The Role

The Role

Principal Responsibilities

Scheduling : Manage the Founders active calendar of professional and personal appointments and tasks. They will perform complex scheduling across international time zones.

Travel & Meeting Coordination : Arrange Founder travel, meeting spaces, agenda, written materials, and assemble documents as needed. Ensure that the Founders are fully briefed and prepared for meetings, events, and trips by providing or obtaining background information as necessary.

Project Management : Track and provide frequent communication regarding tasks to be completed by the Founders and other members of the team.

Email Correspondence : Manage an extremely active inbox in collaboration with the principal Founder, synthesize content, draft or answer correspondence when appropriate, and ensure timely follow up. This position provides day-to-day administrative support to C-Level Executives and their teams.

Responsibilities include:


Interface with clients, advertising agencies, and out of home buying services.
Responsible for all scheduling and calendar updates in Outlook.
Coordinate travel arrangements and process expense reports.
Provide support including correspondence, reports, preparation of graphs/charts, and process invoices.
Create documents and spreadsheets, as needed.
Provide superior customer service, focused on client requests.
Ability to understand and create accurate proposals.
Process advertising contracts and coordinate billing with accounting.
Assist with special projects as needed.
Provide administrative support for various Events.

Required Skills:


AA or BA preferred, but not required.
Superior interpersonal & organizational skills.
Strong written and verbal communication.
Must show initiative and must have ability to work well under pressure & time constraints.
Strong attention to detail.
Extensive Computer Skills (Microsoft Outlook, Word, Excel & PowerPoint).
5+ years proven executive level administrative experience.

Our not-for-profit client is seeking a sharp, proactive Executive Assistant to provide high-level administrative support to the Executive Director. This is a traditional EA role requiring strong time management, organization, and the ability to anticipate needs. The ideal candidate will handle executive scheduling, coordinate board meetings, manage logistics for events, and ensure smooth day-to-day operations. If you're a "doer" who thrives in a fast-paced environment, takes initiative, and doesn't require hand-holding, we want to hear from you!

Key Responsibilities:

  • Manage the Executive Director's calendar, scheduling, and daily administrative tasks .

  • Organize and moderate monthly board meetings (9-10 times per year, remote option available). Responsible for taking and maintaining meeting minutes .

  • Assist with event planning and coordination , including food arrangements and logistics.

  • Ensure smooth relationship management with key stakeholders.

  • Stay proactive by tracking important deadlines, preparing documents, and keeping the Executive Director informed.

  • Maintain confidentiality and handle sensitive information with discretion.
