Job Overview:

Our client, a fast-growing tech firm, is looking for a highly organized and proactive Executive Administrative Assistant to support their senior leadership team in Austin, Texas, US . This is a critical on-site role, ensuring the smooth and efficient operation of executive functions. You will be responsible for managing complex calendars, coordinating domestic and international travel arrangements, and preparing detailed itineraries. A significant part of your role will involve gatekeeping, screening calls and emails, and prioritizing requests to ensure executives can focus on strategic initiatives. You will prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism. Event planning and coordination for internal and external meetings, including board meetings, will also be a key responsibility. This includes arranging logistics, preparing materials, and taking minutes when required. You will manage expense reporting and reconciliation, maintaining meticulous records. Building strong relationships with internal departments and external stakeholders is essential for facilitating seamless communication and workflow. The ideal candidate will possess exceptional communication and interpersonal skills, with a keen eye for detail and a proactive approach to problem-solving. Discretion and confidentiality are paramount in this role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms is required.
