Maintenance Technician Supervisor

Job Summary:

The Maintenance Technician Supervisor oversees all maintenance operations for a multifamily apartment community, ensuring that building systems, grounds, and individual units are properly maintained. This hands-on role involves performing maintenance tasks while supervising and leading the maintenance team. The Supervisor is responsible for ensuring timely completion of work orders, prioritizing repairs, coordinating preventative maintenance programs, organizing the maintenance shop, managing inventory and supplies, and controlling costs. Additionally, they ensure that the team operates efficiently and meets all property maintenance standards.

Reports to: Property Management

Supervises: Maintenance Technicians

Work Environment:

This is a full-time position with a rotating schedule for evening and weekend coverage, shared with other team members, to respond to emergency maintenance needs. The Maintenance Technician Supervisor will work both indoors and outdoors, in all weather conditions, and may need to lift heavy equipment or materials. The role also requires being comfortable with heights and working on ladders. Occasional travel between properties may be required.

Key Responsibilities:
  • Supervisory Duties:
    • Lead, train, and supervise the maintenance staff, including maintenance technicians, groundskeepers, and any third-party contractors.
    • Assign daily tasks and work orders to the maintenance team, ensuring that all jobs are completed efficiently and in accordance with company standards.
    • Provide input and constructive feedback to management to assist in preparing performance evaluations, while overseeing the development and training of team members.
    • Monitor maintenance staff schedules to ensure coverage for emergency and routine maintenance requests.
    • Foster a positive team environment that encourages collaboration and accountability.
  • Maintenance Operations:
    • Perform hands-on maintenance tasks alongside the team, including plumbing, electrical, HVAC, carpentry, and general repairs.
    • Troubleshoot and repair equipment, appliances, and systems as needed.
    • Oversee apartment turnovers, including painting, minor repairs, cleaning, and preparation of units for new tenants.
    • Manage work orders, prioritize urgent requests, and ensure timely completion of all service requests.
    • Respond to emergency maintenance calls during and outside of regular working hours when necessary.
  • Preventative Maintenance:
    • Develop and implement a preventative maintenance program to ensure the proper functioning of HVAC, plumbing, electrical, and other key systems.
    • Schedule and perform regular inspections of building systems, common areas, and grounds to identify and resolve potential issues.
    • Maintain records of preventative maintenance activities and ensure that the team adheres to the schedule.
  • Vendor and Contractor Management:
    • Coordinate with vendors and outside contractors for specialized repairs or large maintenance projects, ensuring quality work and compliance with company standards.
    • Monitor contractor performance and ensure work is completed on time and within budget.
    • Maintain relationships with suppliers and manage inventory of maintenance supplies and equipment.
  • Safety and Compliance:
    • Ensure compliance with all local, state, and federal regulations, including safety codes and Fair Housing laws.
    • Implement and enforce safety protocols for the maintenance team, including the proper use of personal protective equipment (PPE) and safe working practices.
    • Maintain safety equipment, such as fire alarms and sprinkler systems, and ensure the property is in compliance with all safety standards.
    • Conduct regular safety meetings with the maintenance team and ensure safety training is up to date.
  • Administrative Duties:
    • Assist in the preparation and management of the maintenance budget, identifying cost-saving opportunities and ensuring efficient use of resources.
    • Maintain accurate records of work orders, preventative maintenance, equipment, and repairs.
    • Ensure proper use of the property management software (e.g., AppFolio) for tracking maintenance activities, time logs, and expenses.
    • Coordinate with the Property Manager on large capital improvement projects and assist with vendor selection and project oversight.

Must be able to pass a criminal background check and fitness for duty test. Must possess a valid Maine driver's license. Five years of experience in commercial boiler operation or related experience preferred. Good to superior references in that field and a HS diploma or GED is required. Additionally, employee should be able to provide solid documentation of hands-on experience in automotive, plumbing, HVAC, or millwright skills. Trade skills at a mid-grade professional level are desirable. Must have ability to adapt to adverse weather conditions and situations. Must be able to participate in on-call duty rotation. Must be able to respond to after-hour call-ins for snow removal operations and/or other emergencies in a timely matter. Must have regular and punctual attendance. Must be able to work independently or as part of a team and adhere to college policies.

Job Duties

  • Perform basic and complex electrical/HVAC maintenance related tasks and know the proper technical requirements and methods needed to complete these tasks.

  • Install and maintain all Heating, Ventilation, and Air Conditioning systems.

  • Locate and correct all HVAC problems.

  • Find, order, or make parts required to fix problems.

  • Change and maintain all air filters in HVAC equipment.

  • Use refrigerant recovery recycling equipment to reclaim refrigerant.

Minimum Qualifications

  • High school diploma or equivalent is required.

  • Trade/Technical school certificate required.

  • 2-4 years previous experience required.

  • Must be able to effectively communicate with other technicians and plant personnel.

  • Must be able to multi-task

  • Per 8-10 hr. shift (stand up to 5 hrs., walk up to 5 hrs.), frequently (bend/stoop/twist, squat, balance), occasionally (crawl/kneel, climb, reach above shoulder level, reach below knee level, work with arm outstretched, work above chest level, torque, push/pull). Frequent lifting and carrying (frequently from 0 to 40 lbs., occasionally from 41 to 50 lbs.). Occasionally team lift or use a hoist or lift truck to lift items from 51 to 100 lbs. Must be able to talk, hear, see, write, have good binocular vision, distinguish colors, do simple and firm grasping and fine manipulation with both hands, use foot to operate foot pedal, work at unprotected heights up to 50 feet. Must be able to work in noisy environments that include exposure to heat, outdoor/indoor temperatures, weld flash, haz-mat conditions, fumes, grease, shavings, dust, solvents, and oil. Must be able to safely operate lift trucks and safely work in areas of lift truck traffic. Must be able to drive a commercial motor vehicle in compliance with DOT guidelines. Required to have visual acuity to perform an activity such as: transcribing; viewing a computer terminal; using measurement devices; and performing mechanical or skilled trade tasks of a non-repetitive nature such as carpenter, technicians, service people, plumbers, painters, mechanics, etc.

Preferred Qualifications

  • Read and understand electric, plumbing, and HVAC prints and diagrams.

  • Knowledge of the proper technical requirements and methods needed to complete basic and complex electrical/HVAC maintenance task. Basic math, basic computer skills (use cloud- based software), reason, remember, analyze, and problem solving.

  • Gather/Analyze information and determine the best course of action.

  • Use independent judgement to devise work methods according to general directives, policies, and existing procedures.
