**Job Summary**
**Facility Manager** self performs a variety of light maintenance duties, provides vendor management and financial obligations. Contributes to the on-site ESFM efforts by showing professionalism in interactions with customers, vendor's and others.
**Essential Duties and Responsibilities:**
**Maintenance and Supervision** :
+ Supervise and coordinate maintenance service and repairs; manage janitorial services.
+ Implement maintenance and general procurement of subcontractor services and oversee timely and safe repairs.
+ Maintain the yearly preventative maintenance (PM) schedule, ensuring timely completion.
+ Manage or oversee facility-related work, prioritizing as needed.
**Budget and Logistics:**

**Team Management and Development:**
+ Supervise subordinate personnel, including hiring, payroll, assignment delegation, scheduling, and performance evaluation.

+ Lead team meetings and maintain solid communication with the ESFM team and Shopify.
+ Manage staff overtime hours and leave, ensuring compliance with policies.
**Safety and Compliance:**
+ Conduct monthly safety audits and follow up on corrective actions.

+ Be compliant with Foodbuy regulations and manage the transition of services accordingly.
**Reporting and Communication:**
+ Compile information for weekly and quarterly presentations to Shopify.
+ Manage the CMMS portal for assigning and closing out tasks.
+ Approve site invoices and submit expense reports monthly.
+ Keep Shopify teams updated on all activities pertaining to safety, repairs, and work status.
**Meetings and Audits:**
+ Develop and maintain a list of daily activities; conduct meetings to review work status.
+ Manage Shopify audits and ensure documentation is prepared; inform cleaning staff about requirements.
+ Attend all required Shopify and site meetings punctually.
**Policies and Regulations:**
+ Adhere to ESFM policies; avoid personal gains from client interactions or actions against management decisions.
+ Ensure that ESFM rules and regulations are followed.

**Qualifications:**

**Overview**
An ABM Facility Manager is responsible for the operational success of his/her account. The Facility Manager must lead a diverse team, engage in regular client interaction, develop internal and external relationships, deliver operational goals, manage and forecast an accurate budget, manage vendors, interface with senior leadership and work to continuously develop operational team members.
Responsible for the day-to-day operation and administrative activities to ensure conformance to contract requirements.
Develops and implements cost control measures and level of service standards to ensure compliance with customer specifications / contract requirements for assigned building.
Oversees inspections, quality control measures, and the inventory control of equipment and supplies for the assigned building.
**Essential Duties**
Coordinate service activities for assigned building. Ensure that services are performed as contracted.
Control supplies, equipment, and personnel necessary to meet customer specifications.
Interact with customers daily to obtain feedback on services and special needs. Troubleshoot potential problems and concerns.
Knowledge of BMS, electrical, HVAC and plumbing
Manage the company's quality control monitoring and safety programs at the assigned buildings.
Conduct quality of service inspections at assigned buildings.
Attend ABM training workshops when scheduled.
Develop operational improvement plans and implements process changes within assigned buildings.
Attempt to increase revenue by ensuring the Supervisors are looking for ways to provide additional or periodic services to the customers.
Ensure compliance with company policies and procedures and all federal, state, and local government regulations.
Ensure that all paperwork, including terminations, labor variance action plans, and operational model is complete and accurate and is submitted to the district/hub in a timely manner.
Analyze and manage, in a proactive manner, both the financial and the operational performance of the assigned buildings.
Ensure that payroll is accurate and submitted to the appropriate payroll personnel in a timely manner and, when applicable, correct any payroll discrepancies.
Work with District Manager to develop an action plan for all invoices that are outside of the contractual parameters.
Manages and provides leadership to Supervisors, and Lead personnel assigned to the buildings.
Responsible for the overall direction, coordination, and evaluation of personnel within the assigned building. Carry out supervisory responsibilities in accordance with the company's policies and applicable laws.
Responsibilities include directing work; appraising performance; rewarding and disciplining employees; addressing complaints, resolving problems, and terminating employees.

**Minimum Requirements**
Associate degree is required.
Minimum of three (3) years of supervisory experience in a service/customer-oriented environment.
Experience in cost estimating/pricing work.
Have a working knowledge of OSHA safety regulations and chemical handling/storage procedures.
Must be able to write reports and business correspondence and effectively present information and respond to questions from managers and customers.
**Compensation:** $130,000-$150,000 annual salary (US Dollars)

We are a full-service Pet Care company operating several daycare and grooming locations across New York City. We are growing and seek highly motivated, reliable and experienced Facility Managers to join our awesome team of dog lovers! You will be expected to provide exceptional care to all animals under our supervision, while also ensuring an excellent customer experience.



Administration and Scheduling (35%)


  • Serve as the on-site authority for the facility’s daily operations during work hours.

  • Manage our online client system, Paw Partner, to ensure that it is functioning correctly, that clients are able to request the proper services, and that clients are being properly billed for the services they request.

  • Enroll new clients in Paw Partner, ensure that clients complete their registration providing/uploading all required information (ie. vaccination records, billing).

  • Maintain the daily daycare calendar to ensure that dogs are being picked-up and dropped-off as scheduled.

  • Schedule Grooming appointments

  • Ensure that appropriate staffing is always in place to meet the demands of the daycare.

  • Ensure that everyone on the team’s wearing their TMAB uniform.


Staff Supervision, Training and Coordination (25%)

  • Supervise your team of Pet Care Specialists (PCS) to ensure that all daycare services are delivered in a way that meets company policies and exceeds customer expectations.

  • Oversee the training of new PCS, ensuring that they have the tools they need to provide excellent customer service and care for the dogs at our facility (see Facility Manager Manual).

  • Maintain the Policies and Procedures Manuals of the facility.

  • Respond to the teams’ and clients’ logistical and pet-related concerns during the day, and troubleshoot any issues that arise. Contact the management team whenever necessary.

  • Serve as a “jack of all trades,” able to fill in for the daycare team and assist with operations on an as-needed basis.


Customer Service and Communications (25%)

  • Serve as the face of Throw Me A Bone with all clients.

  • Respond to new client registration emails, coordinating times for the clients’ first-time visits or daycare evaluations.

  • Respond to client inquiries regarding scheduling, billing, or other issues.

  • Explain to clients how Paw Partner’s various functions can address their questions, with an eye towards making operations as autonomous as possible.

  • Spot-check the daily journals that the team is sending to clients, ensuring the quality of the notes and attached pictures.

  • Work closely with our Social Media Manager and management team, sharing fun pictures of the dogs, business updates, property events, or other news.


Facilities Management (15%)

  • Maintain the upkeep and general appearance of the facility.

  • Maintain systems for organizing and cataloging belongings that clients bring with their dogs to daycare and boarding (ie. leashes, food, or other supplies)

  • Maintain up to date vaccination records for all daycare, boarding, and grooming clients

  • In coordination with the management team, schedule any necessary maintenance at the facility (ie. electrical, plumbing, painting, HVAC, or other construction work)

  • Track, order and organize supplies, such as cleaning and grooming products, dog treats, company gear.

  • Complete routine inspections of the facility to ensure that procedures in place for cleanliness and maintenance are being followed.
