Duties/Responsibilities:

  • Assist Broker and HR Manager of NQA/Unitek with research employee benefits plans.
  • Serve as primary contact for plan vendors and third-party administrators for the NQA/Unitek plans.
  • Administer leave programs (FMLA, ADA, STD/LTD), ensuring compliance, documentation, and communication with employees and managers.
  • Coordinate transfer of data to external contacts for services, premiums and plan administration.
  • Evaluate and revise internal processes to reduce costs and increase efficiency.

  • Assist Broker and HR Manager of NQA/Unitek with review of both short- and long-range cost estimates/projections and relevant statistical analyses regarding modifications in benefits programs and implementation of new programs.
  • Assist Broker and HR Manager of NQA/Unitek with industry trends. Complete benefits surveys and review information obtained from the results. Analyze complex benefits information.
  • Provide customer service support to internal and external customers. Develop communication tools to enhance understanding of the company's benefits package.
  • Design and distribute materials for benefits orientations, open enrollment and summary plan descriptions. Provide training and support for group benefits associates, home office associates and field staff.


Required Skills/Abilities:

  • Computer proficiency and technical aptitude with the ability to use Microsoft products, including PowerPoint; experience with HRIS and benefits databases.
  • Project and team management/leadership skills and experience.
  • Proven ability to work effectively in a team environment with associates.
  • Effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
  • Strong analytical skills and a thorough knowledge of plan designs.
  • Ability to understand, evaluate and make judgments on proposals (RFPs).
  • Knowledge of benefits contract language.

Your Responsibilities

Employee Benefits & Retirement Plans

Position Summary

Asa Benefits Administrator, youll play a vital role in managing and supporting our employee benefits programs, leave administration, workers compensation, and general employee support. This role is perfect for someone who thrives in a structured environment, enjoys solving people-related puzzles, and believes in the power of thoughtful, responsive HR.

You'll work closely with both internal teams and external vendors, helping to ensure our benefits processes are efficient, compliant, and centered on the employee experience.

Key Responsibilities
  • Benefits Administration : Manage employee benefits programs including Medical, Dental, Vision, Retirement, and Voluntary plans (enrollments, changes, terminations, COBRA).

  • Billing & Reimbursements : Reconcile benefit invoices and process payments including wellness reimbursements, Live Scan and TB test reimbursements, and CPDO credit card transactions.

  • Leaves Management : Administer employee leaves including FMLA, PDL, and other available types; guide employees through processes with clarity and care.

  • Workers Compensation : Coordinate claims and provide employees with clear instructions for treatment and follow-up.

  • COVID Protocol Support : Manage time-off procedures, reporting, and related communications.

  • Verifications & Inquiries : Respond to employment verifications, EDD forms, and partner organization requests.

  • Orientation & Employee Support : Present benefits information during new hire orientation and respond to employee questions related to eligibility, policies, and procedures.

  • Compliance & Communication : Ensure compliance with state and federal regulations and communicate updates and policy changes effectively.

  • HRIS & Reporting : Enter and update benefits data in the HRIS and collaborate with payroll to ensure accuracy.

What Were Looking For
  • Bachelors degree in Human Resources, Business Administration, or related field (preferred)

  • 35 years of experience in benefits administration

  • Working knowledge of federal and state laws related to employee benefits and leaves

  • Experience with HRIS and benefits enrollment platforms

  • Strong attention to detail, organizational skills, and time management

  • Excellent written and verbal communication skills

  • High level of discretion and respect for confidentiality

  • Bilingual in Spanish is a plus

Job Purpose:

The Benefits Administrator supports the coordination of all company employee benefits programs and leads the company's wellness program. This role also supports compensation projects as requested. This position reports to the Total Rewards Manager.

Responsibilities:

  • Partner with the Total Rewards Manager on strategy execution for all company benefits
  • Provide support and maintenance of the employee benefit programs including health, dental, vision, ancillary benefits, flexible spending plan, health savings account, and 401(k) plan
  • Support all benefit processes such as enrollments, terminations, COBRA notifications, benefit claims, FMLA, and compliance testing
  • Process and audit benefit invoices
  • Submit and audit HSA & FSA funding using HRIS records
  • Compile and maintain employee benefit records and documentsin HRIS
  • Provide excellent customer service to internal and external customers, responding to benefit inquiries as needed
  • Support new hires and annual open enrollment period
  • Distribute materials for benefit orientations, open enrollment, and summary plan descriptions
  • Prepare and report FMLA/CFRA and other applicable leave including preparation of forms, return to work requirements and seek approval for extensions as necessary
  • Support international benefit insurance programs including quoting, enrollments, document management and claims assistance
  • Lead the company wellness program and committee as well as coordinate wellness events and rewards
  • Maintain and administer employee Wellness points/rewards

Skills/Qualifications:

  • Bachelors degree in business, Human Resources, or a similar degree/experience required

  • Demonstrated proficiency handling sensitive and confidential information
  • Intermediate Excel skills including VLOOKUP, INDEX, MATCH, and IF/IFS, Pivot Tables and Charts, data validation, and conditional formatting are required

Job Summary

Oversees the administration of health and welfare plans in accordance with operative plan documents and in compliance with federal law with minimum supervision. Minimum Qualifications

High School Diploma

Specialized experience dealing with the administration of employee benefit plans, specifically Health & Welfare, life, FSA, & HSA.

Knowledge & understanding of federal & statutory laws including, but not limited to, ERISA, FLSA, FMLA, COBRA, EEO, ADA, ACA, & HIPAA.

Experience in customer service related to benefits administration, with essential skills navigating software systems to document conversations, outcomes & managing follow-up actions.

Must have high level of customer service with willingness to provide assistance, an effective & empathetic communication style when managing in/outbond calls & communicatings with plan participants & team members. Must have ability to manage escalated requests using active listening & critical thinking skills.

Job Duties

Responds to confidential inquiries and develops responses for plan participants according to the provisions of the plans and their application in each individual's circumstances. Interprets and applies, in a nondiscriminatory and conservative manner, specific provisions of the plans to individual plan participants. The issues require discretion and the ability to make knowledgeable, independent decisions. Functions as the key liaison to employees, managers, HR professionals, and other plan participants. Analyzes and researches claims issues that arise from participant inquiries and works with benefit plan carriers and consultants to resolve.

Assists in the administration of all policies and procedures relating to the medical, retiree health, dental, prescription drug, vision, life, long-term disability, EAP, FSA, service and retirement awards, dependent scholarship, retirement, and savings plans. Coordinates and processes death claims and Qualified Medical Support Court Orders (QMSCOs) as required. Facilitates new hire benefits orientation meetings and prepares necessary presentation orientation materials.

Investigates and assists in drafting the initial response to Benefit Plans Committee appeals with regard to Health & Welfare, LTD and disability retirement claims. Assists the Benefit Plans Committee Secretary in researching, compiling, and drafting support documentation with regard to the determination of the inquiry.

Creates and maintains administrative records and benefits files and communicates with the CITGO Records Management team serving as the RM Coordinator working with Legal, Health Services, Workers Compensation, third party consultants/administrators following established recordkeeping guidelines.

Researches and identifies "best practices" in the industry to assist with the development of all Health & Welfare plan employee communications, including ERISA required notifications (i.e., Summary Plan Descriptions, Summary of Material Modifications, etc.).

Independently determines where to seek advice both inside and outside of company. Consults with Tax, Legal, HR and IT personnel on technical and varied issues. Researches, develops, and designs various welfare benefit forms, brochures, global e-mails, and benefit summaries necessary for the administration and communication of these programs. Assists in developing presentations to employees or retirees and delivers the presentations as needed.

Conducts special, critical, and analytical projects and surveys as assigned by supervisor, including Annual Election and benefit annual audit. Requires discretion and latitude.
