Job Description
To provide the finest care and services possible to the membership served in the Eye Care Department.
Essential Responsibilities:
+ Determines patients cosmetic needs and price of eyewear according to patients Health plan. Assists member in the selection of the their eyewear to conform to prescription specifications; advises and recommends the various lens style and any options available that will enhance the members desired application for their new eyewear, size considerations, and style applications in accordance with the members personal preference.
+ Inspects and verifies the accuracy of incoming orders from production to assure compliance with national and Kaiser Permanente standards.
+ Delivers completed order to the intended wearer by bending the frame material using specialized tools and equipment. Verifies exact fitting characteristics of the completed order to comply with prescription requirements and member comfort expectations.
+ Assists supervisor in tracking product activity regarding ordering, receiving, usage, and requirements for items for inventory and supplies required for member care and service. Recommends changes in product offerings, inventory levels of products carried, new products, and/or services that the membership is asking about regarding their eyewear.
+ Performs operation of and routine maintenance/repair of precision grinding equipment used to produce in-house eyewear to assure accurate and quality output from laboratory.
+ Monitors and takes corrective action regarding the physical condition of the department by ensuring that frames on display are clean, properly labeled, and properly adjusted; that displays are clean, in good repair, and neat; that mirrors are clean and well lighted, organized, and conductive to smooth patient flow. Performs routine housekeeping functions as necessary to assure compliance to all factors listed.
+ Answers member questions regarding visual health care, the use of eyewear, lens and/or frame products available, low vision aids, and other services available within the department. Addresses questions regarding optometry services and appointment availability within the department. Refers questions outside of department to the appropriate party in the facility or organization as necessary.
+ Assists the optometrist in the instruction of members regarding the care and handling of contact lenses. Provides individual instruction and assistance as directed by the optometrist in the members eye care and eyewear requirements.
+ Performs reception, check-in, cashiering, screening, and notification functions as required for expediting patient care and reducing waiting time for the membership being served.
+ Attains Kaiser Permanente Mid-Atlantic Optical Services sales goals and complies with all cash handling procedures and policies completely.
+ Performs other related duties as assigned.
+ Is available as floater to other locations as needed.
Basic Qualifications:
Experience
+ Minimum two (2) years of experience as a dispensing optician required.
+ Experience in all aspect of dispensing prescription eyewear required.
+ Per the National Agreement, current KP Coalition employees have this experience requirement waived.

Operate Point-of-Sale computer terminal to enter prescription and sales information into the automated processing and information system.
+ Insure that members receive quality ophthalmic products and courteous, professional service. Product quality assurance includes accurate and precise lens fabrication meeting providers and opticians specifications and conforming to ANSI and other applicable regulatory requirements. Service involves resolving issues common in optical practice, including: member concerns, perceived patient vision needs, optical lab fabrication limitations, and patient to provider communication. Maintain relevant documentation.
+ Promote competence and professionalism by maintaining proficiency in contemporary dispensing skills, updating product knowledge through regular participation in continuing education programs and affiliation with professional associations. Project a positive image of Kaiser Permanente Eye Care Services at all times.
+ Responsibly manage and protect and account for all program assets, including: inventory, funds, tools, sundry sales merchandise.

Based on information elicited from patient, independently assess the nature of the situation, determine type of service or appointment needed, and triage accordingly. Schedule appointment if need is urgent or direct call to Appointment Center to schedule routine appointment. Respond to member inquiries and complaints and resolve or forward to the manager.
+ Demonstrate ability to accurately fill patients Contact Lens prescriptions. Order patients lenses from the appropriate outside vendor. Inspect lenses using appropriate instrumentation to verify that prescription and lens parameters are as specified in approved accuracy tables. + Maintain accurate records and reports for the Contact Lens Department. Update all patient clinical records in a neat and accurate manner. Prepare charts for daily appointments. + Prepare, analyze, update, and maintain all daily and month-end business reports and invoices. Check invoices for accuracy and submit to manager for approval and payment. Coordinate ordering of multiple forms and supplies for appropriate clinics.
+ Collaborate and coordinate with Optical Dispensing, Optometry, Membership Services, Ophthalmology, and other Kaiser Permanente departments to deliver optimum patient care. Participate in training of appointment clerks to schedule and screen for contact lens appointments. **Job Responsibilities and Requirements:**
PRIMARY RESPONSIBILITIES
+ Interprets and analyzes current prescription and reviews historical information to ensure changes are consistent and reasonable. Recognizes inconsistencies and irregularities in prescription history. Contacts doctor for discussion if there are questions.
+ Troubleshoots basic and advanced vision complaints related to eyeglasses and at some locations contact lenses.
+ Assists patients with selection of eyewear, determines proper frame and lens selections while also considering prescription implications.
+ Effectively demonstrates features and benefits to reinforce value to the customer while maximizing sales.
+ Takes necessary optical measurements (e.g. pupillary distance (PD), seg heights, custom fit to wear lens measurements) with a high degree of accuracy. Explains the procedures and reasons for them to customer.
+ Accurately and comfortably fits eye wear to customer's satisfaction. Demonstrates proper eyeglass cleaning and storage techniques and suggests products to assist them.
+ Inspects all jobs that come in with a lensometer (manual or automatic) for prescription verification using department and American National Standards Institute (ANSI) standards as guidelines for quality control. Requests corrections as necessary from lab.
+ Responsible for managing on site inventory within directed budgets, including frames, miscellaneous supplies and over the counter accessory items.
+ Assists in dispensing contact lenses at some locations.
+ Maintains a working knowledge of available insurance and safety plans.
+ Works in a constant state of alertness and safe manner.

**Responsibilities:**
Provides comprehensive patient care related to patient evaluation, prescription recommendation, eyewear selection, fitting and purchase, and coordination with other health care professionals.
**ESSENTIAL FUNCTIONS**
+ Fills ophthalmic eyeglass prescriptions specified by MD or OD and makes final adjustments to the eyewear to the satisfaction of the patient. Evaluates prescriptions with consideration of the patients' vocational and recreational visual requirements. Makes recommendations for lenses, including contact lenses, lens coatings, and frames to suit patient needs.
+ Measures patients' bridge and eye size, temple length, vertex distance, papillary distance, and optical centers of eyes using a millimeter rule and light reflex pupillometer. Determines patient's current lens prescription by using a lensometer or lens analyzer and patient's current eyeglasses.
+ Completes all administrative and customer service tasks correctly and on time, including invoicing patients, cash handling, and financial arrangements with patients or responsible third-party to cover charges. Coordinates service support, including inventory, equipment maintenance and repair, requisitioning of supplies, and materials. Recommends expenditures for equipment to management. Initiates expenditures for routine supplies and maintenance at the direction of management. Uses specialized software to maintain customer database and report financial transactions.
+ Assists patients in selecting frames according to style, color, coordinating frames with facial and eye measurements and ophthalmic prescription. Instructs patients in adapting to, wearing and caring for eyeglasses and/or contact lenses.
+ Prepares work orders, which may include instructions for grinding, coating and fabricating eyeglasses. May perform finish lens grinding, and/or communicate the work of processing to lab technicians to fill the work orders to specification. Verifies the finished lenses have been ground and fabricated to specification. Heats, shapes, or bends plastic or metal frames to adjust eyeglasses using hands, pliers or other tools and materials to fit patient. May perform lens finishing work as needed.
+ Maintains retail inventory, including meeting with sales representatives, ordering frames, lenses and other supplies. Creates innovative and pleasing displays of merchandise to entice purchases. Maintains inventory utilizing sales management software. Establishes and maintains relationships with optical labs, finish laboratories and suppliers to purchase inventory, collect equipment/product information or resolve equipment/product problems.
+ Participates in trunk shows throughout the University in conjunction with Marketing and special sale events at selected University locations. Attends Optician vendor shows, exhibitions and trade shows as needed to keep abreast of new ophthalmic retail trends and purchasing supplies.
+ May fit and dispense contact lenses. As a Contact Lens Specialist, duties include pre fit, preparation and evaluation, diagnostic fit and evaluation, lens dispensing, patient education and delivery procedures, follow-up visits with patient/customer, and administrative issues.

**MINIMUM EDUCATION & EXPERIENCE**
+ Associate's degree and 1 year of related experience involving direct patient contact required
