Job Description
The Human Resources Representative will support various HR operations, ensuring smooth execution of HR processes work closely with the HR Manager to manage on boarding/off boarding, retention, employee relations, recognition and other key HR functions. Support and assists with complex and specialized administrative duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintain accurate and up-to-date employee records, including personal details, job history, payroll deductions, terminations, and other employee changes into the HRIS. Ensure compliance with data privacy regulations and safeguard employee data.
- Stay up-to-date on labor laws, regulations, and best practices to ensure the organization's compliance with federal, state, and local employment laws. Assist in audits and prepare necessary documentation that are needed.
- Assist with processing badge applications for new employees, renewals for current employees, and termination of badge access for exiting employees in compliance with airport requirements.
- Reviews payroll to ensure accuracy of deduction amounts, changes in pay or deductions, etc. prior to submittal, Facilitate the onboarding process for new employees, ensuring all necessary documentation including confirmation of required background checks, scheduling fingerprint appointments, completion of required forms and I-9 verification.
- Schedules, organizes materials, and conducts new hire orientation. completed and new hires are properly oriented. Manage the offboarding process including necessary paperwork, handling of administrative tasks, maintaining positive relationships, and complying with company policies and legal regulations.
- Respond to employee inquiries regarding HR policies, payroll and other HR-related topics. Manage/Coordinate employee relations issues, promoting a positive work environment and offering conflict resolution support when needed.
- Prepare HR-related reports, including headcount, turnover rates, and other relevant metrics. Analyze HR data to identify trends, make recommendations, and support HR strategies.
- Support HR initiatives and administrative tasks, including maintaining HR documentation, employee recognition programs.
- Conducts and/or oversees exit interviews including all non-supervisory staff and first line supervisors.
- Assist with internal investigations, resolves complaints, and recommends employment actions when applicable in accordance with the company policy and/or applicable law. Direct complex issues to the HR Manager or other designated senior management.
- Maintains the integrity and confidentiality of human resource files and records.
- Conducts or assists with HR Audit which may include I-9 audits, and other compliance reviews.
- Remains current in knowledge and understanding of national and local laws/regulations affecting assigned areas. Identifies trends that could impact organizational objectives and/or operational resources.
- Completes/responds to employment verifications, unemployment claims, and related inquiries.
- Performs other duties as assigned.
- Collaborates with HR team to develop and/or modify policies and processes to improve the effectiveness of HR operations.
- Coordinates and plans employee, manager, and department events.
- Adheres to applicable regulatory requirements, organizational policies and procedures, and departmental guidelines
The qualifications listed below are representative of those required to successfully perform the essential duties and responsibilities of this position.
Education and Experience:
Bachelor's degree in a related field from an accredited college or university and a minimum of three years of progressively responsible experience in the field; or, an equivalent combination of education, training and experience.
3-5 years of experience in HR operations or a similar role in retail, hospitality or food and beverage.
Knowledge, Skills and Abilities:
- Demonstrated knowledge and understanding employment laws and regulations.
- Knowledge of best practices as it pertains to hiring and other HR best practices.
- Advanced verbal and written communication skills; ability to effectively communicate with employees, customers, vendors and/or others as required.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Must maintain confidentiality and secure confidential documents and records.
- Must be proficient with programs such as Microsoft Office Suite, UltiPro/UKG/Pro, ADP, HRIS software; ability to prepare letters, spreadsheets, presentations, build and run queries, and/or other documents/reports as required.
- Must maintain a high degree of accuracy in data entry.
- Ability to handle competing priorities in a fast-paced environment.
- Must be detail oriented and organized.
- Good analytical, decision making and problem-solving skills; ability to resolve conflict and deliver results.
- Solid interpersonal skills, service orientation, and ability to work effectively with others.
- PHR or SHRM-CP is preferred.

The HR Rep is responsible for maintaining day to day HRIS functions including data entry, approving data transactions, reviewing exception reports, and maintaining personnel files. In addition, this role will support various business groups, updating employee information in HR System, as well assisting with employee inquiries.
Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assures proper collection and input of data into HRIS. Assures accuracy and integrity of data in the system by reviewing scheduled exception reports.
- Creates and maintains electronic personnel files and other HR records by filing and pulling files as needed on a daily basis in accordance with department procedures.
- Responsible for entering new hires into the HRIS system, as well as other data entry, as directed and approving data transactions.
- Administer E-verify processes
- Serve as the point of contact for managing training requests including assisting staff members with course enrollment.
- Serve as System Administrator the companys Learning Management Systems (LMS).
- Respond to and communicate with Employees and Managers on routine inquiries as required.
- Coordinate and facilitate the On-Boarding Orientation, whether at location or via Teams
- Coordinate I-9 verification with hiring managers
- Issuance of termination letters and other documentation, ensuring timely termination of payroll and other benefits. Similarly, responsible for any last day paycheck distribution
- Participate in special projects as required.
- Other non-standard or ad-hoc duties as assigned
- Administer New Hire Onboarding process and follow up process.
- Communication to exiting employees.
- Conduct exit interview in a timely manner and communicate findings to the HR Manager that require immediate attention.
- Ensuring timely processing of employment status changes that affect payroll and other benefits.
- Responsible for any last day pay check distribution (CA Employees).
- Support recruitment activities as necessary, including:
- Managing interview schedules and assisting in the interview process.
- General communication with applicants.
- Assist the HR Department in training and other project roll out as needed
- Analyze HR data. Monitor progress towards desired result based on project plan.
- Act as first level responders to Employee population.
- Preparation of email and documents as required.
- Performs other duties and special projects as assigned
- 10% local travel

Minimum Required Qualifications
- Bachelors Degree in HR /related field is preferred
- PIHRA or SHRM Certification is preferred
- 2 - 4 y ears related experience
- Knowledge with administration of one or more Learning Management Systems; experience with SumTotal a plus!
- Proficient in Microsoft Office (Word, PowerPoint, Excel).
- Extremely flexible, highly organized, and able to easily shift priorities
- Ability and willingness to take on the administrative duties, heavy work flow processing
