Posting Summary
Rutgers, The State University of New Jersey, is seeking a System Administrator for the Division of Institutional Planning & Operations (IP&O). The System Administrator reports to the Unit Computing Manager of Information Technology and is responsible for installing, monitoring, securing, and supporting departmental servers and services, including Windows, Linux, and Microsoft SQL servers, Active Directory, as well as computer-aided dispatch (CAD) software Office 365, and business-related applications.

Among the key duties of this position are the following:
  • Diagnosing and resolving operating system problems, supporting critical departmental systems, applications, and cloud solutions, and providing second-level end-user support.
  • The position also monitors the health and security of departmental hosts and networks, managing, maintaining, and troubleshooting a departmental monitoring system and implementing and enforcing supported CIS Critical Security controls.
  • The position develops and maintains Office 365 PowerApps applications with SharePoint and Microsoft SQL database back-end connectors.

Minimum Education and Experience
  • Bachelor's degree or an equivalent combination of education and experience, plus a minimum of two years of experience within system administration such as an Administrator of Windows environments, including Windows Server 2016, Windows Server 2019, Windows Server 2022, and Windows Server 2025.

Equipment Utilized
  • The position must be familiar with various server hardware and configurations, operating systems like Windows Server 2016, 2019, 2022, and 2025, and third-party applications such as Office 365.
  • They should also be adept with cybersecurity tools and monitoring solutions like SolarWinds and Splunk, incident response tools such as Opsgenie, and data classification tools.
  • Additionally, the must manage Microsoft Group Policy, DFSR file shares, helpdesk ticketing systems, remote support tools, and IT asset management databases, ensuring compliance with Rutgers Information Policy 70.1.2 and maintaining accurate network and asset information.

Physical Demands and Work Environment
  • The position maintains critical infrastructure services available 24O7.

Manage and administer the various Equipment Management Systems including Operating Expense accounts within Microsoft AX financial system and the Equipment Administration Tool for NAM Metals. Principal Accountabilities

Manage and support the NAM EAM and CMMS system, including:

  • Accurately maintain Equipment Register within both financial system (AX) and maintenance system (MEX) software applications in accordance with Global Standards.
  • Process Equipment from budget through to disposals within AX and MEX.
  • Administer Objects within AX and ensure symmetry with Project accounts within AX.
  • Administer Equipment within MEX and ensure symmetry with AX.
  • Control users and access levels including quarterly audit reports for Internal Audit team within MEX.
  • Ensure system operation, support Regional Operations issues, liaising with vendor or other departments if necessary, liaising with ANZ and UK counterparts.
  • Audit operations for compliance and accuracy.
  • Build and generate reports within the CMMS to facilitate the effective use of the system by Regional Operations and Maintenance teams.
  • Collaborate with Business Intelligence team to build and generate Power BI reports for Operations Managers, Procurement, Asset Development and Asset Optimisation teams on a timely basis including Equipment Full Life Cycle and individual unit Operating Cost reports.
  • Administer MEX prestart application and devices to collate and monitor machine hours for all equipment.
  • Coordinate monthly reviews with both the Asset Optimisation and Asset Development teams to review the status of both Budget and Asset Under Construction equipment within MEX and update the system accordingly.
  • Drive change projects to further enhance the system.
  • Assist in meeting strategies through data analysis and reporting.
  • Monitor and drive global standardisation of Preventative Maintenance programs and report on exceptions.

Experience Required

Previous financial or maintenance system administration within an accounts payable or engineering office would be advantageous.

Solid understanding of OnBase Enterprise Content management platform, architecture and security Experience supporting OnBase v16 in large & complex organization; Deep understanding of OnBase COLD, DIP, AUTOFILL processes and ability to develop & support such processes Experience & certification with ONBASE Workflow is a plus Deep expertise in system admin functions of OnBase version 16 Working experience with Microsoft SQL & IIS Experience in working with OnBase mobile platforms - at least a good understanding of the framework and mobile deployments.

Strong understanding of security concepts as it relates to Active Directory; mobile platforms security a plus Experience with OnBase modules & clients installations and configurations in various environments Experience with integration of OnBase tools with Microsoft products including Office & Outlook products a plus Ability to troubleshoot production issues under pressure and in a timely manner Ability to analyze and document business and process flows

Job Requirements

At least 8-10 years of prior work experience (3 years or more in the banking sector preferred);

Bachelor's degree or equivalent in computer science or related field; Ability to work with end users, technical staff and management as necessary.

Strong documentation and verbal/written communication skills.

Strong multi-tasking and analytical skills; Needs to work under pressure and meet deadlines.
