Purpose
The Volunteer Coordination Associate is responsible for promoting high-quality volunteer coordination and community engagement efforts (inclusive of volunteerism, donations, sponsorship and other forms of community partnerships) across the CWS affiliate network. This position has responsibilities related to community outreach and volunteer engagement, program development, training, technical assistance, data tracking and analysis, and proposal and report writing. An important prerequisite for this position is the ability to work collaboratively as part of a team in a collegial manner and to work independently to carry assignments through to completion.
Domestic travel is required.
Responsibilities
- In collaboration with the Director develop and implement a comprehensive Volunteer Engagement Program. Volunteer Engagement includes the recruitment, training, and supervision of volunteers and interns, soliciting and managing in-kind donations, and developing Welcome Teams and Co-Sponsorship relationships with community-based groups, including but not limited to businesses, universities, civic and faith-based organizations, to support IRC clients.
- Responsible for establishing and coordinating an extensive donations program at the CWS office; Engage with potential donors and work with local corporations to solicit gifts-in-kind.
- Collaborate with program staff in coordinating volunteers and distributing donations; Oversee the equitable distribution of donations to CWS client populations.
- Maintain day-to-day contact and provide technical assistance to staff on volunteer coordination and community engagement in close coordination with colleagues. Serve as primary point of contact on matters relating to volunteer coordination for headquarters and affiliate network staff.
- Develop specific knowledge and expertise in best practices of volunteer recruitment, engagement, retention, and management and developing resources for local office use.
- Organize and implement volunteer appreciation events.
- Coordinate with CWS Community Engagement national team to ensure comprehensive approach to volunteer coordination and community engagement support to the CWS network.
- Contribute to narrative, data, and other reports, as they relate to in kind support and donations.
- Support with overall development of the local community and volunteer engagement strategy for the benefit of the community and CWS clients.
- Utilize established indicators and develop additional indicators, where appropriate, to measure achievement and evaluate outcomes; through regular review of qualitative and quantitative data, identify program trends, promising practices and areas for improvement and make recommendations for program development and enhancement.
- Represent CWS at internal and external conferences, meetings, committees and working groups with CWS colleagues, national Resettlement Agencies, federal partners and other stakeholders.
- Maintain organized hard and soft data and information sets and make accessible to stakeholders upon request.
- Develop contextual promotional materials in collaboration with national business development unit to ensure consistent messaging.
- Perform other related duties and projects as requested.
Education and Certifications:
- Bachelor's degree or equivalent experience in lieu of degree.
- A minimum of 5 years previous experience working with volunteer coordination or community engagement. Experience working with a national resettlement agency or local resettlement affiliates.
- Experience working with non-profits and community groups.
- Understanding of the refugee experience and power dynamics associated with volunteer and client interactions
- Experience working in a multi-ethnic, multi-cultural and diverse environment.
- Experience developing promotional and marketing materials for external use.
- Strong interpersonal and diplomacy skills; ability to work collaboratively and effectively with diverse partners and teams
- Ability to conduct oneself in a professional and courteous manner at all times to represent the professional and institutional interests of CWS
- Knowledge and experience in working with Microsoft Word, Excel, Power Point, Canva and database software is essential
- Excellent project and data management skills
- Strong verbal and written communication skills required. Ability to speak in front of large audiences and present information in a clear manner
- Excellent organizational and time management skills and ability to manage a large and diverse workload under pressure and with competing priorities

Job Title & Role Description:
The Community Outreach Specialist (COS) plays a critical role in establishing Upward Health’s presence in the community and reaching potential patients. As the first point of contact for individuals seeking our services, the COS is responsible for educating patients about Upward Health’s offerings, engaging them in meaningful conversations, and facilitating their enrollment into our programs. The COS manages a personal caseload, primarily utilizing phone outreach, but also employing in-person visits and other community-based strategies as needed. This role is essential in ensuring that patients understand the full range of services available to them and helps them take the first steps toward improving their health. The COS reports to the Outreach Manager and works closely with other team members to ensure the overall success of patient outreach and engagement efforts.

- Strong organizational and multitasking skills to manage a personal caseload efficiently
