed
- Fiduciary tax return processing, to include obtaining signatures on documents, electronic delivery of official documents to customers and/or internal staff, tracking progress of accounts throughout the entire tax filing process, and providing Tax Team with information and progress updates
- Compile information and prepare necessary schedules and worksheets for use in posting tax/balance due electronic payments by required payment dates
- Communicate with tax preparers and Trust and Wealth Management staff via email, queries, and secure websites
- Save documents to electronic storage

- Maintain confidentiality of customer account information
- Assist Trust and Wealth Management with special projects

Job Description
The Tax Regional Support Specialist Is responsible for providing outstanding tax service, supported by researching and resolving tax notices and escalations.
Essential Functions/Duties/Responsibilities
- Interacts with various Federal, State and local taxing agencies regarding compliance with regulatory guidelines as well as resolving related issues with notices
- Frequently communicate with federal, state, and local tax agencies to resolve customer payroll tax notices.
- Work to ensure KPI and SLAs are met
- Maintains average ticket aging to 30 days or less
- Responds to cases within stated department expectations
- Identify and provide feedback on jurisdiction processing issues based on notices (aka; mass events)
- Coordinate with internal agency relations team to ensure creation of mass event payments
- Coordinate with internal agency relations team to handle abatement requests.
- Communicate updates and perform tasks on customer notices by asking for cash collection, creating prior quarter and current quarter payments (create ACC Packet), and generate check payments for late and missing returns/payments for tax cases.
- Coordinate with internal treasury team to research outstanding (non cashed) check payments.
- Coordinate with internal amendments team by providing amendment check list and reassigning the ticket to their queue when an amendment is needed.
- Package, mail and track any payments/missing returns and send to agencies.
