The Recruitment team is responsible for supporting the hiring of all field roles in the US. We are a highly customer and candidate focussed team who take pride in delivering great results. We want to hire a bright and ambitious recruitment associate who is eager to learn.
Key Responsibilities
- Responsible for posting job adverts to job boards.
- Supporting the recruitment process through arranging interviews, screening candidate CV’s and producing contracts of employment.
- Using social media to attract passive candidates.
- Managing some vacancies across the full recruitment lifecycle
- Coordinate interviews and final meet and greet tours with hiring managers
- Manage relationships with hiring manager to keep them updated on recruitment progress.
- Support and own projects to improve our recruitment capability e.g. interview toolkits, job adverts and descriptions.
- Support general HR.
Required Skills, Experience & Qualifications

The Opportunity
- Generate and develop leads through the coordination of advertisements, cold calling, referrals, Internet sources, residency programs, and conventions.
- Initiate contact and timely follow-up with prospective Emergency Medicine physicians and Advanced Provider candidates. Document all actions in database accordingly.
- Develop comprehensive recruiting plans for specific vacancies.
- Conduct preliminary phone screens, providing site and other relevant information on open positions to qualified physician and advanced provider applicants as well as provide the candidates with an overview of Vituity.
- Evaluate candidates for positions and organizational match.
- Work with candidates and Medical Directors to coordinate phone interviews and/or site interviews.
- Conduct follow-up regarding interviews with all applicants on a timely basis.
- Discuss the hiring process with new hires during the contracting phase.
- Conduct verbal reference checks and enter the information into appropriate forms to share with the Medical Director.
- Facilitate identifying appropriate references for written reference checks.
- Maintain and update the candidate records in Taleo. Utilize the systems to obtain reports, searches, and listings.
- Develop strong relationships and communicate regularly with Medical Directors, Regional Directors and/or Vice Presidents, Lead Advanced Providers and/or Regional Advanced Providers.
- Conduct follow up/touch base calls on all new hires after 30/60/90 days to gauge first impressions of the site they work at and Vituity,to enhance retention efforts.
- Maintain practice profiles with current site information, credentials requirements and pay information on each site in the region.
- Maintain regular contact with new hires until the effective start date and beyond for retention purposes.
- Act as a consultant to the site to provide recommendations regarding recruiting and interviewing efforts.
- Understanding of and willingness to recruit for all other practice lines including Hospital Medicine, Outpatient Medicine, Psychiatry, Neurology, Anesthesiology, Tele-Medicine positions when requested.
- Management of, and demonstrated success, recruiting for one (1) or more hard to recruit sites.
- Provide full cycle recruiting for the Emergency Medicine lineof business.
- Attend all relevant meetings involved with Physician and Advanced Provider issues.
- Establish ongoing relationships with residency programs and attend residency dinners as needed.
- Prepare for and attend conferences.
- Development of recruiting related initiatives that, in line the with Balanced Score Card, advance the effectiveness of the Core Recruiting function.
- Work in conjunction with Business Development, Practice Management, Partnership Affairs, HR, and other departments to share market intelligence (leads) and best practices in recruiting.
- Provide salary and market assessments to the growth team for potential contracts and RFPs through professional network and cold calls to certain hospitals (no internet research).
- Assist in the development/contact of outreach to Family Practice/Internal Medicine/Critical Care/Pulmonology and other Hospitalist related programs when requested; Assist in the development/contact to Anesthesia related programs when requested; Assist in the development/contact to Psychiatry and Neurology related programs when requested.
- Prepare and process PA/NP offer letter and hire documents.
- Communicate relevant information and updates to credentialing and provider enrollment.
- Review status of application process, maintain as necessary and stay in regular contact with applicant(s).
- Keep up to date on practice sites and/or Vituity's policies, procedures, etc. and convey this information appropriately.
Required Experience and Competencies
- 3-5 years of recent Recruiting experience required.
- 1-2 years working for a practice management company or physician recruiting firm required.
- Proficient in MS Office Suite for Windows, Internet and other sourcing techniques and expertise with database management preferred.
- Experience with Taleo is preferred.
- DEI Recruiting experience strongly preferred.
- Experience working in a recruitment agency setting strongly preferred.
- Experience working in a medical setting desired.
- Experience working both independently and in a team-oriented, collaborative environment preferred.
- Ability to juggle multiple priorities and make decisions in a rapidly growing, professional, service orientated environment preferred.

The Opportunity
- Partner with the Senior Medical Recruiter to ensure all 411 facility sheets are up to date and available to update job postings.
- Assist Senior Medical Recruiter with opening requisitions for new sites.
- Assist Senior Medical Recruiter with going through site rosters of Acquihires to determine if providers are eligible for rehire and what their hire type should be when hired.
- Educate the Advance Provider Acquihires about Vituity and our benefits plans.
- Assist Senior Medical Recruiter with screening candidates and reference checks, as needed.
- Assist Senior Medical Recruiters in sending out the application link and extending offers to Acquihires.
- Conduct preliminary screening of prospects (Physician and Advanced Providers).
- Assist with the follow-up on leads via phone, email, or text in a timely matter.
- Identify, research, and source contacts to conduct cold calls through.
- Provide site and other relevant information on open positions to candidates and provide prospects with an overview of Vituity, as needed.
- Screen candidates and work with Senior Medical Recruiter to present them to Hiring Manager.
- Complete placements and add sites moving candidates forward to onboarding.
- Assist with proactive follow up on onboarding timelines and help push candidates when needed on completion of paperwork.
- Send and complete reference checks for new providers through DocuSign.
- Maintain and update the candidate records in Taleo and Phenom. Utilize the systems to obtain reports, searches, and listings.
- Set up and take notes for Risk Assessment calls when needed for locum or Site Incentives request.
- Review status of applications, maintain as necessary and stay in regular contact with candidates.
- Work with Talent Sourcing and Operations to send out email/text campaigns to identify new candidates.
- Keep up to date on practice sites' and Vituity's policies, procedures, etc. and convey this information appropriately.
- Special Projects as needed.
- Sources passive candidates through networking, cold calling, social media, and complex internet searches and research.
