We are currently seeking a detail-oriented and organized individual to join our team as an Invoice Clerk. The primary responsibility of this role is to accurately process invoices, verify billing information, and ensure timely payments. The ideal candidate will have strong numerical skills, attention to detail, and the ability to work efficiently in a fast-paced environment.


Key Responsibilities:

  • Invoice Processing: Receive, review, and process invoices from vendors and suppliers accurately and efficiently.
  • Verification: Verify billing and shipping information, quantities, and prices on invoices to ensure accuracy.
  • Data Entry: Enter invoice data into the accounting system or database accurately and in a timely manner.
  • Coding: Assign appropriate account codes and cost centers to invoices for tracking and reporting purposes.
  • Vendor Communication: Communicate with vendors regarding invoice discrepancies, missing documentation, and payment inquiries.
  • Reconciliation: Reconcile invoices with purchase orders, receiving reports, and other supporting documents to ensure accuracy and resolve discrepancies.
  • Payment Processing: Prepare and process payments to vendors, including checks, electronic transfers, and wire payments, in accordance with payment terms and company policies.
  • Record Keeping: Maintain organized and up-to-date records of invoices, payments, and related documentation.
  • Reporting: Generate reports on accounts payable activities, aging balances, and payment status as needed.

Requirements :

  • Attention to Detail: Strong attention to detail and accuracy in invoice processing and data entry.
  • Numerical Skills: Excellent numerical aptitude and ability to perform basic calculations.
  • Organizational Skills: Excellent organizational and time management skills to manage invoice processing efficiently.
  • Tech Proficiency: Proficient in using accounting software and office productivity tools, such as spreadsheets and word processing software.
  • Communication Skills: Effective written and verbal communication skills, particularly in vendor interactions.

A Brief Overview

What you will do
  • Assesses the physical, psychological, and social needs of the patient, and improves the care experience for the patient and their family.
  • Creates a seamless flow through the health system to facilitate the patient’s care.
  • Develops and coordinates education, resources, and activities that provide understanding and support for patients, families, and the community.
  • Creates and maintains reliable systems to document, track and monitor patient data.

Education/Formal Training Requirements
  • Associate's Degree Nursing- RN
  • Bachelor's Degree Nursing- RN

Work Experience Requirements
  • 1-3 years Nursing in medical, surgical, oncology, breast health and/or clinical
  • Outpatient nursing

Licenses and Certifications Requirements
  • Oncology Nurse Navigator-Certified Generalist (ONN-CG) Academy of Oncology Nurse and Patient Navigators
  • Certified Breast Health Clinical Navigator National Consortium of Breast Centers
  • Registered Nurse Tennessee - Tennessee Board of Nursing
  • Registered Nurse Mississippi - Mississippi Board of Nursing
  • Registered Nurse Arkansas - Arkansas State Board of Nursing

Knowledge, Skills and Abilities
  • Knowledgeable of system’s health resources in order to navigate the patient to appropriate care.
  • Must have excellent verbal and written communication skills, a desire to problem solve, and strong conflict resolution abilities.
  • Strong computer skills. Scheduling experience a plus.
  • Must be a role model in customer service and patient care.
  • Displays sensitivity and compassion.

  • There are no supervisory roles assigned to this position.

    • Monday: 8:00 AM – 5:00 PM
    • Tuesday: 9:00 AM – 6:00 PM

Minimum Qualifications  

  • Current dental hygienist license in TN and an Associate’s or Bachelor’s degree in dental hygiene (where required)
  • Excellent working knowledge of dentistry, dental hygiene procedures, dental patient screening and medical history documentation
  • CPR Certification

Preferred Experience

  • Experience using Velscope, Diagnodent, digital scanner, digital x-rays and electronic medical record systems
  • Desire to continue learning and grow clinical skills to meet needs of patients and provide preventative care and overall maintenance of patients’ dental health
  • Clinical needs as required by office

Physical Requirements

  • Ability to perform essential duties as deemed necessary by the Office/ Doctor/ Heartland Dental with or without reasonable accommodation. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties of the position
  • Prolonged periods sitting and standing
  • Must be able to lift and carry up to 45 pounds at times
  • Availability to attend virtual training sessions (or in-person) periodically throughout the year

This is a standard requirement for dental office roles and must be completed prior to starting employment.
