Our client is seeking a proactive and detail-oriented Trust Administration Paralegal to join their San Francisco law firm team on an ongoing contract basis with potential for contract-to-hire. This role is ideal for someone with a strong background in trust administration who also has experience supporting estate planning matters.
Key Responsibilities:
+ Prepare and draft estate planning documents, including wills, revocable and irrevocable trusts, powers of attorney, and healthcare directives
+ Assist with trust funding and asset alignment, including coordination with financial institutions and title companies
+ Support attorneys in trust administration and probate matters, including preparation of trustee notices, court filings, petitions, waivers, and consents
+ Maintain accurate and organized case files, calendaring deadlines, and tracking key milestones
+ Communicate professionally with clients, beneficiaries, CPAs, financial advisors, and government agencies
+ Assist in preparing fiduciary accountings, estate tax returns, and trust termination documents
+ Conduct legal research and stay current on California probate and trust law.
Requirements
Qualifications:
+ Minimum 3 years of experience as a paralegal in trust & estates law, with a focus on trust administration
+ Strong working knowledge of California probate procedures and estate planning fundamentals
+ Proficiency with legal document management systems and calendaring tools
+ Excellent written and verbal communication skills, with a client-service mindset
+ Ability to manage multiple matters and deadlines independently
+ Bachelor's degree and paralegal certificate preferred

This is an entry level Personal Trust Officer position, responsible for administering personal trust accounts such as testamentary/intervivos trusts, foundations and agency accounts in accordance with terms specified in the trust instrument. WHAT WILL YOU DO?
* For Trusts where CNB is trustee, reviews and revises paperwork from sales team (e.g., agreements, fee schedules, transfer proxies, receipt of assets, ensure accurate cost basis and tax acquisition dates, obtain any missing information and signatures, etc.). Make corrections and additions to ensure accuracy.
* Prepare new account paperwork, as required.
* Analyze anticipated income to insure sufficient cash is maintained to meet beneficiary distributions, banks fees, trust bills, etc.
* Obtain missing documents from clients.
* For Trust accounts, initiate annual administrative review of accounts. Review files for completed forms, codes, review payments and transactions and for accuracy. Review forms to ensure they are consistent with the Trust Document.
* Produce and review various tax reports for clients and intermediaries. Research tax deficiency notices. Pay estimated taxes and allocates tax payments between principal and income, file returns, and maintains tax calendars. Communicate with Tax Vendor and external intermediaries.
* Gather data for account reconciliation, ensuring distribution requirements are met for charitable trusts, computes distribution amounts for uni-trust accounts and reviews fee agreements between the bank, clients, and Co-Fiduciaries.
* Complete discretionary distribution requests. Submit formal requests to the Trust Officer for approval.
* Coordinate set up, tracking, and monitoring of personal property inventory; real estate, mineral, oil and gas, intellectual properties, and special financial assets. (i.e., notes, loans, partnerships, etc.)
* Provide client service by responding and researching client and colleague inquires by phone, email, and written communications.
* Respond to advisors and intermediaries regarding the administration and maintenance of accounts.
* Fields phone calls from clients and intermediaries.
* Review documents and responses to compliance department, audit and OCC inquiries after research is performed by TA.
* Gather information from clients for projects.
* Prepare draft correspondence letters and memos.
* Maintain new account logs.
* Follow appropriate Regulation 9 process.

JOB SUMMARY
Reports to the Fiduciary Director and is responsible for the successful day to day execution and leadership of all the Trust Administration, New Business Engagement Risk Oversight, Compliance and Client (or Client Team) Delivery commitments for their respective segment(s). The Fiduciary Team Leader is accountable for the performance of Trust Administration Advisors in their respective segment. At the direction of the Fiduciary Director, the Fiduciary Team Leader is responsible for assigned projects and other activities which benefit the overall line of business or center location.
ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Responsible for the successful delivery of various Trust Administration and client (direct client and client team) activities in accordance with the terms of governing instruments, Policies, Procedures and applicable state laws.

3. Responsible for day to day coordination of Risk, Compliance and other Oversight activities in collaboration with Fiduciary Director, Risk, Legal, Compliance and other partners

JOB SUMMARY
Reports to the Fiduciary Director and is responsible for the successful day to day execution and leadership of all the Trust Administration, New Business Engagement Risk Oversight, Compliance and Client (or Client Team) Delivery commitments for their respective segment(s). The Fiduciary Team Leader is accountable for the performance of Trust Administration Advisors in their respective segment. At the direction of the Fiduciary Director, the Fiduciary Team Leader is responsible for assigned projects and other activities which benefit the overall line of business or center location.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Following is a summary of the essential functions for this job. Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time.
1. Responsible for the successful delivery of various Trust Administration and client (direct client and client team) activities in accordance with the terms of governing instruments, Policies, Procedures and applicable state laws.
2. Responsible for the coaching, development, oversight and performance of assigned Center Trust Advisors and Client Service Specialists.
3. Responsible for day to day coordination of Risk, Compliance and other Oversight activities in collaboration with Fiduciary Director, Risk, Legal, Compliance and other partners
4. Responsible for the successful ongoing execution of assigned management routines
5. Responsible for the successful execution of projects for the Advisory Center line of business
6. Responsible for addressing any client or teammate escalations, and tasked with escalating further to the Fiduciary Director if needed.
QUALIFICATIONS
Required Qualifications:

1. College Degree with a preferred emphasis on Business or Finance
2. Significant experience (over 10 years) in Trust Administration , Fiduciary oversight and new business activities for Personal Trust
