Summary
This position is responsible for handling Accounting and Administrative duties under the supervision of the Managing Director.
Accounting
- Prepares entries for the company accounts such as the general ledger.
- Enters AR/ cash receipts journal entries on a daily basis.
- Prepares and reviews invoices for customers and vendors and ensures timely payment.
- Maintains the bank accounts by monitoring transactions, balances and outstanding/pending amounts.
- Reconciles bank accounts on a monthly basis.
- Monitors AR aging reports and communicates with account representatives/customers regarding past due balances.
- Processes any debit/credit memos as AR adjustments.
- Reconciles corporate card statement at Month-End closing.
- Performs and processes Month-End and Year-End Close related tasks.
- Deposits checks.
- Posts accounts payable and receivable entries, answers inquiries and follows up.
- Prepares data for financial/accounting statements and reports.
- Reports to Head Office the following on a monthly basis: sales & purchase monthly data, sales ate by salesperson, Quick Books monthly data, A/R data, loan report, statement cash receipts and disbursement.
- Works with Management in setting up corporate budgets and developing financial models.
- Compiles and reviews hours worked, time off, deductions, employee status change etc., processes the payroll on the system and reconciles the payroll data.
- Maintains office supplies and equipment; refills supply and arranges for repairs as necessary.
- Performs general administrative and clerical duties including mailing, scanning, faxing, copying, and typewriting.
- Sends mails and packages; receives, sorts, and distributes daily mails to appropriate personnel.
- Makes appointments, coordinates/meetings, and schedules conference rooms.
- Provides support and assistance with recruitment and hiring processes.
- Files documents in designated folder for each orders/customer.
- Provides assistance to the Managing Director.
- Runs errands for company when necessary.
- Provide support to expatriates: processes payrolls/reimbursements, conducts orientations, coordinates benefits, supports tax returns etc.
- Seeks continuous improvement, more efficient and less expensive ways and means in work processes.
- Performs special projects and other miscellaneous duties as assigned by Management.

* Carefully evaluating the patient information to place the correct HLA orders in CIS.
* Reviewing patient insurance information and contacting referral coordinators for approval as needed.
* Contacting patients with siblings by phone or email to obtain family contact information.
* Contacting siblings who live locally to be registered in CIS.
* Registering the sibling appointment and places blood draw orders in CIS.

Registers the local donor in CIS (City of Hope Clinical Information System), schedule the donor for the appropriate tests,

The Male Success Initiative-Fullerton (MSI-Fullerton) is a California State University-Fullerton (CSUF) department Where Undergraduate Men of Color Achieve the Fullness of Their Potential. The purpose of MSI-Fullerton is to address the underrepresentation of undergraduate men of color in higher education. MSI-Fullerton is open to all CSUF students with an interest in supporting and advancing the potential of undergraduate men of color. Participants in MSI-Fullerton will gain skills and knowledge needed to foster academic success; establish a support network of mentors; increase their graduation and retention rates; and strengthen the sense of community among all CSUF students. We seek an exceptional individual to join our team as the Male Success Initiative Coordinator (Administrative Support Coordinator I). Under the general supervision and direction of the Male Success Initiative Director, the Male Success Initiative (MSI) Coordinator is responsible for the coordination of office functions, administrative support, and budget support. The Male Success Initiative Coordinator will work closely with the Director in preparing forms and monitoring expenditures for the department. Provides general office support, plans and helps coordinate MSI events in collaboration with other MSI professional staff. Processes expense claims, check requests, and purchase requisitions. The Coordinator reviews and evaluates fiscal planning for MSI activities, programming, and events. Supports collaboration with campus and community partners and reserves event venues and places catering orders. Other duties as assigned.
Essential Qualifications
High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.

- Assist in execution of office training program
- Responsible for inputting and managing data bases as directed
**Requirements:**
- Active secret clearance required
- High School Diploma or equivalent
- Two years of administrative experience
- All personnel shall have superior oral and written communication skills, as well as a good command of the English language.
- Working knowledge of general office procedures
- Fluency in English, both oral and written
- Strong typing skills
- Organizational skills
- May be required to lift general office items (20-30lbs)
- Expected in office work five days a week with occasional telework that is dependent on the government's needs.
- U.S. driver's license and be capable of operating government vehicles.
**Preferred:**
- Intermediate to high proficiency in Microsoft applications, particularly Word, Excel and Outlook
- Familiarity with the Defense Travel System and timekeeping management programs a plus.
**Compensation and Benefits:**
HIRING HOURLY RANGE: $21.64-$24.04 (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant internal equity, and alignment with market data).
