**Overview:**
The Administrative Coordinator is responsible for a collection of responsibilities which must take place. These responsibilities may in fact be shared amongst Administrative Coordinators and each coordinator should be cross trained and conversant on how to effectively complete all required tasks. The Administrative Coordinator is a multi-faceted role that supports the functions of Finance, Payroll, Human Resources, DOT Compliance, Legal, Labor Relations, and other Vestis Corporate departments.
**Responsibilities/Essential Functions:**
+ On site Payroll responsibilities: Support the Payroll Group Processor in the processing of payroll weekly including, but not limited to, the tracking time and attendance, reporting commissions, and other related payroll in accordance with company policy and our on-site collective bargaining agreement(s).
+ Forward and/or post all notices from Central, Regional management and the Group Processor to the market center employees with regard to Company Policy, Payroll, HR and Compliance practices.
+ Review and maintain the time and attendance system.
+ On site HR responsibilities: Implement new administration procedures and forms as directed by the Group Processor, HR management and Finance.
+ Maintain existing employee Personnel files, DOT, OSHA, and other H/R compliant record keeping as directed by Finance or Human Resources.
+ Support New Hire Orientation and compile New Hire packets according to Central Office Guidelines in cooperation with the Group Processor.
+ On site Accounting responsibilities: Review, Support and Maintain the Management Reports including, but not limited to, the Gain & Loss report in Field Management Reporting, monthly inventory, and the monthly API review.
+ Further support the business process around accurate inventory counts, safety and API reviews.
+ Support the weekly input of manual data required for the Key Performance Measures (KPM).
+ On site Office responsibilities: Support the Daily Office functions by ordering supplies through iProcurement, ordering business cards, picking up mail (where applicable), ordering computers for new employees & attending to the Front Desk.
+ On site Functional Responsibilities: Support the Billing Function within the MC by Printing Invoices/ Settlement Sheets/ etc. and Scanning and Sending Billing Related Information to the Billing Hub or Customer Desk.
+ Support Management Reporting within the MC by providing reports to the Management team.
**Knowledge/Skills/Abilities:**
+ Strong oral and written communication skills required.
+ Experience with Excel and Microsoft Suite.
+ Ability to develop and maintain a positive working relationship with others.
+ Detail oriented, ability to multi-task, with strong organizational skills are required.
+ Experience with Oracle Business Suite, a plus.
**Working Environment/Safety Requirements:**
+ No special physical requirements for this position.
+ Position is situated in an office environment.
**Experience:**
+ Work Experience 1-5 yrs., preferred; Microsoft Suite Experience, specifically Excel required.
**Education:**
+ 2 year degree preferred but not required.
**Compensation:** The hourly rate that Vestis reasonably expects to pay for this position ranges from $25.63 to $30.00, depending on circumstances including an applicant's skills and qualifications, certain degrees and certifications, prior job experience, market data, and other relevant factors.

DEFINITION

DISTINGUISHING CHARACTERISTICS
This is the advanced professional class in the Administrative Analyst series. Positions at this level are distinguished from the Administrative Analyst class within the series by the level of responsibility assumed, scope of job impact, degree of autonomy and the complexity of duties assigned. Positions at this level possess a specialized, technical or functional expertise within the area of assignment and perform the most difficult and responsible types of duties assigned to classes within this series. Employees at this level are required to be fully trained in all procedures related to assigned area of responsibility.
SUPERVISION RECEIVED AND EXERCISED
Receives general direction from higher level management staff.
May exercise direct, functional or technical supervision over technical and clerical staff.
Essential Duties and Responsiblities
Essential Functions:
1. Performs a variety of complex administrative, operational and analytical duties in support of an assigned department activities; performs a variety of professional and complex analyses, studies and research projects including those regarding City-wide budget, finance and operating issues.
2. Provides assistance in organizational development in assigned areas; coordinates and participates in organizational studies involving administrative or operational systems, procedures, functions, processes and techniques; identifies issues, collects data, analyzes alternatives and make recommendations.
3. Participates in special projects including research of new programs and services, budget analysis and preparation, and feasibility analyses; prepares and presents reports.
4. Implements new systems, methods and procedures; monitors program progress in meeting goals and objectives; conducts updates with management staff to inform and advise on project progress; makes adjustments as necessary.
5. Participates in budget development and administration for assigned area of responsibility; analyzes proposed capital, personnel, operating, and maintenance expenditures; prepares reports and analyses related to impact of budgetary decisions; prepares multi-year financial forecasts; maintains related computer applications; tracks and monitors budget expenditures.
6. Analyzes Federal, State, and local legislative proposals for impact on assigned operations; prepares analysis and briefings on enacted legislation, judicial interpretations, and regulatory agency directives for department compliance.
7. Coordinates department activities with those of other departments, outside agencies and organizations; serves as the liaison for the assigned department with other departments and outside agencies; negotiates and resolves sensitive and controversial issues.
8. Participates in the development and implementation of goals, objectives, policies and priorities; recommends and implements resulting policies and procedures.

12. Prepares grant applications; implements and monitors grant programs; monitors grant expenditures to ensure compliance with grant contractual obligations; submits quarterly and annual reports.
13. Monitors the efficiency and effectiveness of service delivery methods and procedures; recommends, within departmental policy, appropriate service and staffing levels.
Minimum Qualifications
EXPERIENCE AND TRAINING GUIDELINES Minimum requirements as a condition of hire:

RETIREMENT
The California Public Employees' Pension Reform Act (PEPRA), which took effect in January 2013, changes the way CalPERS retirement and health benefits are applied, and places compensation limits on members. The greatest impact is felt by new CalPERS members.
As defined by the PEPRA, a new member includes:
-A member who joined CalPERS prior to January 1, 2013, who, on or after January 1, 2013, is hired by a different CalPERS employer following a break in service of more than six months.
-A new hire who joined CalPERS for the first time on or after January 1, 2013, and who has no prior membership in another California public retirement system.
-A new hire who joins CalPERS for the first time on or after January 1, 2013, and who was a member of another California public retirement system prior to that date, but who is not subject to reciprocity upon joining CalPERS.
All members who don't fall into the definitions above are considered classic members. Classic members will retain the existing benefit enrollment levels for future service with the same employer.
PERS Retirement Employee Share: 8% (Pre-Tax).
EDUCATIONAL INCENTIVE Mid-Management employees with Masters' degrees will receive a 7.5% pay increase. The increase in pay only applies if the employee has a degree higher than required for the position.
CAFETERIA PLAN The City's Contribution to the Cafeteria Plan to go towards the employee's contributions for health, vision, and dental insurance premiums will be one thousand eight hundred dollars ( 1,800) per month. Employees hired on or after 11/14/2018 shall be provided one thousand eight hundred dollars ( 1,800) per month, but there shall be no cash back to employee for any amount not used. Opt out for new hire employees (on or after 11/14/2018) shall be limited to a 200 per month for not electing City medical insurance.
LIFE INSURANCE provides a 150,000 double indemnity policy for employee plus dependent coverage ( 10,000 for spouse and 5,000 dependent children).
ADMINISTRATIVE LEAVE: 120 hours of administrative leave per fiscal year.
MERIT RAISES may be received in the form of salary increases six times within five years with the attainment of satisfactory work performance.
BILINGUAL PAY is paid to employees who successfully pass the bilingual proficiency examination for Spanish 100 per period.
VACATION is accumulated per pay period. See MOU for additional information.
SICK LEAVE is accumulated at the rate of one day per month with no maximum amount of accumulation.
SPORTS CENTER Employees, employees' spouses, retirees, and retirees' spouses shall be allowed free use of the Rialto Fitness Center during normal operating hours as long as the City has managerial control of the facility. Employees, employees' spouses, retirees, and retirees' spouses shall adhere to the same regulations regarding reservations and the use and care of the facilities as the general public.
DEFERRED COMPENSATION The City shall pay 400 per month toward deferred compensation plan.
LONGEVITY Longevity Pay for City of Rialto service (5-9 years: 3%; 10+ years: 6%).
