Scope of Work

The IRC is recognized by the U.S. Department of Justice to provide immigration legal services. Some of our services include filing applications for adjustment of status (i.e. green cards), naturalization, and family reunification for refugees, asylees and immigrants. Interns will gain experience working at an internationally recognized non-profit organization and a first-hand look at the basics of immigration processes and procedures.

  • Gain exposure to the challenges and opportunities for providing nonprofit immigration legal services.

  • Learn basic policies and procedures of the United States Citizenship and Immigration Services (USCIS) and Department of Homeland Security (DHS).

  • Learn practical methods to fill out USCIS immigration forms, to organize and provide supporting documents, and to help clients write financial affidavits for fee waivers, affidavits of birth, and affidavits in response to USCIS requests for additional evidence. Practice and apply basic interviewing techniques to conduct client intake forms, including methods to develop trust with clients, ensure complete disclosure, and identify red flags while gathering information.

Responsibilities

  • Under the guidance of IRC immigration staff, meet with clients to assist with specific applications and forms.

  • Track, file and mail relevant documents, applications and notices of action; maintain immigration databases.

  • Ensure that translation services for immigration processes and procedures are provided in a language that is accessible to clients during intakes and application completions.

  • Assist with special research or other projects.

  • Other tasks and related duties as assigned.

Position Details

• IN-PERSON: Fall 2025 internships will be in-person or remote. This includes a combination of standard office environment, remote work, and field time within the greater Baltimore area.

• DATES:Internships start with a required in-person orientation on Wednesday, October 9th, 2025 (approx. 9:30 AM – 3 PM) at the IRC Baltimore office. Regular weekly hours start the week of October 13th, 2025, and will continue through January 23rd, 2025 (15 total weeks).

• HOURS:Internships require a minimum of 15 hours per week for 15 weeks. Interns should be able to come to the office at least 1 day per week.

• LAPTOP:Interns will be issued an IRC laptop for the duration of the internship to perform both remote and in-office responsibilities.

• REIMBURSEMENT:Internships with the IRC in Baltimore are unpaid. University credit may be arranged. Fall 2025 interns are eligible for per diem reimbursement at the rate of $15 per day (defined as 7.5 hours) to offset the costs of food and travel of the internship. Interns may also be reimbursed for mileage driven for any approved activities (based on round-trip mileage from the IRC office).

ROLE & RESPONSIBILITIES:

    • Facilitate in-person and telephone intake of new and existing clients
    • Schedule client appointments and administer reminder texts and phone calls
    • Answer and screen all incoming phone calls for the DuPage office and direct appropriately
    • Collect payment from ILS clients and issue receipts and invoices
    • Prepare weekly income reports and send those to the ILS finance person
    • Manage/direct outgoing and incoming mail for ILS staff
    • Assist with prompt filing and data entry of all correspondence from the government and communicate pertinent information to the appropriate client and/or ILS Legal Representative
    • Provide additional administrative support to ILS Legal Representatives as needed
    • Maintain adequate office supplies for the department and coordinate orders when necessary
    • Manage the closed ILS case files by coordinating the scanning and uploading to ILS case database
    • Spanish/English document translation as needed

    The immigration paralegal will prepare and file USCIS filings and draft supporting legal letters for all types of visa petitions and applications.

    THIS IS NOT A REMOTE POSITION.

    Essential Functions:

    • Assisting and support immigration attorneys in the preparation and filing of immigration applications and petitions. This will include nonimmigrant visa petitions (e.g., E-1/E-2/E-3, H-1B, O-1, R-1, TN), I-140 immigrant visa petitions, naturalization applications, Adjustment of Status Applications, and/or PERM applications;
    • Communicating with client HR and legal representatives on case preparation and status;
    • Liaising with relevant government agencies including USCIS, CBP, US Department of State, and US Department of Labor;
    • Analyze, review and organize documents and data from materials produced;
    • Prepare/coordinate document production and responses to requests for evidence;
    • Assist attorney with gathering evidence, preparing supporting documents, preparing evidence and exhibits, and complying with procedural requirements and filing deadlines;
    • Analyze and review case details to determine future actions;
    • Demonstrate strategic thinking and initiative with regard to case assignments and identify and resolve delays in process;
    • Enter time records;
    • Create new files and update client matter reports;
    • Address client case status inquiries, including processing remaining steps in filing, processing times, and consular appointment issues; and
    • Conduct ongoing and regular case tracking and management using Firm systems and procedures.
    Qualifications/Skills Required:
    • Ability to manage client relationships for high-volume clients and complex projects under short deadlines;
    • Strong attention to detail;
    • Proficiency with various technology platforms, including Microsoft Office and Immigration Case Management Software;
    • Communicate effectively in oral and written English;
    • Strong organizational and project management skills;
    • Initiative, team orientation and professionalism;
    • Ability to work independently, multi-task, and prioritize assignments in a fast-paced environment;
    • Exceptional writing skills;
    • Flexibility to work overtime as necessary;
    • Educational Requirements: Associate's Degree, Bachelor's Degree a plus;
    • Paralegal Certificate a plus;
    • 3-5 years of business immigration experience required.

    For New York, the expected salary range for this position is between $33.00 and $40.00. The actual compensation will be determined based on experience and other factors permitted by law.
