**Job Description**
The Administrative Support Worker is responsible for assisting management with administrative tasks including, but not limited to, ordering, data entry, filing, etc. The Administrative Support Worker will be required to work well with customers, visitors, and employees in a professional and cheerful manner. Essential functions and responsibilities of the position may vary by Aramark location based on client requirements and business needs
**Job Responsibilities**
Responsible for performing administrative functions including distributing mail, ordering, and stocking supplies, answering phones, and greeting visitors
Assists unit management with clerical tasks in relation to accounting, payroll, receiving, and/or human resources including filing, data entry, record review and maintenance, etc.
Greets customers, clients, and employees; answers inquiries or directs calls where necessary
Maintain office memos and informative postings
Operate technology, systems, and software such as voicemail systems, copy/scanners, personal computers, and MS Office

**Qualifications**
Prior administrative experience preferred
The ideal candidate will have a solid understanding of Microsoft applications, including but not limited to: Outlook, Word, PowerPoint, and Excel
Demonstrates interpersonal and communication skills, both verbal and written
Demonstrates strong interpersonal skills, accuracy, and attention to detail
Requires frequent performance of repetitive motions with hands and/or arms

Responsibilities include managing calendars, coordinating travel arrangements, preparing presentations and reports, handling correspondence, and acting as a primary point of contact for internal and external stakeholders. A deep understanding of remote collaboration tools and best practices is essential for success in this role. The ideal candidate possesses impeccable organizational skills, exceptional attention to detail, and superior communication abilities, both written and verbal. You should be adept at anticipating needs, problem-solving proactively, and maintaining a calm and composed demeanor under pressure. Responsibilities:
  • Manage complex and dynamic calendars for multiple senior executives, ensuring efficient scheduling and conflict resolution.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and itineraries.
  • Prepare, proofread, and edit correspondence, reports, presentations, and other documents with a high degree of accuracy.
  • Organize and facilitate virtual meetings, including setting up conference calls, managing participant lists, and preparing agendas.
  • Serve as a gatekeeper and primary point of contact for internal and external inquiries directed to the executives.
  • Manage confidential information with the utmost discretion and professionalism.
  • Conduct research and compile information for various projects and reports.
  • Track and process expense reports and invoices in a timely manner.
  • Anticipate the needs of executives and proactively take initiative to address them.
  • Maintain and organize electronic and physical filing systems.
  • Support ad-hoc projects and administrative tasks as required.
  • Ensure seamless communication flow between executives and their teams.
Qualifications:
  • Associate's or Bachelor's degree in Business Administration, Communications, or a related field.
  • Minimum of 5 years of progressive administrative support experience, preferably supporting C-level executives.
  • Proven experience working effectively in a fully remote environment is mandatory.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and advanced knowledge of calendar management and scheduling tools.
  • Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Excellent written and verbal communication skills, with meticulous attention to detail.
  • Experience with virtual meeting platforms (e.g., Zoom, Microsoft Teams, Google Meet) and collaboration tools.
  • Demonstrated ability to handle confidential information with discretion.
  • Proactive problem-solver with a strong sense of initiative and accountability.
  • Ability to work independently and as part of a remote team.
