Job Summary
Must be self-directed with a high level of accountability and minimal supervision. Primary role is adjusting and maintaining staff work schedules. Included in this role: utilizes each department staffing policy for decision making in scheduling appropriate levels of patient/resident care providers; utilize requests to determine scheduling for staff; negotiates staffing needs with leaders and/or directors; anticipates immediate and future staffing needs and works to resolve these staffing problems (i.e. broadcast to staff, utilizes, PRN staff, or reallocates existing staff). Will be expected to track, document, and report staffing data to directors for analysis. Must have strong communication and negotiation skills to work with employees, leads, and department directors. Must be well organized, have high degree of self-motivation and independence and be flexible when needed to adjust schedules. Must use computer applications for email, scheduling, excel, and payroll. Must be able to work with multiple interruptions, under stress, and with large interactive groups all wanting scheduling requests.
Qualifications
Post secondary education or equivalent training in a health care or business related field is required. Associates degree preferred.
Previous experience working with people or staffing issues desirable.

- Acquire pencil schedules and enter them into Kronos according to the established publish date and production timeline.
- Enter schedules in Kronos, ensuring all edits are accurately reflected and the information is current.
- Maintain core staffing levels and verify schedule-to-assignment confirmations with units.
- Communicate effectively with WMC nursing leadership and operations regarding scheduling updates and changes.
- Check-in arriving employees, confirm assignments, or reassign as necessary.
- Identify schedule gaps and late arrivals, handling call-offs and conflicts by seeking immediate replacements.
- Review staffing reports for the next day and take corrective actions to address gaps.
- Provide staffing data and reports to leadership and operations.
- Identify staffing deficiencies by position, assignment, and shift, and contact suitable employees to fill shifts, following WMC protocols.
- Manually enter all shifts accurately and correctly.
- Complete necessary pay forms and submit them to payroll.
- Validate schedules and submit for final review and publication.
- Assist in processing Requests for Time Off (RTO).
- Perform other duties as assigned.
Qualifications/Requirements:
- Experience: At least 2 years of experience, preferably in a hospital or related industry.
- Education: High School Diploma required; BS or BA preferred, or equivalent combination of education and experience.
