POSITION OVERVIEW

The Export Coordinator is responsible for supporting the Export Team functions. The primary purpose is to coordinate assigned activities that occur within daily export operations including any document preparation and traffic coordination required, and to correctly process export shipments in a cost-efficient manner within Company standards.

DUTIES AND RESPONSIBILITIES

  • Responsible for creating quotes for ocean export shipments with steam ship lines and direct container trucking.
  • Make bookings with steam ship lines and coordinate trucking for container pick up and loading.
  • Enter Master SLI and create HBL and customer invoices.
  • Responsible to pre-alert each shipment to destination agents and provide ADM with final HBLs and invoices.
  • Enter all AP invoices and keep track of ADM's rates while updating Fracht Rate Sheet.
  • Provide detailed vessel updates including updates to truckers.
  • Responsible for bookings including creating physical files for each booking and follow through.
  • Coordinate, schedule, and dispatch truckers for all booking.
  • Responsible for negotiating rates as needed.
  • Create files, arrange for pickup, and obtain shipment documentation necessary for domestic/international transportation.
  • Follow appropriate work instructions or checklist to create consistency and minimize errors.
  • Enter shipment and booking details into CargoWise timely and accurately, submit all required documentation from the system (i.e. Master, AES, EDI, Booking confirmations, etc.)
  • Respond to complaints, demonstrate effort to seek help from upper management when needed; respond to customer emails request for shipment status and proof of delivery.
  • Use approved external providers as necessary to arrange transportation of goods. Quickly resolve any miscommunication and disputes to ensure safe on-time deliveries
  • Responsible for tracking and tracing customer accounts.
  • Responsible for all billing accounts and ensure accuracy.
  • Dispatch all shipments and ensure final delivery is made.
  • Responsible for tracking customer shipments and providing updates.
  • Communicates daily with customers in a timely manner via phone and email.
  • Responsible for problem resolution and conflicts for customers and vendors.
  • Performs other related duties as assigned by management.
EDUCATION AND/OR WORK EXPERIENCE REQUIRED
  • Successful completion of high school, or equivalent, plus additional job-related coursework or specialized training.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Products and Cargo Wise software(s) programs or similar.
  • Minimum 1-2 years of experience in Ocean Export.
  • Strong organizational skills with the ability to multitask and prioritize
PHYSICAL REQUIREMENTS
  • Safely and successfully performs the essential job functions consistent with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.

**The responsibilities of the position include, but are not limited to, the following:**
+ Prioritize all ocean and air shipments from US sites; first line of decision making

JOB SUMMARY: Under close supervision, select, execute, and track to completion the best (lowest cost meeting schedule requirements) transportation method from approved suppliers for the GSA Export shipments for our client and in collaboration with our strategic MLC collaborator. This role exists to select, execute, and track to completion the best (lowest cost meeting schedule requirements) transportation method from approved suppliers for the GSA Export shipments for our client and in collaboration with our strategic MLC collaborator. This position responds to transportation requests within required response times, uses CargoWise and government specified booking systems for transportation scheduling, and monitors, documents, and reports shipment status. This position supports performance measurement activities. This position invoices completed shipments each week using CargoWise. The Booking Agent works with the shippers to ensure that all the necessary documentation for hazardous or dangerous goods transportation is provided in advance of shipments arriving on site. The Booking Agent determines if a Transportation Control Number (TCN) exists for a shipment, and if not, creates the TCN for the shipment. The Booking Agent monitors the booking queue and prioritizes bookings on a first in, first booked basis unless otherwise requested by the client in writing. Booking requests may come from the government agency, vendors, or the MLC collaborators warehouse staff.

The following duties are intended to provide a representative summary of the major duties and responsibilities and ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

REPRESENTATIVE DUTIES

  • Must produce a minimum of 100 shipments per day. Each shipment takes approximately 2 minutes to complete.
  • Monitors the booking request queue
  • Determines if TCN is assigned to a shipment, and assigns TCN if needed
  • Registers requested shipments in company’s supply chain software (CargoWise)
  • Routes, estimates cost, implements transportation orders, and tracks shipments
  • Updates in-process shipment status in company’s supply chain software twice per day
  • Obtains and archives proof of delivery records
  • Proactively communicates and reports shipment status
  • Prepares customer invoices for shipments in company’s supply chain software
  • Validates transportation vendor invoices for services provided and costs
  • Calls Client’s vendors to confirm ship ready dates
  • Maintains positive Client and MLC relationships
  • Answers phones and fields questions, as needed
  • Working as a team to ensure all members have the same knowledge of hazardous training, and shipment booking skills.
  • Other duties as assigned

KNOWLEDGE and SKILLS

  • Experience in dangerous goods and HAZMAT regulations for shipping, storing, and handing is preferred
  • Expertise in CargoWise is essential
  • Experience in UPS Click and Ship, Electronic Transportation Acquisition (ETA), the Freight Acquisition Shipping Tool (FAST), US TRANSCOM’s Next Generation Delivery Service contracts, FACTS system to prepare/receive the Transportation and Control Movement Document (TCMD) and Military Shipping Label, and TRANSCOM’s Integrated Booking System (IBS).
  • Knowledge of a variety of computer software applications, especially CargoWise, Excel, Word, Outlook, PowerPoint and Access software and relevant software applications.
  • Skill in assessing and prioritizing multiple tasks, projects and demands.
  • Skill in being attentive, observant and detail oriented
  • Skill in organization, communication (both written and verbal), and interpersonal skills required.
  • Skill in establishing and maintaining cooperative working relationships others.
  • Skill in oral and written communication.
  • Skill in organization and time management.
  • Must be able to demonstrate a consistent capability of working cooperatively with others in a team environment.

MINIMUM EDUCATION QUALIFICATION

A high school diploma or GED equivalent preferred.

ADDITIONAL REQUIREMENTS

May be required to possess a drivers license with a clean driving record. Must be able to pass pre-employment requirements including criminal background check and drug screen.
