About The Position: Manages and coordinates Information Technology Department activities by performing the following duties personally or through subordinates and supervises several IT technical support staff. The IT Manager carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

DUTIES AND RESPONSIBILITIES:
  • Responsible for the management, coordination, and evaluation of the Information Technology Technician Team. Assigns work, priorities, and project schedules.
  • Designs, specifies, configures, installs, and maintains hardware and software such as PCs, system software, software applications, printers, servers, switches, routers, and cabling.
  • Implements policies and procedures related to network hardware and software acquisition, use, support, security, and backup.
  • Takes after hours on-call helpdesk calls and documents information.
  • Directs IT projects, assigns tasks, and monitors and reports on progress.
  • Creates and maintains weekly/monthly yearly reports on the work of the department through the Help Desk System.
  • Establishes and maintains network users, user environment, directories, and security.
  • Trains users in software and equipment usage.
  • Responds to the needs and questions of network users concerning their access to resources on the network and the operation of various software programs.
  • Develops and communicates standards for use, operations, and security of network, personal computers, and data.
  • Communicates with other departments to report and resolve software, hardware, and operations problems.
  • Consults with department leadership to develop system solutions consistent with organizational objectives.
  • Coordinates activities of hardware, software, telecommunications, support, and training vendors.
  • Installs and tests software and software upgrades.
  • Implements backup and disaster recovery procedures.
  • Other duties assigned by supervisor.
MINIMUM QUALIFICATIONS:
  • Requires four-year college or university program certificate; or two to four years related experience and/or training; or equivalent combination of education and experience.
  • Knowledge of Enterprise Software Systems for Accounting; Database; Web Design; Development; Human Resources; Inventory Management and Order processing; Payroll; Project Management; Full Microsoft Office Suite; Track-It, etc.
  • Knowledge of operating principles, methods and limitations of personal computer equipment, software, and computer networking.
  • Knowledge of computer hardware and techniques of computer operation and maintenance and repair. Ability to run diagnostic software and determine the most cost-effective alternative.
  • Problem solving skills in the various aspects of information systems.
  • Knowledge of Microsoft Windows desktop and Server Operating Systems. Knowledge of Microsoft Active Directory and Microsoft Windows PowerShell preferred.
  • Requires California Driver's License.
  • Requires minimum A+ Certification.
  • Must be willing to work flexible hours. Some evenings and nights are occasionally required.

Position Summary:

As a member of the Firms Operations Management Team, the IT Manager will direct and oversee the firms technology infrastructure, innovation initiatives, and strategy implementation, with a strong focus on upgrading practice technologies, integrating artificial intelligence tools to enhance legal operations, client service, and internal efficiencies. This role requires a blend of technical expertise, strategic thinking, and a deep understanding of the legal industrys unique needs.

This is a full-time, exempt role with a hybrid work model (3 days in office, 2 days remote), based in the Chicago office. The role will include some travel to other NFTMS offices, including Dallas, Denver, Los Angeles, San Diego, and San Francisco.

Key Initiatives:

  • Collaborate on the development and implementation of an IT & AI Strategy and 3-year Road Map aligned with the Firms business Strategy and Strategic Plans.
  • Work with newly formed IT & AI Committee to shape oversight and governance of IT & AI environment.
  • Oversee an outsourced managed services IT and cybersecurity programincluding ongoing management of managed services vendor(s)/contractor(s).

Key Responsibilities :

  • Oversee the firms IT infrastructure, including networks, servers, cybersecurity, and cloud services.
  • Develop and implement the firms technology roadmap aligned with business goals.
  • Manage vendor relationships and negotiate technology contracts and service agreements.
  • Identify, evaluate, and implement AI tools for legal research, document review, contract analysis, and client service.
  • Collaborate with attorneys and practice groups to pilot and scale AI solutions.
  • Stay current on legal tech trends and assess their applicability to the firm.
  • Oversee outsourced managed services IT and cybersecurity program.
  • Ensure timely and effective support for all technology-related issues.
  • Develop training programs to improve tech adoption and digital literacy across the firm.

Compliance & Risk Management

  • Ensure compliance with data privacy laws, cybersecurity standards, and client confidentiality requirements.
  • Ensure regular risk assessments to ensure compliance with cybersecurity policies and protocols.
  • Support client cybersecurity audit requests and questionnaires.

Other Responsibilities

  • Vendor Management Managed services provider(s) must be held accountable through structured planning, execution, and performance oversight.
  • Technology Translation Attorneys & staff need an internal advocate who can bridge the gap between technical details and business needs.
  • Proactive Improvement An internal IT lead who can anticipate needs, propose solutions, and oversee implementation across areas like document management, AI adoption, and practice automation.
  • Delivery of Strategic Projects For all major IT or AI initiatives, manage timelines, budgets, change & project management.

Qualifications:

Education & Experience

  • Bachelors degree in Information Technology, Computer Science, or related field.
  • 5+ years of IT management experience, preferably in a legal or professional services environment.
  • Experience working with generative AI or machine learning tools in a business setting.

Technical Skills

  • Proficiency in legal tech platforms (e.g., NetDocuments or iManage, Exterro or other e-discovery platforms, LexisNexis, Westlaw).
  • Familiarity with AI tools such as Microsoft Copilot, Harvey, Casetext, or similar.
  • Strong knowledge of cybersecurity, cloud computing, and enterprise software.

SUMMARY

The IT Manager - Microsoft Dynamics 365 CRM is responsible for leading Subaru's enterprise CRM platform team, ensuring effective delivery of solutions that support and expand our Customer Advocacy Department (CAD) and other business areas. This leader will manage a team of approximately 10 professionals with diverse skills in functional analysis, technical development, and project delivery. While the core platform rollout is complete, the team is now focused on expanding the Dynamics 365 footprint to Service & Quality, Connected Vehicle Telematics, and additional departments.

This role requires a balance of business relationship management, technical acumen, and people leadership to drive platform adoption, oversee enhancements, and ensure that CRM solutions deliver measurable business value.

MAJOR RESPONSIBILITIES
  • Functional Strategy & Roadmap
    Partner with CAD, Service & Quality, and other stakeholders to develop and evolve Subaru's CRM strategy and roadmap, ensuring alignment with corporate objectives and industry best practices.
  • End-to-End CRM Delivery
    Oversee the design, configuration, integration, and support of Microsoft Dynamics 365 CRM solutions, ensuring scalability, security, and usability. Managing, enhancing, and supporting the functionality and efficiency of the system.
  • Team Leadership & Development
    Lead, coach, and mentor a team of IT professionals, fostering an inclusive and collaborative culture, developing skills, and ensuring effective execution of platform initiatives.
  • Business Partnership
    Serve as a trusted advisor to business partners, ensuring CRM solutions meet evolving customer engagement needs and deliver tangible outcomes. Developing complex ideas and solutions and making recommendations for the projects to support Subaru's corporate goals. Developing and implementing recommendations to senior management team to increase operational effectiveness and customer satisfaction.
  • Project & Portfolio Management
    Manage CRM-related projects, prioritization, resource allocation, risk mitigation, and reporting. Ensure timely delivery of business initiatives within scope and budget. Budgeting and planning for future projects and resources.
  • Vendor & Partner Management
    Manage relationships with Microsoft and other CRM ecosystem vendors to ensure contract compliance, maximize value, and stay current with emerging features and capabilities.
  • Governance & Compliance
    Ensure CRM platform compliance with data protection, privacy regulations, cybersecurity standards, and internal Subaru IT policies. Maintaining SOX compliance, including managing the relationship with Internal Audit.
REQUIRED SKILLS & PERSONAL QUALIFICATIONS
  • Demonstrated success leading technical and functional teams in CRM, customer engagement, or enterprise application environments.
  • Preferred: Strong knowledge of Dynamics 365 CRM architecture, configuration, security model, integrations, and reporting capabilities (Power BI, Power Platform).
  • Experience with customer service and case management modules; exposure to Connected Vehicle or telematics systems a plus
  • Proven ability to translate business requirements into technical solutions and manage delivery from concept to adoption.
  • Excellent people leadership skills, including coaching, delegation, and team development. Evidence of proven leadership within a diverse, equitable, and inclusive environment.

EDUCATION & EXPERIENCE REQUIREMENTS: Bachelor's degree and 8-10 years of progressive IT experience, with at least 3-5 years of IT management (Microsoft Dynamics 365 preferred). Relevant experience accepted in lieu of degree.

WORK ENVIORNMENT
  • Hybrid Role: Hybrid Role - Remote work 2 days per week (after 90 days) (Wednesdays & Fridays)

COMPENSATION: The recruiting base salary range for this full-time position is $114800 - $6000 / year. Within the range, individual pay is determined by factors, including job-related skills, experience, and relevant education or training. Additionally, this role is bonus-eligible , with a target bonus percentage that provides an opportunity to earn even more based on your performance. (Internal Job Grade: M2)

The Information Technology Manager role is responsible for the overall planning, organization and execution of all IT related functions. This includes but is not limited to directing all IT operations to meet customer requirements as well as the support and maintenance of existing applications and development of new technical solutions. Ensures the smooth functioning of all computer and network systems that enhance service and value for hotel guests and associates while strengthening productivity and profitability of for Omni Hotel & Resorts.

In addition, is responsible for the effective provisioning, installation/configuration, operation, and maintenance of systems hardware and software and related infrastructure. This individual participates in technical research and development to enable continuing innovation within the infrastructure. This individual ensures that system hardware, operating systems, software systems, and related procedures adhere to organizational values, enabling associates and vendors.

This hands-on oriented leadership role requires a deep level of information technology / infrastructure, application development, security and compliance knowledge.

Location: Frisco, TX (on-site)

Responsibilities

• Provides technical support on all computer systems in the hotel. Installs computer hardware and software, maintaining the latest version of service packs. Ensures proper operation of IT equipment while troubleshooting hardware or software issues. • Ensure that IT systems and controls are in place to comply with corporate policy and procedures in maintaining compliance with PCI standards, backup policies and other Corporate IT standards; performs audits, system maintenance and security reviews. • Remains abreast of changes in user, system software and hardware requirements. • Where applicable, leads and engages local IT team toward success. • Troubleshoot network and system problems; Perform diagnosis on system problems, recommend and implement solutions or draw upon other resources and/or vendors to resolve. • Train users on proper way to use and maintain the system, which may include conducting training and retraining sessions with hotel associates. • Coordinate installation of new systems and equipment and assist in any corporate programs or initiatives, which may include beta testing. • Provide onsite assistance with company issued phones and be liaison between Telecom Providers ensuring all phones are issued per company policy. • Troubleshoot basic telecommunications issues throughout the hotel, including guest rooms and assist with telephone moves, add and changes. • Complete work assigned by the Omni Hotels & Resorts Service Desk in a timely manner; prioritize and escalate issues as needed. • Install new / rebuild existing servers and configure hardware, peripherals, services, settings, directories, storage, etc. in accordance with standards and project/operational requirements. • Research and recommend innovative, and where possible automated approaches for system administration tasks. Identify approaches that leverage our resources and provide economies of scale. • Provides hands-on support, as well as coaching and mentoring, to the IT team members • Serves as advisor to executive leadership on information security risks, IT compliance issues, and industry trends that will require prioritization, funding, and/or implementation support. • Partners with Infrastructure and Operations teams to drive adoption and implementation of information security policies, procedures, standards, and incident handling processes. • Provides clear direction to achieve goals, creating an environment that fosters team commitment and employee engagement. • Hires, recruits and retains superior IT talent that is required to enable and drive future growth • Demonstrates exceptional written and oral communication skills and is capable of communicating to all levels and areas of the organization.

Principal Duties • Oversees and conducts the periodic integrated risk assessments across the property and provides reporting to the Omni Service Center leadership team as needed • Provides subject matter expertise for common IT compliance areas • Works with stakeholders to monitor regulatory changes that impact IT and leads the property communications, implementation and monitoring of these requirements • Complete work assigned by the Omni Hotels & Resorts Service Desk in a timely manner; prioritize and escalate issues as needed. • Oversees periodic IT compliance assessments of key compliance risk areas • Delivers and continuously improves the Information Security – providing guidance and oversight to the functional / business teams, and leading the reporting and mitigation of any findings • Acts as primary security contact and liaison with all business leaders in matters relating to information security • Acts as a local escalation contact for security risks, issues, and developments • Attains a clear understanding of the business data lifecycle, initiatives and proactively advises management and appropriate personnel about potential risks that may have a material impact on the business, bottom line and/or operating performance • Communicates in business terms that can be clearly understood at all levels of the organization • Communicates, oversees and carries out technical implementations of technology solutions required to meet business objectives • Provides advice and counsel to the business executives regarding key initiatives that could be impacted by compliance or security issues

Qualifications

Minimum Requirements • 4+ years Information Technology experience including 2+ years managerial experience • Bachelor of Science Degree in related technology field or equivalent

Critical Skills • Deep and best-in-class understanding of foundational IT networking, operating systems, application development and specific experience with implementing security technologies. • Experience leading and driving large, complex IT Security and Compliance functions in a hospitality and/or retail organization • Strong Project and Time Management skills • Ability to handle multiple tasks, prioritize and meet deadlines • Strong interpersonal and influencing skills. • Interviewing and investigative skills

Working Relationships • Will interact with all employees of Omni Hotels & Resorts on a regular basis, including IT and other cross-functional team-members at the Corporate Offices and property locations. Will also interact with members of the Senior and Executive Leadership teams.

Expectations • Responsibilities will require being on call and at times working off hours based on critical system outages, upgrades, etc. • Ability to travel up to 25% of the time within the region
